During my placement I had the opportunity to learn from experts in the field and I managed to develop my competencies greatly. I want to thank African Agenda for hosting me as an intern and teaching me about the professional conference industry. I want to thank my company supervisory, Kristen Tremeer specifically for coaching me when needed. Moreover I thank my school supervisor, Claire van het Bolscher, for all the helpful interim meetings and her feedback provided on my reports. It felt really good to me that my school supervisor was situated in the same city and that she was able to come by personally at the placement company. Kristen Tremeer and Claire van het Boscher both helped me develop my competencies thorough my internship period. I am very thankful for the great and interesting time I had in South Africa. I learned many things about the workfield, different cultures, the country and myself. Chapter 1. Introduction Learning in the field is an important component of the programme in Leisure Management. This practical learning means learning IN the professional field. Doing a placement is crucial for being able to learn in the professional field. I did my placement at a professional conference company, which is named African Agenda. During this placement I transferred the level 2 leisure manager competencies and developed level 3. I applied the material learned in 2 of competencies 1 to 6 at level 2 by acting as a Leisure Manager and by producing a professional product. During my internship I mainly focused on the project manager, research and imagineering professional competencies. I also developed Creative leadership (competencies 7a/b and 8) at level 3. This placement report is a practical document in which I look back on my development during my placement at African Agenda. This report contains of a description of the placement company and a final report on assessment interviews is demonstrated. Moreover, all creative leadership assignments are added. And in the last chapter is described why I am a more competent leisure manager after I completed my placement. Within this report is especially highlighted how I have worked on developing the professional competencies. Chapter 2. Description of the Placement Company Within this chapter a description of African Agenda is demonstrated. This description contains the history, organizational chart, internal communication, product and target group and the companies network. There is also a description of what I have learned about the leisure and conference industry. Moreover my vision concerning the management style applied within the company is indicated. 4 History African Agenda In this chapter the history of the company’s origin and development is explained briefly. Keith Burton is the owner of African Agenda, before launching this company he graduated from the University of Cape Town with a business degree and spent time working in corporate finance and project management before embarking on a career in the conference industry. African Agenda was launched in 2004. Before African Agenda, Keith also had his own business, which was named Fast Function. Fast Function is an online company and was opened in 2001 when the Internet boomed and became successful. Fast Function offers an online conference and event searching service. When Kristen Tremeneer joined the company in 2004 and showed the importance of her role in the company, she and Keith decided to grow and focus more on conference organization for a larger amount of delegates and professional companies. Therefore African Agenda was launched as a company. Kristen and Keith’s goal was to become the leading professional conference organizers. African Agenda is focused on the full organization process behind professional conferences, which is something Fast Function did not offer. Fast Function is still an existing company although they only have two current clients. African Agenda is currently the main focus of Keith and Kristen and as a result Fast Function will most likely not exist in a couple years time. Organizational Chart In this chapter the duties and responsibilities of all employees working at African Agenda are described and demonstrated in an organizational chart. In total African Agenda works with six employees, including the manager/ owner of the company named Keith Burton. Keith is exceedingly thorough, has excellent management skills, and is a leader that brings out the best in the people working around him according to the employees working for him at African Agenda. Besides Keith, the most central employee of the company is Kristen Tremeneer. Kristen and Keith are basically running and managing the company together both with different fields of responsibility. Whereas Keith is responsible for the money and logistics part, Kristen is said to be the actual messenger of the company. Kristen is responsible for speaker and program management, the development of communications materials and conference publications and works with Organizing Committees on all aspects of their Scientific Programs including conference analysis and comprehensive report writing. Having discussed the two most crucial employees to this company, there are four other highly important employees. The first one to be discussed is Davinia Lamb, who manages the delegate registration and administrative process, including invoicing, payment reconciliation and accommodation arrangements. Moreover, a very interesting point is that the other three employees work with a routinized system regarding tasks for every conference. Karen Hillard, Sedicka Allies and Lisa Vickers are the project leaders and get different tasks and topics assigned for every new conference. These topics that are exchanged amongst the three of them are the following: programming, 5 marketing, logistics, social events, sponsorship/ exhibition / delegate inserts