The President welcomed all and introduced the members of the of the board. President Martinucci read the rules of procedure to the meeting attendees. A motion was made to adopt the procedures, motion passed. Sergeant at Arms President Martinucci assigned Mr. Anthony DeVito and Mr. John Tramposh as the Sergeant at Arms for the conference. 1 Quorum A count of the membership was taken and reported by Credentials Chair Dominick DeMichele, the credentials chair reported: o 39 registered at the conference with 26 attending the meeting, establishing a quorum. Secretary Report Meeting minutes (past Secretary Bill Brennan) from the last year’s conference 2010 in White Plains, NY were distributed to the membership. A motion was made to accept the minutes, motion passed. Member Recognition The President recognized Bob Geiser as a life member. Also recognized were the past presidents in attendance. Committee chairs, Mr. Steve Herman (Bylaws), Mr. Dominick DeMichele (Legislative/Credentials), Dr. Charles Drago (Nominating), Mr. Bob Geiser (Membership), Mr. Mike Burns (Newsletter), Ms. Barbara Neumann and Ms. Linda Condon (Conference Co-Chairs). Not attending the meeting is Hildy Oberstein (Public Relations) o President Martinucci acknowledged the passing of Miss Betty McCaffey. President Martinucci acknowledged the passing of Miss Betty McCaffey. A moment of silence was observed for this past member. Committee Reports Bylaws Report (Steve Herrmann) – The ASRT recommends that the Bylaws be reviewed on a three year cycle. Legislative Report (Dominick DeMichele) – Will send report via email. New York State is currently heavily involved in issues dealing with radiation therapy and CT. CR/Digital Radiography issues are on hold until next year (end of 2012). o The ASRT is still in support of the CARE Bill. Webmaster/ASRT Representative Bill Brennan stated that the ASRT will not back out from their support of the CARE bill. He explained that other professions such as sonographers have more to benefit from this legislation but would give into concessions that would be adverse to radiographers. Essay/Poster Contest (Dr. Charlie Drago) – 35 programs in NYS were contacted. The society received seven essay submissions: 3 Monroe Community College, 1 Hostos Community College, 2 1 Orange County Community College, and 1 St. Elizabeth Medical Center. One essay from Hostos Community college was disqualified. Winners will be announced on Saturday. Several posters came in and more are expected, the winners will also be announced at the student bowl. Membership (Bob Geiser) reported: o o o o o o o As of October 22nd we have 222 Radiologic Technologist members, 91 students with memberships until December (2011) 71 Students with memberships ending in 2012 22 Students with memberships ending in 2013 16 emeritus members 5 life members, 1 associate and 1 honorary member. Total membership was reported at 429 members. At issue are students who do not renew, we need to continue to make them aware of the organization so we retain more students as they graduate and become technologists. Acknowledgment – Preceding the newsletter report, President Martinucci acknowledged the hard work done for many years by the previous editor, Ms. Eileen Doyle. Mr. Mike Burns was introduced as the new Editor of the Imagist newsletter. Education & Scholarship Report - Conference Chair Report (Barbara Neumann & Linda Condon Co-Chairs) – One speaker will not be able to come and will be replaced by President Martinucci. Presidents’ Report (Kenneth Martinucci) It was reported by the President that the average age of the board has gone up significantly since 2000 and many past presidents and repeat board members are serving the society in these capacities over and over again. President Martinucci informed the membership that he reached out to over 200 technologists via Facebook, email, or individually and has gotten approximately 10% to become members. o His message was: If we could tap 10% of the 17,000 state registered technologists we would be able to offer much more as an organization, as it would increase our finances. The President reported that the Complimentary Membership Project, (originated by Webmaster Bill Brennan) is to offer one free year membership with the hope those 3 students will renew as technologists the following year. It should be noted that we will not know the results of this project for at least another year. Activities: o November 2010 – At the 1199 conference attended by approximately 110 technologists. President Martinucci was asked to moderate the meeting. o April 2011 – Attended the AERT conference and represented the NYSSRS o Mr. Joe Whitton represented the NYSSRS at AIERS at no cost to the society o The board of NYSSRS met at Dr. Charlie Drago’s home for the winter meeting, again reducing expenses o June 2011 – Attended ASRT annual conference and was a delegate for the state of New York along with President Elect Dave Finaldi. President Martinucci stated that he has learned a lot in his first year as president of the society and is looking forward to an even better upcoming year. President Martinucci plans on visiting NYSSRS chapters such as a scheduled trip to the Rochester State Society. A motion was made to recess the meeting until tomorrow, motion passed. 