POSITION DESCRIPTION Administration Officer – part-time (One-year contract) 1. DATE APPROVED 2. POSITION CONTEXT May 2015 Women with Disabilities Victoria is the peak organisation for women with disabilities in Victoria. Its mission is to lead the way for Victorian women with disabilities and improve women’s choices by being a voice, building partnerships, providing information and engaging the community. Women with Disabilities Victoria communicates with community organisations and government about the critical issues affecting women with disabilities. This position is located within the Women with Disabilities Victoria office at Level 9, 255 Bourke St., Melbourne. 3. POSITION OBJECTIVE Undertake the efficient and effective administration of Women with Disabilities Victoria. 4. KEY RESPONSIBILITIES Administration Undertake general administration on behalf of Women with Disabilities Victoria Perform finance administration duties to support the WDV Accountant Be the welcoming face of WDV Provide governance support to the Board as directed. Tasks associated with the above responsibilities: Answering the phone and receiving incoming requests from the public (via email, phone and reception). Provide referral to other agencies when required Organisation of staff meetings and maintenance of WDV calendar Management of Board papers and other Board support including minute-taking Co-ordination of staff reporting to the Board and funders Processing of accounting transactions and supplying information for monthly accounts Processing of memberships and maintenance of member database Logging and reporting of hardware and software issues to IT support service Liaison with property manager and suppliers and maintenance of office equipment Purchasing of office supplies and obtaining quotes Administration of events including distributing invitations, managing RSVPs, coordinating venue, catering and accessibility services Providing support for recruitment and employment processes Undertaking membership and other mailouts Maintenance of general office environment and staff duty roster General administration duties such as photocopying, maintenance of files, booking of rooms and facilities, and other duties as directed Support the Business Manager as directed. General The following responsibilities are carried out by all staff: Contribute to Women with Disabilities Victoria’s capacity as a feminist organisation to deliver its goals, enable and support high performing teams and foster productive internal and external relationships. Provide verbal and written reports and activities data as appropriate. Active involvement in a reflective learning organisation committed to strategic and operational planning, setting performance objectives, policy development and review, evaluation, risk identification and risk management. Work within organisational policies, procedures and Enterprise Bargaining Agreement. Undertake other duties as directed. 5. ORGANISATIONAL RELATIONSHIPS 6. ACCOUNTABILITY 7. Contribute to the culture of the decision making processes on a day to day basis. Work collaboratively with all members of the WDV staff and Board. The position will report on agreed objectives and tasks to the Women with Disabilities Victoria Business Manager. The position is subject to annual performance appraisals. SALARY, POSITION HOURS AND TERM WHV EA 2007 Level 1 Year 2 Salary is $40,444 pro rata. In addition, employer superannuation guarantee contributions are made. This position is for 24 hours per week to be worked over 4 days (Monday-Thursday). This position is a one-year tenure from the date of appointment. Salary packaging is available to all staff. 8. WHV ENTERPRISE AGREEMENT CLASSIFICATION LEVEL AND DEFINITION WHV Enterprise Agreement 2007 Level One Classification definition is as follows: Work is likely to be under routine supervision with intermittent checking, but may take the form of general guidance and some autonomy where working in teams is required. Responsibility for some roles and coordination within a team may be required. Problems can usually be solved by reference to procedures, documented methods and instructions. Assistance is available when problems occur. Competency at this level involves the application of knowledge and skills to a range of tasks and roles. There is a defined range of contexts where the choice of actions required is usually clear, with limited complexity in the choice. Competencies are normally used within established routines, methods and procedures in some cases involving discretion and judgement about possible actions. 9. ENTERPRISE AGREEMENT LEVEL 1 COMPETENCIES FOR THIS POSITION 10. Understanding of the functions of the service, conditions of employment, occupational health and safety as well as personal responsibilities (such as ethics and duty of care). Ability to implement work plans, manage allocated work with minimum supervision and provide guidance and training for others in the work area. Ability to complete workplace paperwork, respond to clients and supervisors, convey information and ideas to clients as well as receive and understand information and ideas. Initiative and ethical behaviour, with identification of gaps in skills and training needs. Selection and use of equipment appropriate for each task. Understand the importance of equipment maintenance in line with standard procedures. Safe work practices are applied, workplace hazards are identified. Ability to write material and understand written material which is relevant to the work area as well as accurately record data, and make calculations according to workplace procedures. SELECTION CRITERIA Commitment to feminist principles and the rights of women with disabilities. Demonstrated administration skills including experience in financial admin duties. Computer literacy including experience with MS Office and contact databases and general competency in and understanding of IT systems. Communication skills, including the ability to provide a welcoming face to the public. Organisational skills. Capacity to work effectively within team environments.
