July 6, 2010 6 PM, GVS Meeting Haus
Present: Roy Bieber, Chad Brataschi, Darci Congrove, Beth Ervin, Jim Hopple, Jeanne Likins,
Jim Nichols, Brian Santin, Crystal Seamon, Mike Yarborough. Absent: Sarah Irvin-Clark,
Norm Hall.
Also present: Russ Arledge (staff), Garth Bishop (reporter), Stev Guyer and Julie Klein
(Shadowbox Theatre).
President Darci Congrove called the meeting to order at 6:01 PM.
1. Public Participation
Stev Guyer and Julie Klein from Shadowbox Theatre shared about the special onetime production of “Woodstock Back to the Garden”, to be performed in partnership
with Actor’s Theater (as a fund raiser for Actor’s Theatre), in Schiller Park August 1,
2010 at 8 PM. It is suitable for a family audience.

P & L (written report)
Treasurer Roy Bieber reported that the balance sheet shows $89,603 in the
checking account, cash flow is good, the operational P&L shows $84,000 net income
as of 7.5.10, and Haus & Garden and Pre-Tour income and expenses are still coming
in. Roy noted that the line items in the budget are right on target and the variances
look good. There is $22,000 in the various designated accounts.

President Congrove announced that Adrianne sent cookies to thank the Board for
her work with us on the 2010 Haus and Garten Tour. Darci also read a thank you
note from Jan Clark on behalf of her and John who were recognized as the 2010
Frank Fetch Awardees. New Trustee Beth Ervin was welcomed.

Darci reported that the Society expects to meet the German Village Society’s budget
and net $85,000. There are still some invoices outstanding and a small amount of
income is yet to come. Darci pointed out that the Society sold more Pre-Tour
tickets in 2010 than in recent years, but the price was lowered from last year by
$25/ticket. Tour Day ticket sales were similar to 2008, but were less than in 2009.
In addition to the stifling heat, Kroger no longer sells tickets to events and last year
Kroger sold $17,000 of tickets.
Darci also pointed out the very significant in-kind support for this week-end: all the
wine/beer for the Pre-Tour Cocktail Party, everything needed for the Volunteer
Thank You party on Sun. night and the Home Owners Thank You Reception. She
also noted that the Society is doing a better job of capturing the in-kind donations
than in past years and this has been a goal.
In spite of all of this, though, we are still missing the cash sponsors, just like last year
when the economy turned down, and these cash sponsors provided a lot of our
“profit”. 10TV was fantastic with lots of extra coverage. The committee has a
debriefing meeting next Tues. and a full report will come when all the details are in
and have been digested.
---GVS Property Tax Exemption (oral report)

Jim Hopple noted that the Columbus School Board has appealed the decision to the
Ohio Supreme Court and that the tax commissioner’s office has filed a cross appeal
saying there was an error in the process by the Board of Tax Appeals. Jim expects
this to take additional six or more months before it is resolved.
---GVS & G. Michael’s Agreement (written)
Jim Hopple
Jim Hopple noted that this agreement memorializes an existing arrangement in
which G. Michael’s restaurant uses the Society’s parking lot after 5 PM for valet
parking and in exchange, the Society can use their trash and recycling containers
and receives a trade credit of $150/month, which can be used on activities approved
by the Executive Committee in advance. The Board unanimously approved this
agreement.
---2010 GVS Trustee Manual (written)

Secretary Jeanne Likins noted that the German Village Society Trustee Manual has
been significantly expanded and revised. Making this available as a Society
Volunteer Manual will be the next phase and Jeanne would like comments and
suggestions by end of August so this can be completed in 2010 and added to the
Society’s website for members only.

Jeanne presented a proposed policy on the Use of the German Village Society’s
Equipment and Supplies. This received Board approval to proceed once Russ
finalizes the actual cost for photocopying and can program the copier and postage
machines.

Crystal Seamon noted that Jeff McNealey is ROAR’s legal counsel for the Clipper
Stadium’s redevelopment of this into a racetrack and she’s in communication with
him regarding their plans for outreach to the interested communities, including
German Village.

The recent monthly police lunch went well. The officer in charge of the planned
pilot property safety program will be in place in September and this committee may
plan a few safety related activities along with this experimental program.

Chair Will Eylar announced that the City has filled one of the Historic Preservation
staff positions. The Historic Preservation Committee is working on revising and
enhancing related content on the Society’s website.

---Streetscape/Third Street Master Plan (written report) Brian Santin
The next meeting is tomorrow at 6 PM and is the final presentation by the
consultants who created this plan and the culmination of more than four years of
effort. Brian asked all Board members and Streetscape Committee members to
attend.

