RANK PROMOTION DOSSIERS
REQUIRED MATERIALS, FORMAT & SUBMISSION INSTRUCTIONS
The following guidelines have been adopted to prescribe the format of Rank Promotion Dossiers. These
guidelines are intended to ensure Rank Promotion Dossier materials are transmitted in a consistent format
to aid in efficient review and decision making. Please ensure that all requirements are met before submitting
the dossier. Dossiers that do not meet these requirements will be returned.
There are three sections to this document:
1. Description of Dossier Materials
2. Organizing, Formatting & Naming Dossier Materials
3. Submitting the Dossier

DESCRIPTION OF DOSSIER MATERIALS
1. Application for Rank Promotion – Candidate
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
The Application for Rank Promotion – Candidate is completed by the Candidate
2. Self-Evaluation
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
The self-evaluation serves as the foundation of the dossier and rank promotion evaluation.
Using the Procedures for Self-Evaluation for Rank Promotion document for guidance, the Candidate
will provide (1) a Self-Evaluation Narrative and (2) an Engaged & Sustained Résumé.
3. Curriculum Vitae (CV)
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
The most recent version of the Candidate’s CV. It must be dated and paginated. It should include a
list of courses taught, a list of administrative assignments and professional creative activity/research.
4. Student Course Evaluations
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
If the Candidate assesses themselves as “Outstanding” in Engaged and Sustained Teaching, they are
required to include their student evaluations. Otherwise, inclusion of student evaluations is optional.
The Candidate should check with the Dean’s Office if he/she does not have copies of his/her student
course evaluations for the period under review.
5. Syllabi
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
The Candidate’s syllabi for courses taught during the period under review.
6. Annual Evaluations
Candidate submits to Faculty Affairs as part of Rank Promotion Dossier by October 1.
The Candidate’s Annual Evaluation/Update of Professional Activities Form, Parts I & II for the period
under review. The Candidate should check with the Dean’s Office if he/she is missing either Part I or
Part II of the Annual Evaluation.

7. Supplemental Support
Candidate may submit to Faculty Affairs to be included in Rank Promotion Dossier at any time.
Supplemental support includes any additional information in support of the review. This item can
be updated at any time. However, materials submitted after a stated dossier submission deadline
does not affect subsequent deadlines and does not cause the Peer Committee, the Dean, the Faculty
Rank Committee or the Provost to be obligated to re-evaluate a Candidate.
8. External Reviewer Nomination Form
Candidate submits to Dean by October 1.
Dean submits to Faculty Affairs via rankpromotion@uncsa.edu by February 1.
The External Reviewer Nomination Form is completed by the Candidate and submitted to the Dean
by October 1. Candidates should recommend at least five reviewers to their dean. See External
Review Guidelines for Candidates & Deans and External Reviews FAQ for more information about
selecting external reviewers and the external review process.
The Dean submits the External Reviewer Nomination Form to Faculty Affairs by February 1 for
inclusion in the Rank Promotion Dossier.
9. Copies of all Request for External Review Letters
Dean submits cc to Faculty Affairs via rankpromotion@uncsa.edu as letters are sent to potential
external reviewers.
The Dean submits copies of all letters sent to potential external reviewers requesting external review
regardless of whether external reviewer accepted or not. The Request for External Review for Rank
Promotion Letter Template must be used for all letters of request sent to potential external
reviewers.
10. Final List of External Reviewers
Dean submits to Faculty Affairs via rankpromotion@uncsa.edu by February 1.
The Final List of External Reviewers is completed by the Dean and sent to Faculty Affairs for
inclusion in the Rank Promotion Dossier.
11. External Review Letters
Faculty Affairs sends to Deans and uploads to Rank Promotion Dossier as received.
External Reviewers submit the Application for Rank Promotion-External Reviewer and narrative
evaluation to Faculty Affairs via rankpromotion@uncsa.edu. Faculty Affairs forwards these
documents to the Candidate’s dean and uploads them to the Candidate’s Rank Promotion Dossier as
they are received.
12. Peer Review Committee Evaluation & Recommendation
The Peer Review Committee Chair submits to Faculty Affairs via rankpromotion@uncsa.edu by
December 15.
The Peer Review Committee Chair submits the Peer Review Committee Evaluation &
Recommendation to Faculty Affairs for inclusion in the Rank Promotion Dossier. The Peer Review
Committee Evaluation & Recommendation is comprised of two documents:
 The Application for Rank Promotion-Peer Review Committee
 Using the Peer Review Committee Narrative Evaluation for Rank Promotion Template, a
narrative evaluation that addresses:

the three areas of evaluative criteria: creative activity/research, service, and teaching.
The Peer Committee should indicate their assessment of the faculty member in each area

The Dean submits the Dean’s Evaluation & Recommendation to the Provost. It is comprised of two
documents:
 The Application for Rank Promotion-Dean
 Using the Dean’s Narrative Evaluation for Rank Promotion Template, a narrative evaluation that
addresses:
 the three areas of evaluative criteria: creative activity/research, service, and teaching. The
dean should indicate his/her assessment of the faculty member in each area using the
Guidelines for Reviewers of Rank Promotion Applications and Definitions & Sample Criteria
for ESP Rank Promotion for guidance.


CANDIDATES:
What follows is the complete order of the Rank Promotion Dossier. Candidates need only be concerned with
those documents followed by (C). Please adhere to the following standards:
 Dossier materials must be saved to the Rank Promotion Dossier flash drive in the order shown below.
The flash drive is pre-formatted with the appropriate folders.
 Documents must be saved in pdf format.
 Documents must follow the document title requirements noted below. It is important the title
requirements be followed for the sake of both space requirements and consistency for those
reviewing the dossiers.
PEER COMMITTEES & DEANS:
Documents provided by Peer Review Committees are followed by (P). Documents provided by Deans are
followed by (D). Please adhere to the following standards:

Each document should be saved separately. There are no title requirements but titles should
be succinct and clear with the reviewer’s eye in mind. Document titles that exceed our space
requirements will be returned to the faculty member for editing.

 This document is submitted by the Candidate to the Dean. The Dean is
responsible for sending the document to Faculty Affairs for inclusion in the

SUBMITTING THE DOSSIER
Candidate Materials:
Faculty Affairs will provide a Rank Promotion Dossier flash drive to faculty who submit a Letter of Intent to
Apply for Rank Promotion. The flash drive will be pre-formatted with the required dossier folders.
Candidate materials should be saved to the appropriate folder in the Rank Promotion Dossier as described
earlier in this document under Description of Dossier Materials and Organizing, Formatting & Naming
Dossier Materials above. Rank Promotion Dossiers must be submitted to the Office of Faculty Affairs by
October 1.
The one exception is the External Reviewer Nomination Form. It should be submitted to the Candidate’s
dean by October 1. The dean will submit the form to Faculty Affairs by February 1.
Dean & Peer Committee Materials:
Deans and Peer Committee Chairs should submit dossier materials to Faculty Affairs via
rankpromotion@uncsa.edu. Faculty Affairs will upload your materials to the Rank Promotion Dossier.
