The tenure candidate will submit Ten (10) copies of the tenure packet to the department chair by September 1. (Tenure candidates should note that these ten copies of the tenure packet are in addition to copies needed for a departmental review.) The department chair will add the necessary materials and forward the packets to the Dean of the appropriate College/School by September 22. The Dean submits a letter on the tenure application to the Vice President for Academic Affairs, with copies to the tenure candidate and the chair by September 29. The Tenure candidate may submit his/her comment on Chair’s and Dean’s recommendations to the VPAA by October 7; the VPAA will forward a copy to TRAC. The Dean will submit two (2) copies of the tenure packet to the Vice President for Academic Affairs and 6 copies, one to each TRAC member by October 7, noon. The Tenure Packet must follow the attached format. Each packet should also include a CD with Sections V, VI, and VII in PDF form. Copies of all student evaluations and grade distributions to date will be provided directly to TRAC from deans and/or the Office of Institutional Research. Three course syllabi, including courses discussed in Section II.B. B. Select copies of representative and relevant course evaluations, such as those referred to in your self-evaluation of teaching. C. Examples of no more than three publications or research projects. (In the case of coauthored publications, the nature and extent of the candidate’s contribution must be explained.) A brief description of the review process for materials submitted in this section; for example, letters from publisher or editor or submission page of journal website. Section IV Administrative Evaluation A. The text of the departmental statement on scholarship. B. Department chair’s detailed and complete evaluation of the candidate. C. Dean’s detailed and complete evaluation of the candidate. Section V Peer Evaluation A. Names of two MSMU tenured full-time faculty members from whom the candidate has requested letters of evaluation to be sent to the chair and the dean. Colleagues should not be members of candidate’s department nor of TRAC. B. Name and curriculum vitae of external reviewer, selected by candidate and approved by the chair, who will provide objective and independent (arm’s length) evaluation of the candidate’s scholarship in a letter of evaluation to be sent to the chair and the dean [inserted by department chair]. It is the responsibility of the candidate to pick up the packet binders at the Office of the Vice President for Academic Affairs. FOR APPLICANTS STARTING EMPLOYMENT DURING 2015-2016 AY MOUNT ST. MARY’S UNIVERSITY TENURE REVIEW PROCEDURE TIMELINE Tenure candidate submits ten copies of packet to department chair. (One copy each for chair, Dean, VPAA, and President, and six copies for TRAC. Ten copies of packet are in addition to those needed for departmental review.) * Chair and Dean should receive all letters solicited by candidate, as well as external peer review of scholarship arranged by chair. All letters, including external review, should be addressed to chair, with a copy sent to Dean. Department chair submits to Dean and candidate a full and detailed report regarding the candidate for tenure. September 1 Chair adds all letters (including own report) to packet and forwards nine packets to Dean. September 22 Dean submits evaluation letter on tenure application to VPAA, with copies to candidate and chair. September 29 Tenure candidate may submit comment to VPAA on chair’s letter, Dean’s letter, external peer review of scholarship, and letters from faculty or former students. October 7 Dean forwards eight copies of entire tenure packet including Dean’s letter and additional letters (if any) to TRAC (6) and VPAA (2). VPAA forwards candidate’s comments on letters and reviews (if any) to TRAC. October 7 TRAC submits its recommendation on tenure application to VPAA, candidate, Dean, and department chair. January 29 Tenure candidate may submit comment to VPAA on TRAC’s recommendation. February 5 VPAA submits to President recommendation on tenure application. February 15 President notifies tenure candidate of decision, with copies to the VPAA, TRAC, Dean, and department chair. March 15 Faculty member may submit appeal to Board with copies to the VPAA, TRAC, Dean, and department chair. May 15 President submits to Board own decision on the appeal, together with the recommendations of VPAA, TRAC, Dean, and department chair. June 15 September 1 September 22 Board may grant appeal hearing at its next meeting. In a year when the number of tenure applications makes it impossible for TRAC to complete its work by November 22, that deadline and all subsequent deadlines will be extended. Candidates will be notified of the President’s decision by March 15. Candidates must file appeals by May 15. TRAC will announce the timeline by April 1 of the preceding academic year.
