CONFIDENTIAL Conferences and Events held during our 50th Anniversary Year Dear Colleagues, In developing the plan for the University’s 50th anniversary, the working group and operational group (which I chair) are keen to ensure that academic conferences, public lectures, symposia and similar events play a prominent role in the celebrations. Each year colleagues organise and participate in a wide range of these activities. It is intended that the 50th anniversary be used as an opportunity to amplify their impact and range. All colleagues and especially those in Academic Departments, Institutes, Research Centres and Groups who would like to organise a conference or similar are encouraged to bring the idea forward and to use this form as an opportunity to secure support which could enhance an existing event plan which has been agreed with the relevant Dean. Professor Gary Hawley Dean & Medlock Chair of Engineering Chair 50th Anniversary Working Group The type of 50th anniversary support which may be available (subject to the proposal meeting the criteria detailed below) might include: a) Funding to invite a high profile external speaker to raise the profile and impact of the event b) Additional practical administrative support from event specialists in Professional Services c) Support from Professional Services to film and live-stream the event d) Support to promote the event via University communication channels including digital and social media (University website, 50th anniversary website, event listings, e-communication) e) Support with arranging dinners/receptions involving senior members of the University f) Use of 50th anniversary marketing collateral (banners, signage) at the event g) Use of templates created for anniversary branded invitations, posters and other material promoting the event Note: In exceptional circumstances applications will be considered for seed funding to cover initial outlay or underwrite costs which the event plan assumes will be recouped via delegate fees or sponsorship Qualifying criteria are: 1. The event plan has the support of the Dean 2. The event has significant potential to raise the University’s reputation for world-class research excellence 3. The event plan is supported by the Dean with sufficient financial and administrative resource from the Department or Faculty/School to implement the event should it not be prioritised for incremental financial support by the 50th operational group. 4. A programme of activity to promote the event has been considered within the event plan. Assumptions 1. Non-pay costs of running the event will be met from existing Faculty/School resources if they cannot be recovered from delegate fees, via sponsorship etc. 2. Core administrative support for the event (event management, marketing, delegate registration) will be provided by the Faculty/School 3. The proceedings of the event (including any video or audio footage) will be made available for use within University publications (including via University website) CONFIDENTIAL Requests for support will be reviewed initially by the 50th anniversary operational group with the Vice-Chancellor’s Group being consulted as required.
