IMPERIAL COLLEGE BUSINESS SCHOOL JOB DESCRIPTION Job Title: Exams Manager Job Family/Level: Level 3b Responsible to: Teaching & Quality Team Manager Responsible for: 4 Examinations and Timetabling Officers Key working relationships: Deputy Dean, Programme Directors, Programme Management Teams, Heads of Group, members of Business School faculty, Teaching and Quality Manager, Teaching and Quality Officer, Registry and External Examiners Purpose of post: To ensure robust, reliable and consistent examination processes are working effectively and efficiently, and that management information is gathered, retained and disseminated appropriately To manage all aspects of exams, ensuring best practice that benefits students and staff To manage all timetabling functions To work with the Programme Teams to ensure a high quality, consistent, customer-focussed student experience. Key Responsibilities: Managing examinations 1. Assessment To manage examination preparation, delivery, and grading processes, maintaining confidentiality throughout the process To manage all assessment arrangements, coursework and examinations, and to ensure School and College procedures are followed To ensure assessment decisions are recorded and communicated accurately, systematically and timely To attend all examination boards and ensure that processes are followed accurately and detailed records are kept of these meetings To take a leadership role in trouble-shooting assessment issues To ensure that all administrative processes are designed and delivered optimally and that full documentation is in place To ensure that appropriate and effective contingency and business continuity plans and provision are in place to ensure continued delivery of assessment processes To audit examination procedures and processes on a regular basis To advise on College assessment regulations To work with ICT to ensure systems and databases are fit for purpose and joined up, including evaluating and if appropriate implementing upgrades and changes. To take a customer service approach in the design and delivery of all processes ensuring a positive experience for academics and students alike. To ensure a seamless interface between the Exams Team and others, including academics, Programme Teams, External Examiners, College departments and Registry. 2. External examiners To manage the allocation of all courses to an external examiner To ensure external examiners receive introductory materials and relevant background information at the beginning of each academic year To manage the sending of appropriate samples of assessed work to external examiners 3. Appeals To work with Programme Directors and External Examiners administering student appeals and advising Registry of final decisions. 4. Timetabling & Room Usage To manage effective and efficient timetabling of lecture theatres and all other bookable space To set examination and grade schedules for the academic year To produce examination timetables for all programmes using the College’s timetabling software CELCAT and EventMAP. To provide input in relation to teaching resources and future requirements for the School’s five-year space plan To manage the annual evaluation of planned versus actual room usage Representing the Business School on wider College Committees and Projects, for example timetabling project and shared teaching project 5. People Management To line manage the Exams Team and support them in their personal and professional development To recruit and induct new and temporary staff as required. To recruit, induct and manage examination invigilators 6. Information production & management To draft policies and guidelines – e.g. examination evacuation guidelines, invigilator guidelines To ensure all assessment information is managed professionally, including security, data back up and compliance with legislation including Data Protection Act and Freedom of Information Act To ensure all Exams Office procedures are documented and guidance notes produced and kept up to date 7. Resource Management To set the annual budget for the Exams Office, including invigilator spend and prizes and to ensure the Exams Office remains within that budget Since job descriptions cannot be exhaustive; the post holder may be required to undertake other duties, which are broadly in line with the above key responsibilities.