and bursaries / special cases / VIP invites. I performed as an assistant project leader, which means that I helped out with any of the exchange topics mentioned above. Below an organizational chart is demonstrated in order to indicate the duties and responsibility of each employee working at African Agenda in an efficient overview. All employees working at African Agenda (in total 5 plus 3 interns) attend this work meeting. The exact process of these meetings is described within the creative leadership assignments. Product and Target group In this chapter the product and target group of African Agenda are clarified. The product is explained in four different parts, namely; the actual product, the level of BBBEE, the company’s philosophy and the green policy are described. The target group is clarified in the first paragraph of this chapter. Target group African Agenda is a PCO specializing in national and international conferences for associations, academics, NGOs/non-profits, government and companies. That also organizes exhibitions and other conference-related events. African Agenda markets itself as a fullservice, hands-on partner for clients, committed to seamless service and the highest levels of professionalism additionally with more than ten years’ experience in the industry they claim to be one of Southern Africa’s most well-established and reputable PCOs. 6 On the website African Agenda mentions besides focusing on organizing professional conferences, that they also organize incentive travels and events. However, this is a product, which they actually do not offer. I regret this being an ILM student since this product was more focused on creating the best experience for the clients and visitors. I personally highly enjoy figuring out how to organize an event that creates the most ultimate experience for its visitors. It’s a shame that this is not the main focus of African Agenda regarding the organization of national and international conference. BBBEE An important part of the product for many companies in South Africa is the level of BBBEE. African Agenda currently has level 3, however they are trying to obtain level 2, which is better. The goal of Broad-Based Empowerment is to distribute wealth across as broad a spectrum of previously disadvantaged South African society as possible. Obtaining level 3 instead of 2 means making progress in the following categories: Ownership: Refers to the amount of black shareholders within the company Management control: Refers to how many black people have strategic and operation control in the company. Employment equity: Refers to how many black people are employed in the company. Preferential procurement: Refers to how the business will procure services and goods from black suppliers. Skills development: Refers to how the company is investing in skills training for black employees. Enterprise development: Refers to how the company is assisting black business development in the country. Corporate investment: Refers to how the company is assisting black beneficiaries. Conference Philosophy An important factor regarding the product is the philosophy of the company. Keeping the conference philosophy in mind enables African Agenda to create the actual product offered. This philosophy concentrates on the conference itself, the setting and the company. The company philosophy is described below. Conference During the organisation and management of a conference, the client and the Conference Organiser share common goals, which are the foundation of a partnership. African Agenda feels as strongly about your event as you do, and this ownership philosophy is reflected in their commitment and energy. The senior management is personally invested in the success of every conference and anyone can be assured to receive professional, hands–on service at all times. The setting African Agenda believes in using the destination to enhance the event. African Agenda believes that the increase in the number of conferences globally means increased competition for international delegates attention and it is vital to use the extraordinary destination that is South Africa as a draw card. 7 The company The African Agenda conference management team is ambitious and works hard to ensure that the company becomes the leading professional conference organizer in Southern Africa. To achieve this, they guarantee excellence in each and every event that they organize. Green Conference Policy Another highly crucial factor regarding African Agenda’s product is the green conference policy. African Agenda wants to operate as environmentally friendly as possible. African Agenda recognizes that the conference organization can have direct or indirect impact on the local, regional and global environment. African Agenda is committed to reduce any harmful effects on the environment that the conference work may cause – both in the office and at the conferences. African Agenda has pledged that they will take responsibility to make the difference in the conference activities wherever possible. In my experience working with African Agenda I noticed that they try to recycle everything. For instance, they separate all the garbage, which is very unusual in South Africa. Moreover they make sure every single thing possible will be used more than once. African Agenda aims to Rethink | Refuse | Reuse | Reduce | Recycle RETHINK the way African Agenda operates as a company. REFUSE to implement practices in our office or conference environment that are harmful to the environment. REUSE products and supplies wherever possible rather than sourcing new items. REDUCE the amount of waste through careful planning. RECYCLE all products and choose only products that are recyclable. The Companies Network In this chapter the network that the company utilizes including suppliers, industry partners, freelancers and competitors is explained. Suppliers African Agenda uses the same suppliers for every big conference, this because according to Keith they should not take any risks when organizing big conference and from experience they know that these suppliers are good to work with and understand their needs and wants. Two important suppliers for African Agenda are Presentation Staging and Venture Scapes. African Agenda uses suppliers for in stance for catering, performances, transport and freelancers. Industry partners The main industry partners for African Agenda are convention bureaus and convention centers. It is highly important for African Agenda to maintain a strong relationship with them. Competitors African Agenda’s competitors are other companies that organize professional conferences situated in Cape town, South Africa. 