1|Page British Columbia Museum Association fonds Finding Aid Title: British Columbia Museum Association fonds Outside Dates: 1959-2007 Extent: 21.6 m. of textual material.—[ca. 500 photographs] Administrative History: Museum professionals formally discussed the concept of a province-wide museum organization at a meeting held at the University of British Columbia from September 3-7, 1957. Later that year, the plan progressed at a seminar held in Victoria. The Victoria seminar created a committee to draft a constitution and make arrangements for the first organizational meeting in 1959. Accordingly the British Columbia Museum Association (BCMA) was formally launched at a seminar at Camp Chilliwack, Vedder Crossing, in September 1959. The BCMA is a non-profit provincial association. Since inception the organization has held a consistent list of functional responsibilities. The association itemized these responsibilities in its first constitution: to aid in museum services as educational institutions; to act “as a clearing house for information” relevant to museums in BC; cooperate with the Canadian Museum Association; promote the exchange of exhibition material and exhibit arrangement. Towards these goals the BCMS provided programs for grant funding, publications, standards, education and training. The BCMA formally articulated these functional responsibilities in its incorporation under the BC Societies Act in 1966 [Certificate of Incorporation no. 7394, BC Gazette, v.151, n. 23, Jan. 9, 1966, p.1321]. Since 1959 the BCMA administrative structure has not changed significantly. The organization began with Officers of the Association consisting of a President, a Vice-President, and a Secretary Treasurer, and an Executive Council composed of Officers of the Association, the immediate Past President, and four Councilors (BCMA Constitution, 1959). Over time the number of positions in the executive did not increase. However, the organizational structure divided into an Executive Council responsible for policy and executive decisions, and a Secretariat responsible for operations. The Executive Council selects committees and sub-councils tasked with specific responsibilities. Common committees in the history of the BCMA include the membership committee, preservation committee, and the conference committee. Since creation, the BCMA has also maintained a publication, Round-Up, with an editor and staff. The general membership selects the president at an annual general meeting. Although the BCMA has never maintained a formal records management program the association has maintained their records in roughly chronological order by topic at their executive office. The BCMA main offices have been predominantly in Victoria [locations] save for a brief period when the BCMA main office was moved to Vancouver. The records created and maintained during this Vancouver period have been integrated into the fonds. Only the dates of the files will distinguish their geographical provenance. Unnecessary duplicates, publications, transitory records, waste and scrap materials, and other items which are not an integral part of the fonds and do not retain an enduring archival value have been purged and destroyed. Scope and Content: The fonds consists of predominantly textual records the BCMA created and maintained in over fifty years of operations. The BCMA holds a province wide mandate to support and develop museums and galleries in BC. The records document governance, outreach, publications, professional development, and association membership. The fonds consists of reports, correspondence, publications, bulletins, policies and supporting documentation, financial records, and photographs. The records are arranged in the following series and within each series in chronological order. Communication, Advocacy, Services, Governance, Membership, Professional Development. Title is based on the content of the fonds. The BCMA has accordingly maintained a constant dialogue with its members and the general public. The series consists of two principal communications vehicles: RoundUp, the official journal of the BCMA; and Who’s News, a membership bulletin; publications; general correspondence; and exhibitions.
