Department of Legislative Affairs Minutes for Friday, October 24, 2014, at 1:00 p.m. President’s Conference Room 1. CALL MEETING TO ORDER* This meeting was called to order by Madeline Burak on Friday October 24,2014 at 1:05 P.M. in the President’s Conference Room. Presiding Executive Administrative Assistant, Morgan Ogden. 2. ROLL CALL* Jessica Salsman, Tericka Lambert, Rachel Yelverton and Madeline Burak were present. Stefanie Walberg was absent excused. A quorum was present. 3. PUBLIC COMMENT* There was no public comment at this time. 4. MINUTES Salsman moved to approve minutes from 6/13 and 7/11. Yelverton seconded the motion. Unanimously passed 5. OLD BUSINESS a. Reports of Officers Jessica Salsman Salsman said that she was in contact with sound and lights, and that they wanted to enhance sound. She said that she sent in a credit card request for sandwiches. Director Burak shared that they would need forty sandwiches at most. Salsaman said that she put in the order today. Tericka Lambert Lambert said that the she took care of booking the rotunda and got SEAB booked for Monday’s event. She said that for Java With a Journalist it was crucial for them to keep informing journalism students. Lambert said that she is in communication with Jill from Journalism School to see if the advertisement can be put inside school. Director Burak said that it was important to increase turnout, and suggested mentioning it to the Dean. She said that she collected itemized receipts from Batch Cupcakes, and asked if they would accept itemized reciepts. Salsman said that handwritten itemized receipts will be accepted. Yelverton said she is working on a biography for Java With Journalist. Director Burak said John Ralston would talk about education at Cornell. She said that he would remain nonpartisan while speaking. She said that she would be in communication via email with Yelverton. Stefanie Walberg Director Burak said that Walberg was out of town Madeline Burak Director Burak said that Starbucks was booked for Java with a Journalist. She said the Mining Association did not want to send anyone to the event to speak. She said that they would put sandwiches on plates for the event. 6. NEW BUSINESS a. Late Night with a Legislator (Ralston) - Starbucks Director Burak said that Starbucks is booked for the event. She said they would have two big chairs in front, and they would get the table the week before. She shared that Starbucks knows to not serve frappacinos due to noise interference during the event. - Speaker Confirmation Director Burak said that John Ralston was confirmed. - Inkblot Director Burak said that inkblot had been contacted. - Gifts for speakers Director Burak said that they only had three mugs left. She said that they wanted to give coins away, and that Walberg would be in charge of that - Media (student/local) Director Burak said that she needed to reach out to Sagebrush and get a press release written soon. b. Ballot Initiative Series - Speakers Director Burak said that they would have two speakers. She said one speaker would be Bob Folkerson. - Inkblot Director Burak said that she has flyers prepared. - Gifts for Speakers Director Burak said that they had three mugs in office. Department of Legislative Affairs October 24, 2014 Page 3 Yelverton said that the Wolfshop would have additional supplies if need be. - Media Director Burak said she would work with Director Lush to have a strong media presence. c. Second Annual Nevada Leadership Luncheon - Inkblot (programs, invites)/Invites Director Burak said that the cartoon graphic would have both the city and the university. She said that she wanted the invitation a little more modern and fun. She said that the Save the Date cards need to be sent by Wednesday, being that they are six weeks out. Director Burak said that Vice President Bybee is familiar with Mailchimp, and that she would reach out to him. - Gifts for attendees Lambert said that she is planning on taking on this job by asking about tumblers since they were free in the past. Director Burak said that we can gather coins and tumblers. Salsman said she was working to see if it is possible to get Nevada constitutions. Salsman said she would check to see if they had any additional ribbons from past years. Director Burak said that President Pereira was working with Matt and Inkblot Lambert brought to their attention the Nevada state pin. Salsman volunteered to get more pins. Director Burak said last year stage was too dark and asked Lambert to ask the Joe Crowley Student Union to get more light on stage. Lambert said if they have a video or PowerPoint it needed to be given a week before, Director Burak said that she wants an Inkblot video put together of what is going on at Nevada and include images of the new fitness center and student achievement center - Additional items. - Director Burak said that the Fig Tree Catering could do floral design. She suggested doing a centerpiece, with an additional display. - Director Burak stressed the need to include both the state and University, with no red. - Director Burak said that President Johnson, and Executive Director Gansert will be in