8 The following list concerns the most competing companies in the case of African Agenda: - African Kaleidoscope Events - Easten sun events. - Londcor - Turners conferences - Sebise - Event dynamics African Agenda tries to differentiate from its competitors in terms of focusing on the green policy and sustainability. Moreover African Agenda promises excellence in each and every professional conference that they organize. Industry African Agenda has a strong position within the professional conference management industry in South Africa and around Cape Town. African Agenda is growing every year and their main goal is becoming the leading professional conference organizer in Southern Africa in terms of simply being the best. African Agenda is aiming to regularly busy throughout the year, meaning that the company wants to organize four conferences that return every year and three that are randomly planned each year throughout the whole year. African Agenda is on the right track to achieving these goals. When these goals have been reached the position of African Agenda in comparison to its competitors will turn out exceedingly strong. Furthermore I have learned that the leisure industry and professional conference industry are both dynamic sectors. For instance within the conference industry the one year you have many clients and the next year it could totally change. Besides that the conference industry is dynamic since all clients want to have a conference organized that meets their needs and wants. Every conference needs a different approach by African Agenda. Management Styles According to Business Cases Studies there are Autocratic, Paternalistic, Democratic and Laisses-faire Management Styles. These Styles are mentioned in the table underneath. Source: Business Case Studies. 2012 9 African Agenda applies a Democratic management style within the company. The democratic management style can also be called a Participative management style. The primary objective of this style refers to building commitment and consensus among employees. Every employee working at African Agenda has the same amount and level of tasks. Besides all the information is shared with all the team members during the weekly Monday meeting. During these meetings there are always opportunities for the team to influence any decision-making and show input. The employees are also encouraged to show their input in decision making, since everyone is asked separately about his or her opinion. The exact process of these meetings is clearly described in chapter 4 – Creative Leadership Assignments. I think within African Agenda the democratic management style works out the best since the company is small, The employees work closely together and on the same project, all the staff is experienced and there is a steady working environment. The only criticism I would like to refer to is that with some situations I noticed that some employees take their task more serious then others. Within African Agenda no one will be said to do things in a different way cause the employees trust each other to do it right. However, I think that in some situations the African Agenda employees can guide each other a bit more when needed and be stricter about deadlines. Furthermore the whole African Agenda team works closely together, but I regret that they only involved the interns on a certain level. As an intern I did not feel completely part of the African Agenda team and I whished that I had a more important role towards conference management. Chapter 3. Final report on assessment interview This chapter contains the report on the assessment interview at the end of my placement. Within this assessment interview my company supervisor, Kristen Tremeer provided me with feedback concerning the following three different sections, Professional Product, Professional Competences, Creative Leadership. Moreover within this chapter general goals I was hoping to achieve when I just started the placement are now described in a smart way to what extent I have actually achieved them. Professional Product The whole African Agenda team is convinced that my professional product is a very good and useful report. The professional product is very relevant to the company and meets the company desires. Kristen was positively surprised and impressed that I was able to set up this research plan all by myself and that I also came with an idea that totally fits within the company although she did not help me with this. Kristen mentioned before to me once that one of the reasons to not hire interns again also includes the fact that African Agenda has to come up with a final professional product the intern can work on. African Agenda had difficulties with this and was very thankful that I came with such an applicable good professional product topic myself. Kristen Tremeer did not help me much regarding the process of setting up this research report, since I did most of it by myself. Kristen helped me with a bit with survey monkey and the survey. Kristen provided me with the following feedback concerning