Job Posting Administrative Assistant Position Overview Rural Action is seeking a thoughtful, well-organized individual for a full-time Administrative Assistant position responsible for day-to-day support of the CEO of Rural Action as well as support to other staff on an as needed basis. The person in this position will play a central role supporting operations at Rural Action, including meeting logistics, supplies purchasing, and building support at its main offices, The Kuhre Center for Rural Renewal in The Plains, Ohio. In addition to email, phone call, and receptionist duties, the Administrative Assistant will also be a Salesforce administrator responsible for staff training, performing data entry, and extracting reports. In that role, the Administrative Assistant will play a key supporting role for membership development, donor acknowledgement, and member/donor communications and outreach. The usual work schedule is 40 hours/week, Monday – Friday. Responsibilities Perform all requested administrative duties for CEO; Manage Rural Action’s SalesForce database and act as the overall database administrator; Run all required database reports as requested, including membership, major donors, volunteers, etc.; Provide technical assistance to all Rural Action SalesForce computers and operators; Provide meeting and logistics support for the Kuhre Center and off site meetings; Schedule and manage board meetings and board materials; Write and send gift acknowledgement and thank you letter correspondence to members and donors; Take or type notes and minutes upon request; Answer the phone and take messages; Ensure implementation of Kuhre Center building policies; Purchase office and building supplies; Check and distribute mail; Log incoming checks; Manage shared calendars and email systems; Manage voice mail system; Add/remove email accounts for all staff, AmeriCorps, lead volunteers; Manage email lists; Assist with minor email and technical/computer/printer systems issues at Kuhre Center and by phone with other RA offices; Other duties as assigned. Specific Qualification Working Knowledge of Salesforce Database or SQL language is required; Proficiency in Microsoft Office: Word, Power Point, and Excel. Outlines, mail merges, and presentations will also be important; Strong skills in internet research and Google calendar/mail. Minimum Qualifications Associates degree and/or equivalent prior experience; Detail oriented with strong computer skills; Database experience; Outgoing personality and a strong interest in getting to know and helping Rural Action members and staff; Excellent communication skills, both written and verbal (face to face and by phone); Ability to anticipate needs and work without constant supervision; Ability to work well independently and with others at all levels of management and staff; Ability to have a flexible schedule with availability for periodic weekend and evening meetings; Nonprofit experience a plus.
