DEPARTMENT OF MANAGEMENT SERVICES For Reference Only CLASS CODE: 0421 PAY GRADE: 012 CLASS TITLE: CORPORATE DOCUMENT/ELECTION RECORDS EXAMINER ALLOCATION FACTOR(S) This is work examining various business entity and financial filing data base records in the Division of Corporations or examining alcoholic beverage applications in the Division of Alcoholic Beverages; examining campaign contribution records in the Division of Elections; or examining applications for licensure or registration and performing background verifications in the private investigative agencies and verification sections of the Division of Licensing. EXAMPLES OF WORK PERFORMED: (Note: The examples of work as listed in this class specification are not necessarily descriptive of any one position in the class. The omission of specific statements does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position. Examples of work performed are not to be used for allocation purposes.) Examines campaign financing records to ensure compliance with the Florida Statutes. Performs financing statement records and business entity records searches and disseminates information. Researches data base records to determine availability of a business entity name and provides tentative clearance based on statutory requirements. Examines and analyzes applications, leases, mortgages, deeds, financial documents, surety bonds and other related information to determine compliance with laws and rules. Computes and verifies that the proper filing tax or license fee has been paid; approves the filing/application or disapproves and identifies the defects and deficiencies; and communicates with attorneys/applicants to assist in clarifying and correcting the defects or deficiencies. Makes determinations requiring applications of diverse law, policies, court cases, and Attorney General's opinions and provides technical assistance to attorneys, brokers and others based on same to correct application or technical filing defects and to assist with the preparation of original filings/applications. Provides technical assistance to brokers to assist with the preparation of original application and to correct deficiencies in application. Determines if defects require a rejection of the filing or if corrections can be achieved through supplemental submissions. 0421-CORPORATE DOCUMENT_ELECTION RECORDS EXAMINER-CS Maintains records and statistics of filings/applications received, approved or rejected utilizing a complex interactive computer data base. Prepares correspondence identifying defects for rejection of filings. Examines investigative case reports, verification reports, fingerprint analyses, and other associated documents to determine the appropriate action relative to the continued processing of an application. Recommends investigations when activities which appear to be in violation of regulated Florida Statutes are discovered. Performs independent research and verification of an applicant's educational background, prior work experience, and criminal history. Examines and analyzes registration applications for game promotions including surety bonds, winners lists, rules and regulations, and other related information to determine statutory compliance. Performs related work as required. Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. MINIMUM QUALIFICATIONS Three years of secretarial or clerical work experience. College education from an accredited institution may substitute at the rate of 30 semester hours for each year of required work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours per year for each year of the required work experience.
