EHS Senior Party Committee Descriptions
Chair positions: Are responsible for overseeing their committees, setting budgets, scheduling committee meetings,
making sure sub-chairs are informed and on task, etc. They are also a part of the Leadership Team and responsible for
attending group chair meetings to address Senior Party progress including budgets, obtaining committee chairs,
communications to Senior parents, keeping the planning process moving forward and working with the EHS personnel.
The Leadership Team involves the following chair positions:
Chair - Entertainment, Games, Photography, Prizes & Donations
Chair - Food & Hospitality
Chair - Decorations & Warehouse
Chair – Fundraising & Sponsorships
Chair – Outreach & Safety
Chair – Administration & Logistics
Treasurer
Volunteer Coordinator
Sub-Chair positions: Are responsible for their individual area including staying within their budget, set-up/decorating and
clean-up, volunteers, updating their Committee Chair of their progress, etc.
*Any and all Chair and Sub-Chair positions can also be Co-Chaired!*
Entertainment, Games, Photography, Prizes & Donations Committee
Chair/Co-Chairs - Decide on and retain entertainment within established budget - Entertainment in Fick Auditorium
(hypnotist, etc.), hall way areas (magician, photo booth, etc.), and in gym (DJ). Obtain contracts for entertainment,
payment and mail. Make sure those contracts for Sub-Chair entertainment areas are also paid and mailed in. Coordinate
with Sub-Chairs in regard to deciding on and ordering supplies/prizes. Monitor and oversee all areas on the night of the
event.
Sub- Chairs Entertainment:
 Movie Room: Plan and order movies/sit-coms to be played in the room the night of the party. Work with
Entertainment Chair to stay on budget. Set-up/Clean up room, oversee volunteers at the Senior Party.
 Palm Reading: Plan and order large games/inflatables equipment for gym and commons area and order
arcade games near Fick Auditorium. Work with Entertainment Chair to stay on budget. Set-up/Clean-up
room, meet with suppliers the day of graduation, oversee volunteers at the Senior Party.

Casino: Working off of previous year’s party information, plan and order rental equipment for the Casino area.
Work with the Entertainment Chair to stay on budget and inform them of any supplies that you need to be
ordered. Obtain volunteers for Casino area and set up training session with volunteers prior to event so that
they are capable of running/dealing at the different games. Meet with supplier(s) the day of graduation for
install of rental equipment; install remainder of Casino decorations, lights, etc.; oversee volunteers the night of
the event, clean-up of area.

Large Games & Inflatables: Working off of previous year’s party information, plan and order large
games/inflatables equipment for gym and commons area and order arcade games for near Fick Auditorium.
Work with Entertainment Chair to stay on budget. Meet with supplier(s) the day of graduation to make sure
install is correct, set-up/clean-up of areas, oversee volunteers running the games at the Senior Party.

Live Acts: Working off of previous years party information plan and book live acts for the event. Work with
Entertainment Chair to stay on budget. Meet with suppliers the day of graduation to make sure install is
correct, set-up/clean-up of areas, oversee volunteers running the games at the Senior Party.

Movie Room: Plan and order movies/sit-coms to be played in the room the night of the party. Work with
Entertainment Chair to stay on budget. Set-up/Clean up room, oversee volunteers at the Senior Party.

Palm Reading: Working off of previous year’s party information, obtain contract for Palm Reader. Work with
the Entertainment Chair to stay on budget and inform them of any supplies that you need to be ordered. Meet
with suppliers the day of graduation to make sure install is correct, oversee volunteers running the palm
reading at the Senior Party.

Tatoos: Working off of previous year’s party information, obtain contract for airbrush Tattoo Company. Work
with the Entertainment Chair to stay on budget and inform them of any supplies that you need to be ordered.
Meet with suppliers the day of graduation to make sure install is correct, oversee volunteers running the
tattoos at the Senior Party.
Sub-Chairs Games: The following individual game sub-chairs work together to plan their room decorations relative to the
theme, equipment needs, work with Entertainment Chair to stay on budget, decorate/clean their game area; schedule
decorations installation and obtain volunteers to staff party.

