In order to present the most professional image possible and to maintain good working
relationships with our clients and venue staffs, we ask for your cooperation in adhering to
the following guidelines:
1. Once you have signed a contract with ABC Event Company Ltd. you are considered
to be working for ABC Event Company Ltd., and no other company, whether it is
your own or someone else’s. In such capacity, you will be expected to conduct
yourself professionally and with courtesy at all times. When first contacting clients or
venue staff, please identify yourself by name and the fact that you are representing
ABC Event Company Ltd. If, for any reason, disputes arise over any matter, ABC
Event Company Ltd. must be notified as soon as possible if no company
representative is on site.
2. Prior to any load-in of equipment or décor and prior to any setup of equipment or
décor at a venue, the crew supervisor will report to the Banquet Captain in charge or
to the appropriate venue manager to ascertain:
 the correct location to park vehicles for unloading and how long the vehicle may
remain there;
 the correct route to take to load-in equipment;
 any scheduling problems;
 any special requirements (e.g. request for no noise, etc.).
3. The same procedure as in (2) shall be followed for equipment strike at the end of an
event.
4. The minimum dress for all technical personnel (e.g. decorators, technicians, and
laborers) shall be clean T-shirt and work pants (same for males or females).
Whenever possible, all personnel shall wear a clean ABC Event Company Ltd. Tshirt (available at no charge at the company office). Technicians (e.g. audio and
lighting) on duty at events shall wear shirts, ties, sports jacket, and slacks as a
minimum. Performers shall always wear appropriate stage attire (except when a
costume is called for). Blue jeans and scruffy clothes are not acceptable.
5. All technical staff, decorators, and performers shall re-check the details of their
contracts with ABC Event Company Ltd. at least 48 hours prior to an event.
6. For those required to meet a schedule (e.g. setup of décor), a re-check of contract
details is vital, and any deadlines that are not met may result in financial penalty.
Please keep in mind that hotel and venue staffs invariably require at least one or two
hours with a clear room to prepare for an event after all décor and equipment has
been set up.

7. Be mindful of requests by hotel and venue staff. For example, a request for no nails
in the walls means just that! A discovery later on that a simple request has been
ignored, can only be detrimental to both ABC Event Company Ltd. and you as a
subcontractor.
8. You are responsible for all cleanup of mess resulting from your particular
responsibility area (e.g. decorators should vacuum or sweep all areas after setup and
after strike, technicians should ensure all tape, wires, and other miscellaneous small
pieces are not left behind, and performers should ensure their stage or performance
area is left clean).
9. BE PREPARED! Ensure—before you leave home, office, or warehouse—that you
not only have all necessary equipment but also enough of all items. Use a checklist.
Do not expect the hotel or venue to supply extension cords, duct tape, tools, ladders,
vacuum cleaners, brooms, lights for music stands, or other essential items that are
your responsibility. Asking to borrow equipment makes both you and ABC Event
Company Ltd. look disorganized.
10. Consumption of Clients’ alcohol or food when under contract at an event is not
permitted. Do not help yourself to either unless specifically invited to do so by the
client or by ABC Event Company Ltd. staff. Any subcontractor, supplier, or
performer found or reported to be under the influence of alcohol or drugs at an event
shall no longer be contracted by ABC Event Company Ltd.
This addendum shall be considered part of your contract with ABC Event Company Ltd.