attendance. She said she was still unsure if Governor Sandoval would be in attendance. - Salsman said she would be in charge of guest lists. She said that she has been adding email addresses and that she will share the excel sheet with everyone as soon as Director Burak edits it. - Lambert suggested that they refrain from including ASUN representatives - Director Burak asked if they wanted to invite senate and asked for thoughts. She said that it should stay exclusive. - Lambert wants to include President Johnson. - Yelverton said not all senators will show up to the event. - Director Burak said that she does not want to pay for more lunches than needed. She said they need to reach out to the Speaker of the Senate, the Executive Board and the rest of the professional staff. - -Lambert said to keep the invitation formal. - Director Burak said the invitation would need to get out before weekend. - Yelverton and Kaufmann said they would start working on a speech. Department of Legislative Affairs October 24, 2014 Page 4 Director Burak said she talked to both President Johnson and numerous scholarship recipients about the Legislative Agenda moving forward, what the department does and what they are working on. She said they discussed what would take place during the Ballot Initiative Series, Java with a Jungle, Late Night with the Legislator and that it was the University of Nevada not UNR. She said that they would reach out to Executive Director, Heidi Gansert to talk about the earthquake lab and TESLA. - Director Burak said that they would prepare a speech ranging from three to five minutes and get a draft prepared in two to three weeks. - Lambert said that they need to see what can be done in Spring in order for them to move into the community. Lambert also said the Sinclair building is worth discussing - Kaufmann spoke about the importance of bridging the gap between the University and the city. He suggested tying in Tesla, as well as the Gigafactory for a new degree. - Director Burak said she would like to have lunch details finalized by next week. She said she would like this event to be revamped with a fresh sound and new ideas. She volunteered to write the speech, since she enjoys that. Director Burak said she would talk to Vice President Bybee about statistics from the Pack Internship Program and fighting for funding for education. - Walberg said she would have Save the Dates sent out by Wednesday - Lambert said she would reach out and see what the set up would look like for tables set for fifteen people. - Director Burak said that they would serve coffee at eleven, and lunch from eleven thirty to one. She said that she would prefer to hold the event in Ballroom C. - Director Burak said that more funding towards students staying in state k-12, making k-12 an action item for next section. - Kaufmann suggested that they invite Andrew from lobbying K-12 education and could give ways for college students to help, and show how their testimonies. He said this might be possible the week after Nevada day. Kaufmann said that they could focus on a more broad topic, with more issues to program. - Yelvertron said that her and Director Burak took a class together where they got to see both low and high income schools in the district and witnesses their testimonies. Yelverton heard that the Washoe County School District wants their help, so she is looking into it. - Director Burak said that she was approached by an individual who wants to talk and is chair of the committee. - Director Burak said that she did not want to go over twenty-five dollars per centerpiece. Director Burak said that she would talk to President Pereira about augmenting the budget. d. Legislative Session - Director Burak shared that they would need to find student transportation to Carson City for the day. She said that ASUN has a small shuttle that she thinks they could use if they had a special classified driver who could receive extra hours through Campus E. Director Burak said she would look into it. Director Burak said they would get generic Nevada tee shirts. Director Burak said she had a good meeting with Heidi and Constance. She said that in their meeting the discussed working on funding for education, increasing funding for residency - Department of Legislative Affairs October 24, 2014 Page 5 programs while encouraging the University of Nevada students to stay and work in hospitals here, building a new engineering building because the Governor was so appalled and increased funding for working with Public Affairs Committee. She also said that there was discussion on the Millennium not covering all the costs anymore, enforcing Tobacco prohibition on NSHE property because in the Nevada Constitution you can still smoke under law, and that funding for education was a senator issue. - Direcor Burak shared that Uber coming to Reno, Las Vegas and Carson City. Anything else? Yelverton said that she would be bringing copies. 7. PUBLIC COMMENT* Joel Kaufmann introduced himself. He said that he was not an official employee but he will soon be a member of the department. 8. ADJOURNMENT The meeting was adjourned at 2:01 P.M. NOTES.