Photographer/Video:
Take pictures during party set up and during the entire night of the party for website. Upload photos on Edina Senior
Party website. Oversee parent volunteers as photographers during the night of the party. Provide photo slideshow in Fick
Auditorium by 3 am so graduates can watch photos when entering the hypnotist show.
Sub-Chairs Prizes & Donations
Select/obtain prizes – donations preferable or purchase – staying within pre-set budget. Determine how to disperse
prizes, decorate/clean prize area. Staff prize room during party. Ensure thank you notes for donations are sent to donors.
Food & Hospitality Committee
Chair/Co-Chair Food/Beverages: Help plan menu with Sub-Chairs (beverages, entrees, snacks, desserts,) with the
theme in mind. Coordinate with Sub-Chairs in regard to deciding on and ordering supplies. Monitor and oversee all areas
on the night of the event.
Sub-Chairs Food/Beverages: The following individual food sub-chairs work together with the chair/co-chair to plan their
menu/items for their area. Obtain and serve food/beverages to senior during the event. Decorate/clean the food area (s)
within budget. Donations if possible!!

Chair/Co-Chairs Hospitality: Choose and obtain gift(s) for each student for “going away” bag; check seniors in/out of the
party; provide organized space for seniors’ personal belongings that can’t be brought into the party. Receive any prizes
won and place in senior's bag or laundry hamper. Decorate/clean their space. Staff party. Maintain budget.
Sub-Chairs Hospitality
Student check in: Responsible for obtaining ID lanyards for student’s paperwork, working with sub-chairs to design and
print all paperwork needed in ID lanyards, checking students in the night of the party. Set-up/Clean-up of check in area
and staffing.
Student personal property area: Responsible for obtaining hampers for student’s property, labeling hampers, staffing
the area for check in of student’s items throughout the night, making sure that student’s personal decorations, prizes won
that evening, etc. are in their hamper for pick up, check out hampers to student’s at end of party. Set-Up/Clean-up of area
and staffing.
Volunteer Support: Responsible the night of the event for making sure that volunteers needs are taken care of,
beverages/food delivered to areas, supplies delivered, etc. Set-Up/Clean-up of area and staffing.
Decorations & Warehouse Committee
Chair/Co-Chairs: Overall artistic development of the theme -- work with individual committee chairs and hall captains to
develop decorating themes; oversee and coordinate use of warehouse by all committees for work. Work with decorations
committee to order and supply decoration materials at the warehouse. Work with the Decorations sub-chairs listed below
to make sure that the theme is carried out and budgets are met in the various areas. Oversee decorations installation in
the high school. Work with Clean up Committee to ensure that the high school and warehouse is cleaned out. Maintain
budget.
Sub-Chairs Decorations
Decorations-Bodies: Find suppliers for printing, set up dates for workshops at warehouse, set up dates for drop off of
bodies at warehouse - send information on all to communications sub-chair to get to parents, order/re-stock supplies,
supervise individual student mock-ups done by parents, help decorate/set-up/take-down. Works with Care Committee to
make sure that each senior is represented.
Decorations – Entrance: Work with decorations chair to design and construct the outside entrance to the High School
that is theme related. Obtain volunteers to help with set-up/clean-up and transportation to and from the High School.
Decorations Game Rooms: Work with game chairs to design and construct the decorations for the individual game
rooms that are theme related. Help decorate/set-up/take-down.
Decorations – Hallways: Work with decorations chair to design and construct the hallways within the party area that is
theme related. Help decorate/set-up/take-down.
Baby/K/Senior Photos: Obtain senior and baby pictures of each senior and incorporate them into a display within the
theme idea. Determine display theme. Obtain kindergarten pictures of each student; design and incorporate theme idea
into picture display within the theme idea. Return items to senior's through Sub-Chairs Student personal property area
where they will place these souvenir items in their respective bags to take home. Obtain volunteers to decorate/take
down/clean space. Maintain budget.
Warehouse: Obtain and manage contract for warehouse rental space, supervise warehouse space, arrange for transfer
of props/decorations to-from warehouse-school and back as well as transfer of props/decorations to storage facility.
Fundraising & Sponsorships Committee
Sub-Chairs Fundraising: The following individual sub-chairs supervise and implement fundraising opportunities. This
includes all aspects of the specific fundraiser including deliver/pick up of items, ordering supplies, financial aspects
including working with treasurer on deposits, etc.
Flower Sale:
