Step 1 – Identification and Scope
Brief description of the decision, policy or practice being assessed
In light of the pending closure of City Campus the Admissions Team have identified
Room 1/5 as the best alternative location as the base for operations. After consideration it
was agreed that keeping the team together in a space which would accommodate both
the processing team and the paperwork and filing generated by the Admissions process
would be the best operational solution.
Aims of the decision, policy or practice?
The West Campus is a suitable venue for the Admissions function as this will provide
distance from Faculties which can be an advantage for advisors, in that they can
effectively manage communications without the disadvantage of regular drop in enquiries
from Faculty staff. This could be a particular problem in some of the larger Campuses.
Further enhancement of alternative digital admissions communications processes
should allow for no adverse impact and indeed improve on current arrangements.
Admissions staff will still be available for drop in enquiries for new applicants and are also
working on improvements to enquiry handling in order that a wider group of staff can
assist with this process in other Campuses.
The location in West Campus also allows an enhancement of the service which the wider
Advice and Guidance team provided for students based in West. This should allow for 5
days per week cover 7 hours per day which would be a significant improvement on the
current arrangements and greatly enhance the student experience.

Step 2 – Research and Consultation
Outline evidence / research (e.g legislation, codes of practice, websites)
As the City Campus is closing there is a need to move the Admissions Team and some
research took place into suitable areas in other college campuses which were large
enough to accommodate team and files etc.
At merger the need for a centralised team carrying out Admissions was recognised and
last years Admission cycle has shown that this model works well for Glasgow Kelvin
College.
Research took place into other colleges and their Admissions Teams and this showed
that a centralised team working from one location is the most used model of Admissions.
It was therefore necessary to move the Team to one location. As the Springburn and
Easterhouse Campuses are limited for accommodation, and the East End Campus was
not the most suitable for staff arrangements, the West Campus was felt to be most
suitable option.
What consultation has been undertaken on this policy or practices, including
consultation with those affected? (e.g students, staff, members of the public,
partner organisations, Students Association, Trade Unions, external
organisations)
The team members personal travel to work journeys and preferences were canvassed
and the West campus came out as preferred. The team come under considerable
pressure throughout the year and this will also help significantly with morale.
Trade Union have no concerns about this move as it is the preferred option for staff
involved.

Research Key Findings (consider what where the findings, what changes
were made to the policy, procedure, decision as a result of the findings or
did they reinforce the policy, procedure or decision)
The findings show that as the Admission Team do not predominately offer a front
facing service that the West Campus was a suitable location.
As part of the wider Advice & Guidance team the presence of staff to help learners on
a daily basis will be significantly improved in West Campus as Admissions staff also
provide front line Advice & Guidance services as appropriate allowing other staff in
team to concentrate on 3 other campuses.
The only change to service for applicants is that the Admission Team will no longer be in a
city centre location, as the City Campus is due to close, this was unavoidable.
Applications for college are made online and applicants can follow progress of
application through website, paper forms are available at all campuses where Advice
& Guidance staff offer support.
Faculty staff not based in West campus who have meetings with Admission will need
to travel to West, this will only affect those in City Campus as other campus staff have
always had to go to Admissions in City.
Admissions team are developing better online communication to prevent the
necessity for staff to visit team, advice & guidance staff in other campuses will assist
with this.

Step 5 – Monitoring and Evaluation
Identify how this policy will be monitored and any areas of concern
reported.
The decision to move Admission to the West campus with be monitored as part
of the ongoing Admission Review
Please present your EIA with recommendations for endorsement. All EIAs will
be published on the Portal and added to the current record of EIAs.