the process: ‘Monsie was receptive to advice and recommendations from me and the others on the 10 survey and its data. But as I may have mentioned before, the survey questions that she developed on her own were excellent and did not need much improving in order to result in good responses. Also without much training she created a good survey on Survey Monkey which I was happy to have sent out to our conference delegates. Kristen mentioned that in particular the presentation of data is excellent. All graphs are easy to understand and the verbal explanations are useful and not overly “obvious” – they add an interpretation to the graph. Concerning the verbal explanations Kristen also mentioned that description in English was above expectations. Moreover the recommendations are very useful, especially the explanations of the various interaction and connection types that could be incorporated. According to Kristen I found reliable and well-suited sources and the information provided by experts is interesting to African Agenda. She was also impressed about my own suggestions given in order to improve the interaction and connection. She thought most suggestions were established by involving creative thoughts. In the end all recommendations in order to improve the interaction and connection possibilities were said to be useful for African Agenda when “selling” new ideas to clients. Kristen came up with one improvement she recommended me, this improvement would be to add some more background on the quoted experts when their expertise is presented. Kristen Tremeer and Keith Burton both mentioned that they would use my professional product report when organizing future conferences and that is all in all a very good report above expectations. Professional Competences During my placement at African Agenda I developed the professional Imagineer, researcher and project manager competences in the greatest extent of all competences. I developed the imaginer and research competences while working on my professional product and the project manager competency while working onsite at conferences. Kristen Tremeer filled in an assessment form concerning the research and project management competences. The outcome of this assessment form is demonstrated in this chapter and the assessment form itself is added in the email sent to my school supervisor. Project Manager Assessment form 11 1.Takes decisions on time and on her own: The African Agenda team mentioned that I took decisions and time and on my own in most situations. I also noticed that the African Agenda team did let me make my own decisions. In the beginning I had to get used to this since everything was new to me and I was used to more guidelines. Later I noticed that that African Agenda wanted me to make decisions on my own and that they trusted me in handling things by myself. According to feedback I improved quite a lot concerning this topic since in the beginning I asked more for approval of some of my colleagues. However, later they mentioned that I realised that I could deal with problems myself and that my colleagues noticed that I asked less for their approval. 2.Recognises the qualities and cultural backgrounds of the team members and integrates these perspectives into her actions. According to Kristen Tremeer I recognised the qualities and cultural backgrounds of the team members and everyone else I had to work with. I approached everyone in a professional and suitable way. 3.Actively generates different cultural perspectives While working onsite at a conference I had to deal with many people with different cultural backgrounds. I actively generated different cultural perspectives in order to approach everyone in an appropriate and professional way according to my company supervisor. 4.Carries out project activities as far as contents are concerned according to plan (or agreement). According to Kristen Tremeer I worked out all project activities according to plan. I worked closely together with Kristen when preparing and executing the programme plan. 5.If necessary, is able to improvise with sufficient capacity to make adjustments in relation to the values of the stakeholders involved. According to my company supervisor I performed above expectations concerning this statement. For instance I had to present all the awards at the IFAC conference. During this conference we had to work together with the stakeholders who were responsible for the stage, and I came to a solution to present the awards in a particular way that would be most suitable. This solution met all the values of the stakeholders who were responsible for the stage. Research assessment form 12 1.Works methodically and systematically (in other words, carries out the research in steps) I carried out the research plan in steps, however Kristen thought I could have sent the survey a bit earlier. 2. Adopts a sufficiently objective and impartial attitude. Concerning this statement I performed above expectations. My research consisted of an objective and impartial attitude according to Kristen. This also because I bared all the values, needs and wants and desires of African Agenda in mind. And all the research was based on academic research and experts who work within the conference management sector. 