HOMECOMING: PROMOTIONS & PARTNERSHIPS (2015-2016) SALARY: $750.00 RESPONSIBILITIES: Responsible for 10 hours of work per week during regular term: Meetings – 3 +1, Office Hours – 2, Flex - 5 (Transition term: meetings – 2, Office Hours – 0, Flex – 2). (During Fall, Pre-homecoming, Office hours-5 Flex-2) o Meetings: 1 hour Homecoming board meeting 1 hour advisor one-on-one 1 hour committee meeting 1 hour transition meeting with outgoing chair (first term only) o Flex hours consist of any outside work (they may also be completed in office) Attend and facilitate weekly committee meetings, including cooperative agenda creation, group bonding, program selection, and volunteer coordination. Attend Winter/Spring & Summer/Fall Student Programming Leadership retreats. Attend weekly board and committee meetings set semesterly by the Homecoming board. Attend weekly one-on-one with advisor. Meet monthly with the programming board. Work with committee to develop a spirited theme. Ability to meet for at least 4 hours/week during the summer session (“first two Meetings” as listed above and two office hours) and perform outside tasks as needed. Consistent evaluation of programs and projects with the appropriate advisor according to the importance, relevance, and needs of the University and community. Create day of plan organization including volunteer coordination, event logistics, ticket sales, and other details for each assigned event during Homecoming. Work with Assistant Director for Campus Programs on all events and planning. Coordinate appropriate timelines for submission and deadlines for general (ex. week schedule) graphic requests and press releases with Homecoming Events Chair and Homecoming Competition Chair. Sell a promotional homecoming t-shirt at cost. Assist with summer orientation tabling. Represent Homecoming with media outlets including, but not limited to KMSU, the Reporter, University Media Relations, Local Radio, Television, and print media. Meet once a semester with Reporter, KMSU, and Media Relations staff to network and maintain relationships. Meet with University Scheduling, Alumni Relations, Athletics, Residential Life, and other campus groups regularly to facilitate intercampus cooperation throughout the Homecoming week. Public speaking in front of large crowds and media (e.g. kick-off speech). Meet with community, student, and university leaders including the Mankato Mayor and MSU President. Attend the RHA, MSSA, and ISA general assembly weekly, during the fall semester before Homecoming week, to update the campus community which may count as office hours. Promote and increase enrolment in Homecoming VIP daily texting service. Work with IMPACT PR Promotions to draft and publish daily Homecoming texts. Plan and host an event inviting local businesses to campus during homecoming week (ex. Spirit Lunch). Edit, distribute, and facilitate the Homecoming Sponsorship Packet and Business Competition Forms. Solicit and coordinate event sponsorships as requested by the Homecoming Events and Homecoming Competition chairs. Work with advisor to conduct event evaluation and assessment, including survey before and after events. Attend and support all student programming Homecoming events. Create and distribute all Press Releases and Media Alerts in a timely manner. Maintain Homecoming website, Facebook, Twitter, YouTube accounts, and OrgSync. Actively recruit new members, followers, or likes on social media outlets. Complete at least one innovative promotional campaign for each event. Maintain working relationship with Student Activities/Centennial Student Union graphic designers. Coordinate collection of promotional materials for CSU Captivated Audience Network. Reserve and manage table tent reservations in Campus Dinning Facilities. Collect and maintain current list of promotional locations with the Mankato community. Add events to the following calendars: Campus Event Calendars, Greatermankatoevents.com (when needed), and other calendars. Maintain current pricing and availability on local media pricing including: the reporter, Free Press, Home Magazine, and other media outlets Actively provide opportunities to build committee membership and development including, but limited to leadership opportunities, delegation of tasks and responsibilities, skill development, and committee participation. Responsible for completing the necessary Student Activities Office reports: event evaluations, program proposals, programming worksheet, etc. Work with fellow homecoming chairs to manage a $60,000+ budget including spending, tracking, fundraising, and balancing. Sensible and effective usage of the budget to provide programming and services to the campus with the goal of a $0 balance by the end of the spring semester. Adherence to all University and Student Activities Office policies. Recognition that the primary responsibility of each member is to the student. Coordinate with homecoming chairs.
