UNITED WAY OF TUCSON AND SOUTHERN ARIZONA Position Description Community Development Program Coordinator Full Time, FLSA Non-Exempt August 2013 JOB DESCRIPTION: This is a full-time; grant funded, non-exempt, administrative support professional position for both the Youth Development and the Family Support areas. This position will report to the Director of Family Support. This position requires a very organized, detail oriented, motivated, and professional person who can multi-task and quickly learn the complexities of multiple grants and budgets. This position will provide administrative support for the Director of Family Support, the Home Visitation Program Manager, and the Opportunity Youth Director. NOTE: THIS IS A GRANT FUNDED POSITION RESPONSIBILITIES: Processes purchase orders for multiple grants Processes invoices and checking them for accuracy for multiple sub-grantees and multiple grants Tracks the budgets of all sub-grantees using excel Takes minutes at related meetings and prepares them for distribution after the meeting Organizes meetings, including printing out agendas, sign-in sheets, and other materials, sending out meeting reminders, bringing necessary AV equipment, etc. Organizes logistics for professional development opportunities for the Family Support Alliance, including finding a venue, creating a registration page on either Constant Contact or Eventbrite, tracking registration, printing out sign-in sheets, and making copies of handouts Tracks data for the Community-based Parent Education grants. This includes collecting quarterly data reports from sub-grantees, combining them into one large report, and submitts data to First Things First via their online database called PGMS Collects quarterly narrative reports from sub-grantees for the Community-based Parent Education grants and combines them into one large report to be submitted to First Things First with input from the Family Support Director Updates the list of all parenting classes and Stay and Plays offered through the Family Support Alliance and the Pima County Parenting Coalition on a weekly basis, this includes getting the class information from Survey Monkey, updating the document, saving as a PDF and making sure the updated document is posted on a weekly basis on the FSA blog and Facebook page, on the PCPC website and Facebook page, sent out to the FSA and PCPC listserv, and for the FFK newsletter and web portal Updates list of all alternative education, post-secondary bridge support programs, job training and other workforce development services for youth and sends this information to identified partners Assists the Home Visitation Program Manager and Opportunity Youth Director complete necessary data collection and reports to funders. Orders supplies, equipment, and food for meetings as needed Prioritizes responsibilities and assignments Creates, modifies, and maintains routine and special letters, memos, and reports using word processing, databases, spreadsheets and other software packages Collaborates with United Way finance staff to assure that all grant and financial procedures and payments to partners are in compliance with policies and procedures regulating United Way operations and the Sub-grantee Agreements in effect Distributes related programmatic materials to community agencies, doctor’s offices, etc. Other duties as assigned Resource Development Participates in United Way resource development activities to support the work of the Resource Development Division in securing resources and carrying out special events and projects (e.g., Days of Caring, Business Breakfast, Grad Nation Summit, First Focus on Kids and Youth development Coalition events) Contract Performance/Evaluation Assists with designing, monitoring, and submitting monthly and quarterly reporting requirements as needed Public Education/Advocacy Participates in local community and First Things First-related events. Assists with activities related to public education, opportunity youth, advocacy, family support, and professional development efforts, and other community projects as related to family support, professional development and youth development Participates in local community events and employer fairs where United Way might have an informational table Coordination/Customer Service Provides excellent customer service as a component of all job duties Establishes and maintains effective working relationships with United Way staff at all levels, volunteers from diverse backgrounds, donors, community partners, independent contractors, and others Other Duties as Assigned Substitutes for front desk receptionist as needed Qualifications, Skills and Abilities: Associate’s Degree in business, office administration or related field and/or 3-4 years increasingly responsible office support, or equivalent combination of education/experience Excellent written/verbal communication skills, including clear, concise, and accurate written documents, grammar, spelling, and selection/organization of appropriate presentation method/vehicle Demonstrated customer service, problem solving, time management, and organizational skills Demonstrated skills using Windows-based software, including Internet browsers, email, word processing, spreadsheet, database, presentation, and graphics software, to generate meaningful and comprehensive documents, materials and presentations. Strongly prefer 55-wpm word processing speed. Skills using current Microsoft Office Suite Ability to establish and maintain effective working relationships with all levels of United Way staff as well as diverse volunteers, donors, community partners, vendors and other constituents Demonstrated ability to tactfully handle stressful situations, negotiate and resolve conflicts, maintain confidentiality and to respect and observe organizational protocol Demonstrated ability to maintain a flexible work style and adjust it as required by changing activities Ability to maintain composure under high-volume conditions Ability to take direction and observe organizational policies and procedures Must be very organized, task-oriented, and willing to take direction and assignments from multiple people Knowledgeable about the family support, youth development, and early childhood education fields Demonstrated ability to use Word, Excel, PowerPoint, the internet, and gmail Ability to travel to work in a variety of locations throughout the metropolitan Tucson area and Pima County whenever required.