3. Understands the cultural context in which the research takes place and integrates these perspectives into the research proposal, approach and implementation. According to Kristen I fully understood the cultural context in which the research takes place. I have a good understanding of African Agenda and the two conferences that are involved in this research. Creative Leadership The Creative leadership competencies concern whether I was able to cooperate and communicate in a national or international professional environment. For this competency, which is based on the generic competency for all HBO professionals in the Netherlands, it has been decided to divide it into competencies 7a and 7b. I have chosen several examples of these activity criteria and described briefly how I met these activity criteria during my internship. Competency 7a: Cooperating in a complex professional environment Activity Criteria: Works from an explicit and transparent idea of his/her own vision, identity, role, values and convictions, assesses and communicates them. According to my colleagues I highly met this statement. Generates other perspectives (intercultural or multidisciplinary, stakeholder or client). According to Kristen Tremeer I highly met this statement, how I met this statement is mentioned in chapter 5. Is open for re-defining the mission, identity, roles, values and convictions from the intercultural dynamics of the team. I understood all intercultural dynamics of the team very well. Within an internationally orientated working environment, communicates in English on a B2+ level. According to Kristen and all my other colleagues my level of English is definitely on a B2+ level. My English communications skills were above expectations and I was able to express myself fluently in oral communication and on an advanced level in written communication. 13 Competency 7b: Effective communication on all levels using current business terminology Activity criteria: Expresses complex issues clearly in the current business terminology. Within my professional product all complex issues were expressed clearly. Motivates, inspires and convinces where necessary I motivated, inspired and convinced African Agenda within my professional product to focus more on the improvement of interaction and connection possibilities. Is able to draw up written texts correctly, or is able to adapt and improve them. All written texts handed in at African Agenda were drawn up correctly and included advanced English written communication skills. Consciously deals with the norms and values of others and acts on the basis of insight into cultural sensitivities. I highly met this statement since I approached everyone I came in contact with during in an appropriate way, as described in chapter 5. As communicator I was capable of generating new cultural and other perspectives. Is open to others. And discussions. I was open too all of my colleagues and for any discussion that popped up. Is conscious of stereotyping and prejudicing, which play a role in communication and recognises their effect in communication. I am conscious of stereotyping and prejudicing and I do recognise my effect in communication when stereotyping and prejudicing. I try to do this in most appropriate way possible. Listens and reacts effectively to the needs and feelings of others. According to my colleagues I am a good listener and able to react effectively on the needs and feelings of others. Directing and regulating one’s own professional development Activity criteria: Develops a professional attitude. I developed a professional attitude at African Agenda and all my colleagues were really pleased by that. Contributes to developing his/her professionalism. I contributed in developing my own professionalism in the greatest extent possible. I kept challenging myself within the company as far as possible. I kept asking for tasks to fulfil and handed in an appropriate professional product report. 14 Reflects on his/her own experiences and knows what is necessary for his/her own development. I reflect on my own experiences and own development. When I notice that I need some more development in a specific competency I decided to focus more on that competency. Is able to critically process feedback and self-reflection in plans for improvement. Whenever my colleagues provided me with feedback I adapted my plans for improvement. For instance when Kristen gave some remarks on my survey and I listened carefully and changed the survey by taking here feedback in mind. Learns because he/she likes learning and wants to use it in a profession. I honestly love learning new things, I can learn via theory and in school or in practice. Learning objectives I set six Learning goals during my internship period and they were all formulated in a SMART way. Within this chapter I describe to what extent I succeeded in achieving these learning objectives. Goal 1: Develop the level 2 competences in the greatest extent possible. Specific: The objective is to develop the Imagineering, research and project management competences in the greatest extent possible. I did develop the level 2 competences in the greatest extent possible by delivering a high quality professional product and by doing my upper-best in performing as a professional project manager onsite at every conference. Measurable: I want to hand in a high quality professional product, which combines the competences research and Imagineering. Besides I want to show my school supervisor that I have developed the Imagineering, research and project management in the greatest extent possible. I also want my company supervisor to be satisfied about me acting as a project manager. In the end I did hand in a high quality professional product and besides that my company supervisor mentioned within her interim feedback that she was satisfied about me as a project manager. Achievable: This is achievable if I keep reflecting on myself all the time concerning these three competencies and if I focus on my professional product and tasks given by African Agenda as much as possible. Besides I should improve myself after receiving feedback from my project manager, Kristen Tremeer. I did stick to the guidelines set by myself to make this learning goal achievable. Realistic: This learning goal is realistic since I have enough time and I am extremely motivated to improve these three competencies to the greatest extent possible. I did have enough time and was extremely motivated throughout my internship period. 