SARC Tennis Committee MINUTES WEDNESDAY, JUNE 1, 2011 7PM SARC PAVILLON MEETING CALLED BY Diane Michaud, Tennis Chair NOTE TAKER Jodi Haire ATTENDEES Diane Michaud, Jodi Haire, EJ Burgess, Lisa Bateman, Jane Diepenbrock , Bill Keown Agenda topics CHAMPIONSHIP TEAMS GOING TO STATES DIANE MICHAUD Diane introduced the issue of establishing a consistent policy when it comes to what, if anything, SARC provides monetarily to tennis teams who are traveling to compete in state, regional or national competition. To provide history, Diane explained that two years ago was the first time in recent history that a SARC team went to state competition. The Club gave the team $150 to help offset the cost of attending the competition. The next year there were three teams going to compete in States, and the $150 was split among the three teams. This year there could be more. None of the money given to these teams was in the Tennis budget line item and if this continues in a more consistent manner, the money would need to be budgeted. Diane proposed that the Tennis Committee establish $50 be given to any team who goes to compete at State, Regional or National competition. Discussion of the committee continues determining what asset a minimum amount like $50 would be to a team. The committee decided that the Club should wean off the expectation of any money going to a team. In fairness, the two teams going to States from the CONCLUSIONS current season will get the expected $50 each and communication will be added to the Policy & Procedure noting that after Summer 2011 the process will not be continued. DISCUSSION ACTION ITEMS PERSON RESPONSIBLE DEADLINE Na na na SARC TEAMS AND DECIDING HOW TO DETERMINE WHICH TEAMS ARE ASKED TO PLAY OUT OF MILLBROOK DIANE MICHAUD As requested by Lisa Bateman, Diane re-introduced the discussion of the best way to determine what SARC teams are asked to play out of Millbrook when there are more teams than the courts can handle at the same day/time. Committee reviewed the different options that had been discussed in the past and determined that the only way to be fair is to follow the USTA tennis body guidelines as ensuring “a team is a team, no matter the make up or levels of the players”. DISCUSSION CONCLUSIONS As has been the process for the last two seasons, each day/time section of team play will get one SARC court each. If there are additional teams and enough courts, each will be a SARC team. If there are more teams that the courts can handle then the remaining teams will be randomly drawn from a hat. ACTION ITEMS PERSON RESPONSIBLE DEADLINE na na na BANNERS AND SIGNS POLICY FOR WINNING TEAMS DIANE MICHAUD DISCUSSION The Policy and Procedure needs to be updated to specify when SARC will pay to produce banners and signs for winning teams. CONCLUSIONS Committee determined that metal championship signs will be provided by SARC only for Regional/Section/or City Champions. The WINNER #1 of local playoffs – no other place. No sign or banner for an “undefeated season” when a playoff or further competition isn’t provided. The committee agreed to start to introduce the process of generating volunteers from each tennis USTA level and when more than one volunteer comes forward, there will be a public hat draw to determine the representative.
