Graduate Programs Committee Minutes September 13, 2012 LRC 111i, 3:00-4:00 PM Attending: D. Rayome, B. Cherry, A. Elam, R. Prather, A. Valentine, M. Romero, P. Watts, E. Mackey, M. Strahan Due to resignations, three vacancies currently exist on the committee. 1. Approval of Agenda -- approved 2. Approval of minutes from May 29, 2012 and September 5, 2012 – approved: Strahan / Prather 3. Assistant Provost’s Report (Brian Cherry) – a. GC 465 – have not received support letter from Biology; also proposal lacks some content. b. We will invite KC to a future GPC meeting to address background regarding courses & assessment. c. Chair Rayome will e-mail Dr. Regis about support letter for his graduate faculty application. d. Council of Graduate Schools Consultants - conference call September 14 regarding their findings from their campus visit last week. They were fairly impressed. Strategic planning for graduate studies group being formed. e. Thesis Guidelines - Emily from his office is cleaning up the guidelines. She will present final product to GPC later this semester. f. R grades – if R grades get past their “life date” they remain on transcript. Wish to establish a hard deadline, and also treat same as I grades with hard deadline. g. Also need systematic review of letting students know about the 7-year limit in program. h. JD Philips & Michael Broadway want to suspend the Math Education program. 4. Chair’s Report (David Rayome) -- nothing 5. Graduate Student Association Report (Aaron Elam) – Putting finishing touches on Professional Development Conference (Oct. 12), and also opportunities for graduate students. 6. New Business a. Election of Vice Chair for 2012-2013—Melissa has rescinded her resignation and will continue to serve. b. Establishment of meeting dates for fall semester. – next meeting week of Oct. 14 TBA. c. Change in description of graduate faculty status; previously discussed by email. Consensus was: i. Change the description of Level 2 to read: “Level 2 status is for members of the faculty who have just attained their terminal degree or have not taught at the graduate level within the last seven years. A person at this level can teach graduate courses and serve on thesis committees, but they cannot chair a thesis committee. This status can be requested for 1 to 3 years. Level 2 status can also be granted for 1 year to members of the faculty who have not yet attained their terminal degree; this appointment may be renewed. If a faculty member without a terminal degree applies for Level 2 status, the 2 cover letter from the Department Head should explain the proposed role of the applicant, including courses to be taught. ii. This change needs to be reported to the Senate. If they approve, the policy on the Graduate Studies web page will need to be amended. 9. Subcommittee Memberships a. Prather asked about Excellence in Education deadlines discussed at the April 23rd meeting. Asst. Provost Cherry said he believes the deadlines are fixed/contractual. Chair Rayome asked that GPC re-consider changing the dates as discussed by the committee last year. b. Disabled graduate students i. R. Prather asked about services available for these students. Asst. Provost Cherry will check with Karen Lawrence in DSS office. c. GPC Bylaws i. Chair Rayome asked members to review the GPC Bylaws, especially in light of Outcomes Assessment.