15 Time-based: I want to keep developing the Imagineering, research and project management competencies during my Intership period. However I want to have developed these competences in the greatest extend possible in the end of my internship. In the end I did develop these three competencies in the greatest extent possible and I kept challenging myself during my internship in order to do so. Goal 2: Solve the problem myself Specific: The objective is to solve even more problems myself, sometimes I wait for somebody with a higher function to solve or complete a task and I should not do this in every situation. I noticed that I took more initiative in the end of my internship concerning this topic and that I solved more problems by myself and did not wait for somebody with more authority in every situation. Measurable: Ask Keith Burton or either Kristen Tremeer whether they are satisfied about the amount of problems I have solved myself. Both supervisors were satisfied about the amount of problems I solved myself, however they also mentioned that I still could have solved more problems. They gave me the advice that I do not have to be insecure and that I do not have to ask for their approval in most of the situations. Achievable: This is achievable if I do not always wait for a response of somebody with a higher function but just walk up there myself. Besides I can show more initiative by not always asking my boss if it is correct what I am doing; just do it and be responsible! In the end of my internship I did not always wait for a response and did not always ask my boss if something was correct. I took more initiative by myself and just did the task at hand. Although in some situations I did wait for approval before solving a problem. Realistic: These type of situations occur often when working onsite of a conference. Moreover these situations do also occur at the office of African Agenda. When for instance somebody walks in I can help this person and not wait for somebody with a higher function to do so. When somebody came up to me during the conference I tried to help out immediately instead of sending the delegate to one of my colleagues. Besides when the doorbell rang in the office, I opened the door often and helped the person out. Time-based: I will ask in the end of my internship whether Kristen or Keith is satisfied about the amount of ‘problems’ I have solved. They were both satisfied although they also mentioned that in some situations I still waited for a response of a colleague with a higher authority. However this was definitely not needed according to Kristen and Keith, they trust me in handling these situations by myself. Goal 3: Needing less prompting Specific: The objective is that I want less prompting from my fellow colleagues. Within the interim feedback, which Kristen gave me she also mentioned that sometimes I needed prompting. Throughout my internship I took more initiative and fulfilled every task given strait away in order to need less prompting from my fellow colleagues. 16 Measurable: Ask Kristen Tremeer whether I needed less prompting throughout the internship period. Kristen Tremeer mentioned that I was more independent in the second phase of my internship. She was very impressed that I barely asked for help when working on the professional product and that I managed to figure out everything myself. My colleagues mentioned that they noticed that I emailed back straight away and that I fulfilled every task given as soon as possible. Achievable: This is achievable if I complete every single task straight away so that my colleagues do not have to remind me to do so. In the second phase of my internship my colleagues never had to remind me of fulfilling a task again. Realistic: I get enough tasks from my fellow colleagues so enough opportunities to fulfil every single task as soon as possible. African Agenda could have given me more tasks but I did receive enough tasks so that every colleague could realise that I fulfilled every task as soon as possible. Time-based: I will ask in the end of my internship whether my colleagues are satisfied about the time I completed tasks in. In the end I sent an email concerning this questions to all my colleagues and they all mentioned that they were satisfied about the time I completed tasks in. Only Karen said that sometimes she thought I could have fulfilled a task even faster. Goal 4: Improve my English communication skills Specific: The objective is to improve my English communication skills. During this internship I improved my English writing and speaking skills Measurable: I want to receive positive feedback from my fellow colleagues concerning my English communication skills. Kristen Tremeer mentioned to be positively surprised about my level of English communication skills; I performed above her expectations. Achievable: This is achievable if I speak up as much as possible when working within the African Agenda team, if I read and write often in English and listen careful to others speaking in English and if I communicate with native English speakers and ask them to correct me. Besides If the English grammar or a word is not clear to me I should ask about it. I did all this to achieve my learning goal. I read leisure and academic books and articles, asked people to correct me and listened carefully to others. I also looked through my professional product report together with my South-African boyfriend in order to correct any English language related mistakes. Correcting these mistakes was very productive and will help me to correct my own reports in the future. Nevertheless I could have spoken up a bit more during meetings in order to improve my English communication skills. Realistic: It is definitely realistic since I work in an environment with only English native speakers and I have a South African boyfriends