DONATIONS QUESTION: What do I do when I receive donated equipment? ANSWER: To document the donation and supply the donor with a receipt, request that the donor complete a Donation Form (PCS 3-2754). The yellow copy should be sent to Property Records. Any donation that exceeds $500 must be submitted to the Board for approval. QUESTION: Will a District Property Tag or District UT Label be issued? ANSWER: When the Donation Form is received by Property Records, tags or labels will be issued based on the following criteria: If the donation is capitalized technology (donor declares the value to be $1000 or more), a copy of the donation memo must be sent to Property Records to receive a District Property Tag. This equipment will be added to the cost center’s fixed asset inventory. If the donation is uncapitalized technology (equipment that has internet capability and the donor declares the value to be $300-$999.99), a copy of the donation memo must be sent to Property Records to receive a District UT Label. The item should also be added to the cost center’s uncapitalized tangible property inventory spreadsheet. If the donation is not technology equipment, but the donor declares the value to be $300-$999.99, the item should be assigned an identification number by the cost center and added to their uncapitalized tangible property inventory spreadsheet. QUESTION: Are computers acceptable as donations? ANSWER: Computers that are donated to a cost center are not supported by TIS. Hardware or software problems must be supported by the cost center. ANSWER: The Donation Form is obtained through the Auditing and Property Records department secretary. The forms are pre-numbered, 3-part carbonless and must be ordered by the principal or department head. Please email Maureen Wilson for instructions. QUESTION: What if someone wants to donate a motor vehicle to my cost center? ANSWER: Any donations of motor vehicles and other equipment requiring a title must have Board approval before becoming property of Pinellas County Schools.
