Minutes - DRC Meeting: July 16, 2015, 9:30 am. Present: Cathy Jin (E), Bryan Ventura (E), Anna Badalyan (T), Katie Alvarez (T – USC intern), Alfred Gallegos (E), Laura Cruz-Atrian (T), Sarah Master (M), Joan Lang (H), Moon Ko (D), Rhea Estoya (H), Maury Pearl (D), Ani Zarpas (V), Rene Marquez (T), Agyeman Boateng (W – by phone), and Michelle Fowles (V – by phone). Anna chaired the meeting. She invited all to introduce themselves as courtesy to the members. Agenda items: 1. Agenda, added to the items to the floor section: FTEF National Clearing House Awards CalPASS ACCUPLACER Exclusively Non-Credit students 2. Review 6/18/2015 minutes (all) Consensus on last meeting's minutes. 3. Contact information update (all) Anna asked the present members to review the contact form and update as necessary. 4. Gainful Employment Reporting Update (DO) Maury: all files have been submitted; end of summer record corrections made. Stan working with the Financial Aid campus representatives; another submission in October. DO to keep producing the data set, but campuses will be doing future data upload. Maury: There is PowerPoint available which what the Feds will do with Gainful Employment data. Anna: PPA List (Program Participation Agreement List) – submitted by the Financial Aid office. It was requested that final working GE tables with top codes to be shared with campuses. 5. FTES (DO) DO submitting the FTES report next week after asking for an extension. 4.78% growth project in the last FTES report for LACCD – All reported FTES were funded and now it becomes our new base. Not an issue as of now as a whole for the District, but a few campuses did not meet their targets. Campuses that met growth targets: M, P, W, T, and E. Anna: Would be nice to have a PD session to help new members understand the importance of FTES (what is FTES, what are the formulas being used to calculate FTES, etc.). Ani: Valley looking into this issue after identifying many student coded as non-resident and their FTES not being funded. 6. Accreditation QFE (Quality Focus Essay – all) Anna: PACS model; campuses could share their reports with the rest of the campuses. Anna showed an example of Trade's IB2 report. 7. PRAP table (all) Small team from DRC (Anna, Bryan, Agyeman, Ani, Maury) met to decide data sources for the report. Different groups are responsible for different database tables. DRC's ACCJC DATA PACK work group vision: different members create the necessary tables (student data, course data, enrollment data, cohort data, etc.), and then put all of the tables in an Access database and use Crystal Reports for the reporting part. Anna showed the "Cross-Match – Accreditation Data Needs" table that includes the fields needed for the report and the different data sources. She described to the attendees how the different data sources can help obtaining the data needed for the report and the reasons why. Column D of the table includes the recommended data sources. It was shared why specific data source was chosen. Data Mart is a good source of cohort analysis; using the same standardized format and data, with each campus individual analysis. DO has the same data already for the Scorecard (data appendix). In Trade, the cohort data has been used to show trends in cohort completions, etc. (LATTC Student Success Scorecard). Anna: we will have a webinar to discuss data elements and definitions. IRDS is historical data. Enrollment data in IRDS is not bad. Data Mart has ITV with its own code as the rest of the campuses in LACCD. Maury was asked to check what to do with ITV report/data The primary source for course data is Protocol. Need to identify how online classes are defined in code and which fields contains the data. Protocol data is more reliable than SIS. Need to identify the process being used to maintain Protocol (contact Eddie Alfano). Question: is the new Veterans code to be used? 8. Accreditation DATA PACK (work group) Leadership members in some of the campuses have been asking about the data pack for the ACCJC report (e.g., East). Anna showed the online report created by the Santiago Canyon College. 9. Items from the Floor (all) FTEF i. FTEF is obtained from Protocol by most of the members. ii. BW/IRDS Enrollment is not duplicated, but FTEF is divided between the faculty members on record for the course. National Clearing House i. LACCD participates in the Clearing House, but DO OIE does not provide data; Central Financial Aid with IT create those files and uploads are done. DO OIE used to create the ATD files. ii. Clearing House data includes gainful employment information in one of its elements but it may not be populated at this time. Awards i. Maury to contact campuses to have award data ready for MIS September upload. ii. All to send award data corrections to Stan. CalPASS i. Maury has the MOU (participation). ii. Launch Board – CTE to maintain data, Researchers to upload. ACCUPLACER i. In need of scores conversion table between ACCUPLACER and COMPASS Exclusively Non-Credit students i. Michelle: there is a field in IRDS that identifies students that are only Non-Credit. Two fields are used: a "0" in the Credit FTES field + a value in the Non-Credit FTES field = Exclusively Non-Credit student. 10. Adjourn Meeting adjourned at 12:35 p.m.