who’s first language is English. Besides I am 17 doing my internship in a country with a lot of inhabitants who’s first language is English therefore there are enough opportunities to meet these people. During my internship I did put a lot of effort in meeting native English speaking people. Time-based: I want to improve my English skills throughout my whole internship period, and I want to have learned as much as possible in the end of my stay in South Africa. I did improve my English skills and notice that it is much easier for me to communicate in English. However there is still plenty room for improvement concerning this topic. I also want to extend my vocabulary in English in the future. Goal 5: Learn as much as possible from different cultures. Specific: The objective is to learn as much as possible from different cultures in order to extent my gross cultural understanding. Within African Agenda I learned how to work with delegates, Amanzi staff, South-African workers from the venue and my colleagues. All these people need to be approached differently as mentioned in chapter 8IV. Besides I met wealthy and poor South African people, international students and travellers. Measurable: I want to look back at my stay at South Africa in the end and be able to state that I have learned from different cultures and come up with examples. I have learned a lot about different cultures during my internship period in South Africa. I learned as mentioned before how to approach people within my work field in a different way to have the desired result in the end. Although I worked within a wealthy South African business, I have also been in the townships quite often. People living in the townships have a total different cultural background compared to people from western countries. Achievable: This is achievable if I make myself meet people with different cultures and perspectives. I should for instance meet wealthy South African people, and poor South Africans who live in the townships, other international students and travellers. I did meet many people from different cultures and also spend a lot of time with local people from South Africa since my boyfriend was born in this country and studies in Stellenbosch. Realistic: This learning goal is realistic since there are many possibilities in South Africa to meet people with different cultural backgrounds. In South Africa there are lots of people from all over the world, people with different roots, and people from South-African countries. Interesting is that you also find quite a lot of Dutch people in Cape Town. Time-based: I want to meet many people with different cultural backgrounds throughout my whole Intership period. Every week of my internship period I met new people with different cultural backgrounds. Goal 6: Improve planning and organization skills Specific: I want to improve my planning and organization skills in order to facilitate the process of working on projects. 18 I mostly developed this competency while working on my professional product since I did everything myself and there was a lot of planning and organization skills involved. Besides I developed this competency when working on site at conferences. Achievable: This is achievable if I started prioritizing my tasks by listing down all tasks and prioritizes them according to the importance, volume and urgency of the task. And I should also behave more as a scheduling planner, which means that I decide beforehand on how I wish to perform specific tasks. When working on the professional product I did stick to this way of doing things. I also structured the report and the process well and started on the project on time. When working onsite at conference I had to do everything on time and make a lot of notes, which also involved quite some planning and organization skills. Realistic: I have to make a professional project by myself and within this process there are enough opportunities to test my planning and organization skills and whether they worked out in the end yes or no. In the end I handed in a high quality project and I am truly satisfied about the way I approached the process of setting up this report. Sometimes I got stuck but with the right planning and organization skills I always worked myself through. Time-based: After I handed in my professional product I can determine whether my planning and organization skills are improved yes or no. My planning and organizational skills have definitely improved and I am satisfied about the process and end result of my professional product. Chapter 4. Creative leadership Within this chapter the assignments I have done for competencies 7a (Teamplayer), 7b (Communicator) and 8 III and IV are demonstrated. The added value of this expansion for the future means that I broaden my network. Broadening my network is interesting for the future since I might create options for myself. Because of this network I might be able to create some interesting work, thesis or final internship options in the future. Besides by expanding my network I can use these sources also for upcoming projects when I might need specific information. Maintain Network In this chapter I describe how I could maintain this network. Adrian Fenton: Adrian organizes the merchandise for many popular events in Cape Town. I worked for him at October Fest and the Rugby Tens. I have Adrian Fenton’s email address and phone number so it is easy to stay in contact with him. Other intern students in South-Africa: I met many other students who did an internship in Cape Town. Many of them did interesting and fun internships, which might be applicable to me as well. I will maintain contact with these other students via social media, phone and face to face. Teachers for Africa: When I need a contact number concerning volunteering work I can immediately contact Teachers for Africa. I already worked together