The main responsibilities of the job are (a) maintaining optimal office operations (reception, clerical, purchasing, etc.) and (b) supporting the JMC team in all business and grant activities. The position is best suited for an independent worker who thrives in a support capacity and values working within a small team. JOB RESPONSIBILITIES Office Administration o Overall business support to ensure smooth operation of JMC activities (perform all administrative functions, incoming/outgoing mail, paper and electronic file management and other clerical activities, technology updates and social media, office purchasing, kitchen and office supplies, parking validations, etc.) o Admin support to JMC team members (creation of documents, note-taking, correspondence, light research) o Calendar and meeting management (scheduling, coordinate on-site and off-site meetings, draft agendas, etc.) o Phone message management (answer phones, route calls, interact with public, clients, nonprofit agencies and vendors) o Events management (planning, coordination, prep of collaterals, follow-up, support for invitees/speakers) o Liaison with third party vendors (IT, Phone, web developer, building maintenance calls, etc.) o Maintenance of office equipment and electronics Project Management o Coordination of JMC workflow and communications about project status o Management of task system and file sharing process o Data entry and reporting Programmatic o Grant proposal management (Grant tracking, reporting data entry, award letters, etc.) o Production of grant docket materials o Assist with communications materials (website, educational and marketing materials) o Conduct research on specific foundation focus areas o Support with special projects as needed QUALIFICATIONS The ideal candidate is detailed-oriented, technology proficient, open to feedback, flexible and eager to grow on a personal level.