President Congrove drew Heidi Drake’s name from the fishbowl of names of all who
have recruited new Society members for the 2010 year and Heidi gets a choice of a
dozen of Darci’s baked goodies or a free cat or dog exam at the German Village
Veterinary Hospital.
Jeanne noted that the Society has achieved 88% of the 2010 membership budget
goal, which includes 92 new memberships. The committee is focusing on launching
the Neighbor Representative initiative with 22 volunteers going door-to-door
reaching out to neighbors about the Society, following up with non-renewals,
planning a summer Welcome Reception for new Society members, and a series of 46 member appreciation events this fall for those at the $250 and above level. There
is a committee potluck July 25 at Jeanne and Joseph’s home.
50th Anniversary (oral)

In Sarah Irvin-Clark’s absence Darci reported that the book signing event was
terrific, especially when the location had to be moved at the last minute. About 80
attended and about 80 more books were purchased through the proceeds from this
event for the Society to sell.
This Sat. is the Ohio Historical Society’s Muffins playing the German Village Society
Cupcakes (sponsored by Bakery Gingham) at 3:30 PM in Schiller Park. Also, the
Garten Club’s Garden Bubbles and Blooms Stroll is this Sat. at 7 PM around Schiller
Park.

6. Old Business
Vice President Chad Brataschi shared that the 2010 Monster Bash Co-Chairs are
finalizing the event manual they are producing as a guide to managing this event,
which needs to net $5,000 in 2010. He expects this to be ready for the August Board
meeting. Chad also noted that there is a need to identify leadership for 2010 event
and he recommends co-chairs.

Monthly Report to the German Village Society Board of Trustees

July was relatively quiet, but hot month in German Village!
While school was still out for the season we had several student tours as well as a number of
adult tours, meetings, and rentals. The Visitor Center Volunteers were kept busy this month
welcoming over 400 visitors!
It was reported that the highlight of one spouse tour was seeing Andrea Cambern jogging down
Third Street!
The two events this month, i.e. Muffins vs. Cupcakes baseball game, and Art Crawl were both
reported to be a success (even though the Cupcakes lost… rumors of a rematch?)
The GVS Business Office was busy wrapping-up all of the details of the annual Haus und
Garten Tour and Pre-Tour. The new website plug-in for membership has been launched
enabling the 2nd member login.
We are currently updating all of our tour information and hand-outs, starting with the Scavenger
Hunt Tour information and photos. The Scavenger Hunt is extremely popular with the school
children and adults as well. Group tours and rental information updates are coming soon.

Use of German Village Society Furniture, Equipment and Supplies Policy
August 2, 2010
The German Village Society does not loan its furniture, equipment or art.
German Village Society committees and staff should use the Society’s postage meter. The cost
will deducted from that group’s budget as a postage expense. Postage is not provided to any
group not officially part of the Society or to any individual.
German Village Society committees and staff use the Society’s photocopying machine and will
be given a code number so that the cost (8 cents per page for black and white copies and 40
cents per page for color copies) can be allocated to that committee’s budget. For non-German
Village Society groups or individuals, the cost for copying with the Society’s machine is ten
cents per page for black and white copies and 50 cents a page for color copies.
Faxing costs are $1.50 per fax for German Village Society committees and staff and $1.80 per
fax for any other groups or individuals.
Each committee or organization should provide its own office supplies or request to use existing
Society supplies for German Village Society activities in advance with the Office Coordinator.
The Office Coordinator is responsible for implementing this policy and tracking and allocating
the costs to groups that use the Society’s postage and copy machine in collaboration with the
Society’s Bookkeeper and Treasurer.

Meeting Objectives/Highlights:
 Bob’s monthly membership data will be provided at the meeting so we can
report through the end of July completely.

From April-June, 79 members expressed interest in a GVS committee or
activity with the most interest in special events. Pam Bergeron shares this
information with the respective committee chairs, asking them to reach out
and help connect folks with the work of their group.

We sent a letter from Jeanne to 91 2009 non-renewing 2009 members at the
individual or household levels ($40/$60). This is in addition to three monthly
email reminders and a mailed note to the 60 or so folks who don’t use email.

We have 21 Neighbor Reps out canvassing their 50 or so structure each
reaching out to invite people to join, answer questions, and gather correct
address information for as many properties as possible. We still need 11
more volunteers to have all 32 districts covered.

Susan Sutherland runs a monthly list of new property owners and we send a
welcome neighbor letter from both the GVS and the GV Commission. These
are delivered by the Neighbor Reps when possible or else mailed. We
encourage everyone to tell Bob when they have new neighbors or renters so
we can reach out to them with these letters and to let their Neighbor Reps
know so they can welcome them personally.

Final plans are coming together for a package of 4-6 Member
Appreciation/GV Business Showcase events which will be hosted in
September and mid-October. The invites go out shortly to all members at the
$250 level or above in 2010 and will be first-come, first-served since each
event’s capacity (as well as all other details) are determined by the business
owners. We are excited about this pilot program.

In addition to the 50th Anniversary Membership Roster for the GVS archives,
website and time capsule, we are exploring a new edition of the GVS emblem
house plaques to be sold to those who are members during the 50th year and
with 50th Anniversary noted on it.

July 25th potluck at Jeanne and Joseph’s was well attended and fun and
included Membership Committee members and Neighbor Representatives
and their partners/spouses/guests.

Tuesday, August 10 6:00 – 7:30 PM is the first 2010 New GVS Member
Reception in Fest Hall. Board members are invited to attend and agree to
“work the crowd” and bring an appetizer for 20 to share.
RSVP is due
August 6. Beverages are those remaining from other GVS events.

