POSITION ANNOUNCEMENT POSITION: Project Management Coordinator- North Metro Campus POSITION DESCRIPTION: Under the supervision from the Director of Construction Management, performs technical and administration matters pertaining to maintenance, repair and construction projects which will be accomplished by contract, contract labor, or department personnel. Develops project scopes, determines appropriate method of accomplishment and prepares project request packages for approval. Researches methods, materials and systems to be used and researches and prepares project cost estimates, drawings, specifications required for bidding at campus level. Monitors and tracks all projects submitted in the MR&R and operating budgets. Provides technical assistance required regarding these design and contracting efforts. Conducts facility and systems inspections and is responsible for facility condition coding and all reporting requirements relative to the Facility Characteristics and Space Inventory and Utilization reporting systems. Performs construction project management with the assistance of required personnel. Keeps daily project logs, negotiates change orders, inspects for compliance with contract specifications and performs final acceptance inspections. This position must maintain close and positive working relationships with all departments and campuses of Chattahoochee Technical College Minimum Qualifications: Bachelor’s degree in the directly related field and/or five years of experience in facilities management which included supervision of multiple operations such as repair and maintenance, space management, security, site selection and facility construction. Implements policies and procedures. Establishes and maintains a safety program. Coordinates routine purchasing activities. May coordinate the bidding and contracting program. Coordinates a key control program. Responsible for maintenance of fire alarms, extinguishers, sprinkler and security systems. May coordinate the removal of hazardous materials. Job Responsibilities & Performance Standards: 1. Develops and implements policies and procedures relevant to facilities operations such as new processes, and the annual budget. 1. Develops and/or writes reports regarding compliance with regulatory issues. 2. Provides projected expenses for the annual budget within specific time frame. 3. Monitors facility budgets to ensure expenditures are paced appropriately. 2. Supervises and provides input on personnel related matters. 1. Appropriately conducts interviews for vacancies according to applicable policies and procedures. 2. Plans, schedules and implements facilities maintenance activities at Chattahoochee Technical College by ensuring the completion of plumbing, electrical, painting, heating, ventilation, air conditioning, carpentry, lawn work, college vehicles and equipment, etc. 1. Prioritizes work requests and emergency repairs appropriately. 2. Assigns work to employees by accurately matching skills and abilities with requirements of work to be performed. 3. Reviews work requests daily to ensure work requests are completed in a timely manner. 4. Ensures that employees are made aware of and understand performance standards associated with assigned job responsibilities. 5. Schedules preventive maintenance for overall institution and equipment in accordance with information supplied by manufacturer's manuals. 6. Appropriately develops and/or updates service contract specifications to accurately reflect technical college needs. Ensures the feasibility and cost studies are accurate and timely. Ensures projects are "ready to bid". 3. Executes service contracts including completion and distribution of corresponding purchase orders in accordance with state purchasing guidelines. 4. Thoroughly inspects work performed by outside contractors. 8. Maintains a key control program and lock device maintenance. 1. Ensures that all assigned keys for team members are inventoried within an established time frame. 2. Collects and reviews all reports on list, misplaced, and defective keys as necessary. 3. Ensures all key records, storage, inventory, duplication, and lock changes are in accordance with policies and procedures. 4. Establishes a routine for checking all assigned emergency entrance and exit keys and locks to ensure proper functionality and documentation. 5. Coordinates repairs or replaces locksets, card access devices when necessary. 9. Responsible for the overall maintenance of fire alarms, extinguishers, sprinkler and security systems. 1. Ensures that fire alarms, extinguishers, sprinkler and security systems are cleaned, inspected and repaired on a routine basis. 2. Ensures the proper repair of locks, cylinders, hinges, door closers and related security hardware and electronic systems. 10. Coordinates conference center activities for functioned events. 1. Provides personnel to set up and tear downs for events at the centers. 2. Ensures the centers are clean and ready for “Guests” to arrive at the college. 3. Ensures the centers are operating correctly during the events, all lights are operational, HVAC systems programmed to deliver designed temps for the events, matting in place, furniture in like-new condition, walls are in good shape, painting good, flooring in good shape, and outside ready and litter free. 4. May be asked to provide personnel during an event. 11.
