Executive Director Section 1 – Position Overview Position Title: Executive Director – Tennis PEI Reports to: PEI Tennis Board of Governors Position Summary: The Executive Director is responsible for the strategic, fiscal, technical and operational leadership of the sport of tennis in PEI. Work Location: The Executive Director will work from a home office; however, will have access to all Tennis PEI resources. Section 2 - Qualifications: Education: • Preference may be given to candidates with a post secondary education in Business, Sport Management or related disciplines. • Preference may also given to candidates who are NCCP fully certified Level 2 in Tennis or equivalent. Experience: • Tennis coaching experience and leadership or administrative experience in program development, implementation, and assessment. Responsibilities Executive Direction and Leadership ● Enhance growth of tennis in Prince Edward Island. ● Ensure the development of all programs and that they align with the strategic plan. ● Ensure all program operations are meeting targets developed the strategic plan. ● Establish and maintain close working relationships with stakeholders, including working in partnership with Tennis Canada and the other Atlantic Provinces. ● Schedule, organize, attend and actively participate in all Board and Committee meetings of Tennis PEI. ● Lead and manage the communications, marketing, website and database plans of Tennis PEI. ● Prepare submissions for all external funding agencies, including Sport PEI, Tennis Canada, and all corporate and private sponsors. Participate in and leverage Tennis Canada corporate fundraising (Tennis Matters) and sponsorship activities. ● Coordinate and manage funds, resources and activities. ● Organize and supervise activities of the Tennis PEI Technical Director. ● Plan and ensure smooth operations of all tournaments, including regular personal attendance. ● Attend, where appropriate, available Tennis Canada staff meetings and workshops. Administration ● Maintain and supervise the operation of Tennis PEI a day-to-day basis, ensuring that workflow is efficient and effective. Ensure cost effective and efficient operation of administration, within budgeted resources. ● Attend to all correspondence in an appropriate and timely manner. Report all matters requiring input, consultation or approval to the Tennis PEI Board Financial Management ● Develop an annual budget in conjunction with the President and Treasurer and input from Committee Chairs for submission to the Board of Directors. ● Manage all aspects of budget implementation with a focus on maximizing return on investment. ● Maintain the accounting and financial records of the Association and in conjunction with the Treasurer (or Chair/President), report the status on at every monthly meeting of the Board. ● Prepare all financial information and participate in the annual audit. ● Develop and monitor procedures to ensure that expenditures conform to budgets and develop procedures to correct or adjust budgets on a quarterly basis or more quickly when variations from projections occur. Develop and monitor cash flow projections on a predetermined time frame (monthly, quarterly). ● Manage all banking arrangements for the association including special projects when required. ● Authorize necessary expenditures, within limits set by the Board, and co-sign cheques as required. ● Ensure standard accounting principles, as accepted by the Board, are understood and followed. ● Ensure that funding restrictions of funding agencies are complied with. ● Ensure that all projects come within budget and in the time frame initially set by the Association. ● Conduct occasional evaluation of accounting system with Treasurer in order to improve financial reporting, budgeting policies, procedures, and financial controls. ● Maintain adequate insurance coverage for the Association. Strategic Planning and Innovation ● Create a five-year Strategic Plan in conjunction with Executive and Board and conduct an annual review of priorities and modify as necessary. ● Organize, conduct and create written record of strategic plan metrics on an annual basis. ● Work with Executive, Standing and Ad Hoc Committees of the Board to prioritize initiatives and adhere to strategic planning. ● Provide new policy initiatives for the Association by gathering input from members of tennis community and researching tennis industry best practices. ● Ensure that a thorough needs assessment is done periodically to determine the needs of the Association and its members. Fundraising and Sponsorship ● Lead and implement fund development activities and deliver established revenue targets. ● Lead and implement government funding and corporate sponsorship activities to generate incremental revenue. ● Develop and maintain working relationships with: media, staff of other sport associations, Sport PEI, Tennis Canada, other Provincial Tennis Associations, corporate sponsors and elected government representatives. ● Develop and maintain information on sources of corporate and/or private sector funding and follow up on behalf of the Association as required. ● Maintain liaison with current sponsors by establishing and meeting strong contractual reporting guidelines. Resource Development and Marketing ● Initiate the creation, production and distribution of marketing and promotional material, including: newsletters, handbook, posters, brochures, media releases, advertisements, displays and annual reports. ● Manage Tennis PEI web presence as well as social media strategy (Twitter, Facebook, LinkedIn, etc.) by continually updating and creating new content and ideas with assistance of webmaster and volunteer staff recruited for expertise in these areas. ● Create and execute an annual media and marketing plan. ● Develop appropriate sponsorship packages to customize when approaching potential sponsors for an annual menu of opportunities. Special Events ● Establish committee responsibilities, recruit volunteers and oversee the completion of all tasks in preparation for the tournament, including ball kids, officials, sponsorship benefits, social event, out-of-province player’s recruitment, media information and site setup. ● Prepare budget and present to Board for approval. ● Prepare sponsorship packages and solicit sponsorships in a timely fashion to ensure meeting budgeted revenues. ● Serve as on-site Tournament Director during tournament play. ● Complete tournament wrap-up, including sponsor follow-up packages and budget reconciliation. Personnel Management ● Supervise all casual, contract and staff personnel and complete annual performance appraisals. ● Develop and review job descriptions for all casual, contract and staff personnel. ● Hire casual, contract and support staff as required.