2nd Business Meeting/Session Webmaster Report – Webmaster Bill Brennan has given the website a less cluttered look and displayed a mockup version. The thought is to move to a tab based system. He will work on bringing these revisions live in the next couple months. Treasurers Report Treasurer Joe Whitton reported to the membership that the board this year focused on keeping expenditures down, as well as being more fiscally responsible. While our mission is to advocate for the society, and this requires extensive travel which is very expensive. He pointed out that towards this effort; costs were saved not having the President go to AEIRS. Treasurer Joe Whitton actually went and reported back at no cost to the society. The NYSSRS also saved by not having to pay for two board members expenses associated with the annual ASRT conference that the society are required to send. Treasurer Joe Whitton went over the numbers from January 1st until November 1 , 2011 and explained that the figures will change after conference expenditures/income are calculated. The following figures were reported: Start Balance (1/1/2011): $7,102.90 4 Income to Date (11/1/2011): Dues: $12,843.00 Scholarship: $925.00 Conf Reg: $14,410.00 $29,499.29 Expenses to Date (11/1/2011): $7,572.51 Current Balance (11/1/2011): $28,565.60 One member suggested that the report cover the previous fiscal year from January 1, 2010 – January 31, 2011. This will be taken under consideration. Audit Report – (Audit Committee Chairman Joe Whitton) The Audit Committee was formed by the President following the Winter Board Meeting, as follows: Joseph Whitton – current Treasurer NYSSRS Eileen Doyle – past Treasurer NYSSRS Virginia Edele – past Treasurer NYSSRS The Audit Committee was charged with the task of reviewing the NYSSRS, Inc. financial records from fiscal year 2009 until the present, and reporting the findings to the membership at the 2011 Annual Conference. All of the pertinent financial records were gathered by the committee. Following a thorough review, the committee has determined that the expenditures from the NYSSRS treasury during that period were valid and appropriate. Further, the reporting of income and expenses during this period were accurate. There was a motion made to accept all reports, motion passed. New Business The society is moving forward with some activities with the ASRT. The NYSSRS was accepted into the Affiliate Development Program. The program is designed to help affiliate societies. The NYSSRS will specifically request assistance with increasing membership. o ASRT Representative/Webmaster Bill Brennan pointed out that this is the second round the ASRT has done with affiliates and it is proving successful. 5 Immediate Past President Peterson stated that she had send out 3000 postcards with information about the society and advertising last year’s conference in Whiteplains. Immediate Past President Peterson indicated about 30 inquires and perhaps 8 – 10 people came to the conference as a result. Eileen Doyle suggested sending out the newsletter along with the conference brochure. This was done in the past. Eileen Doyle suggested going to the Adirondacks for the next conference. Gift Membership Program – President Martinucci explained that via the website an area would be created allowing an individual member to purchase a gift membership. President Martinucci asked for feedback on where to hold the next conference and pointed out that based on a motion last year, the conference is currently being held more centrally, here at Corning. Barbara Geiger suggested placing CE credits on the website. The $40.00 membership fee may seem justifiable once technologists are on-line. Increasing membership –Gary LaFountain (President of Capital Society for Radiologic Technologists) commented to the board that potential members want to know what value there is in joining the society and how the NYSSRS can indicate value to potential new members. In response, ASRT representative Bill Brennan made the following comment. o Webmaster Bill Brennan pointed out that the problem of lowering memberships is not unique to NYSSRS but is happening around the country. An ASRT analysis indicates that younger technologists don’t see the value in the type of face-to-face networking that we do here. o Nominating Chair Dr. Charlie Drago echoed the remarks made by Ms. Geiger in that younger technologists want to go on-line from their homes for CE credits and perhaps we can offer several credits a year as the hook for new membership. o Another member suggested tapping into the many students at programs around the state that could benefit from a webinar put on by the society on leadership and the importance of the society. These students could then potentially join the society. Increasing Conference Attendance – Legislative Chair Dominick DeMichele suggested moving the student bowl to a Friday and a full day of classes on Saturday along with the student section. Additionally he suggested lowering the one day fee so it would be more economical for technologists to come for the day. Charters – President Martinucci announced that the society would be giving charters to the Capital District of Radiologic Technologists and the Rochester Society of Radiologic Technologists.