Work with greenhouse in the fall to place order - estimate sales; promote flower sale in winter/spring, arrange for
order forms to be delivered to homes, receive and tally orders, arrange for product delivery and customer pickup.
Work with Treasurer on receipts and invoices.
Restaurants:
Contact area restaurants to get their approval for a restaurant of the month. Seniors, families, friends attend the
restaurant on a designated day and a portion of the sales goes towards Senior Party. Try to arrange one
restaurant a month.
Mister Car Wash:
Make arrangements to sell Mister Car Wash full serve car wash coupons and 50% of sales go towards Senior
Party.
Sponsorship: Responsible for obtaining local businesses, families, organizations etc. for sponsorship of event, work with
treasure in regard to depositing funds, ensure that a BIG sign listing sponsors is at the open house and that all areas of
sponsorship receive signage for display in their area (game rooms, entrance, etc.), set-up/clean-up of signs and ensure
thank you notes for donations are sent to donors.
Outreach & Safety Committee
Chair/Co-Chairs Outreach: Responsible for overseeing and assisting the below listed sub-chairs.
Care Team: Responsible for trying to making sure that each student is represented at the party with whatever personal
decoration has been chosen by the photo wall committee and/or bodies committee. These students are usually in the
ABC (A Better Chance) program. Care Committee also makes sure that the students have registered for the party and
extends a scholarship to attend the party if low income. Some of the families have language & cultural barriers.
Community Service: Agree on an appropriate service project to be completed during the party by the seniors. Stay within
budget. Arrange for delivery of completed service project if necessary. Decorate/clean space. Obtain volunteers for night
of the party.
Chair/Co-Chairs Safety: Responsible for overseeing and assisting the below listed sub-chairs.
Health Services Committee:
Provide medical staff during the party (usually parent volunteers who are doctors/nurses).
Security Committee:
Responsible for security of building during set-up, public open house and during event. Junior class parents staff security
during the public open house – contact Junior Transition to staff security prior to party. Help with general decorating and
cleaning after the party.
Administrative & Logistics Committee
Chair Treasurer: Treasurer is responsible for preparing the budget with Leadership Team, depositing checks, checking
account, paying bills/invoices and financial records. Treasurer also works with the Edina Community Foundation (501c3)
regarding donations that are tax deductible.
Chair/Co-Chair Administrative: Responsible for working with and overseeing sub-chairs to prepare agendas, conduct
meetings, create two newsletters (February and May), organize mailings, prepare party announcements on monitors at
school, provide senior party updates to the Hornet Headlines.
Sub-Chairs Administrative
Communications: Responsible for working with sub-chairs to prepare agendas, conduct meetings, create two
newsletters (February and May), organize mailings, prepare party announcements on monitors at school, provide senior
party updates to the Hornet Headlines.
Graphic Designer: Design logo for website, thank you notes, and letterhead.
Web Designer / Webmaster:
Initial design and edit website over the course of the year. Work with General sub-chairs on content.
Chair/Co-Chair Logistics: Responsible for working with and overseeing the below sub-committees.
Junior Transition Committee: Obtain a Junior Parent who will be responsible for the transition from this year to next.
Work with the next year's Senior Party committee to preserve props and decorations for their party. Arrange for current
junior parents to staff Junior Security the day of graduation, through the Open House and until senior parents arrive from
graduation.
Set-up/Clean-up: Work with individual committees and hall captains to organize cleanup of high school after the party;
obtains dumpsters for warehouse and school; work with Junior Transition Chairs for next year’s party to donate party
props/art; help organize clean-up of warehouse.
Transportation Committee:
Work with District to ensure that seniors get from graduation ceremony to the party. Check grads’ dressing rooms at
Graduation Site & buses for forgotten items & bring items to Host Committee so they can get items back to students.
Arrange for volunteers to ride buses from Graduation Site with seniors. Arrange for water/snack and bags for personal
items to be on the buses.
Volunteer Coordinator: Volunteer Coordinator works with the Leadership Team to recruit parents to serve as
Committee Chairs for the Senior Party. Volunteers are needed to serve on various committees prior to the night of senior
party. Volunteer Coordinator sets up computerized volunteer sign up (sign up genius) for parents to volunteer and take a
shift the night of the party. Staffs the volunteer check in area the day and night of the event.