with this company for 7 months when giving the hockey practices. I have the contact number of three people working for Teachers for Africa so it will be easy to stay in touch. Claire van het Bolscher: Claire is my school supervisor and has many contacts with several interesting leisure related companies. I am able to stay in contact with her via mail. Suppliers of African Agenda: I do not have contact details of many suppliers. But I can search for contact details via the Internet or via the African Agenda database. African Agenda database: The African Agenda database is not really maintainable. I will just save the database on my hard disc and when there is a need for specific companies I can look trough the database and contact these companies. African Agenda competitors: I cannot actually maintain the network of the African Agenda competitors since I do not have contact with them. However competitors could be interesting within my network if I am searching for companies within the conference sector other than African Agenda in Cape Town. Expanding the network of African Agenda. In this chapter I explain how I contributed in expanding the network of African Agenda. African Agenda is searching for new clients all the time. All these clients are crucial regarding the network of African Agenda. I had to do research for possible future clients 21 and assemble all the contact data and important information of these companies. Fulfilling this assignment made me contribute in expanding the network of African Agenda. Assignment 2 – Attend a meeting Every Monday morning at 11 o’clock a very effective meeting is arranged for the whole African Agenda team. During these meetings upcoming conference will be discussed and the weekly planning will be taken into account for a short notice as well. During these meetings, Keith Burton is the one who contributes as a chairman. He is the owner and manager of African Agenda and the one who controls and drives the meetings. As a chairperson he makes sure the meetings run smoothly and that he is well prepared himself. Keith always enters the meeting with a lot of notes and information he wants to discuss together with the team. Keith is the one who contributes as a chairman, but also the one who talks the most. He is the one who gives all the employees a task and the one who keeps everyone informed. However, when he starts talking about a new topic, anyone is allowed to reply and able to get involved in the side conservation and so am I. The role and contribution of the participants basically consists off joining the conversation if this applies to you. For instance if Keith opens up a topic were Kristen was working on the past few weeks, then she is the one who explains the current situation concerning this topic. And in this way Keith will make sure all topics (programming, marketing, logistics, social events, sponsorship and exhibition) will be discussed one at a time. The person in charge for that specific topic demonstrates every current situation. Hereby everyone is actively involved in the meeting and gets to say something, which definitely is a strong element. All meetings are very relaxed and at ease, besides everyone has the possibility to speak up and anyone will be asked to show his or her opinion. Everyone shows good listening skills during the meetings and tries to be as actively involved as much as possible. If a small problem arises concerning the organization of a conference, all employees get involved and try to solve this problem in a calm and appropriate way. There are two employees working for African Agenda, besides Keith, who speak up the most, these are Kristen and Karen. They are the ones who speak up the most since they are basically the ones who are most in charge in the organization part behind the professional conferences. During the meetings Karen, Kristen and Keith always used to sit next to each other and because of that, small side meetings sometimes aroused between the three of them. I told all my colleagues during a meeting that it might be an interesting idea if these three people sit next to the other colleagues so that everyone can easily be involved in their side meeting as well. They agreed with me and since then all colleagues are more mixed during the meetings and less side meetings arise and everyone is more actively or either passively involved in the meetings now. In general the meetings run smoothly, relaxed and all meeting are comparable. This does obviously not mean that the content is the same in every meeting, but the structure, set up and roles do not differ. Although the employees of African Agenda are satisfied about the way the meetings are managed I still have some innovative ideas, which can be implemented by African Agenda during meetings. I think it would be very convenient for African Agenda to use the written agenda. The agenda is the framework that supports the meeting, which helps a group achieve a desired outcome. Besides when participants have the agenda and access to background information before the meeting, it gives them sufficient time to prepare for any discussions or decisions 22 that will occur during the meeting. This also saves time during the meeting. If attendees come to the meeting prepared, less time will be spent answering background information questions and more time for discussing the important issues. Everyone working at African Agenda should be able to add information to the agenda. Another suggestion I would state concerns the moment when everyone is seeking for multiple ideas during a meeting. I think it would be helpful recording these ideas on a flip chart, marker board or overhead projector. Using these equipment’s facilitates overseeing the meeting for all colleagues. Assignment 4 – The company values For this assignment I have observed and analysed, on the basis of various interviews with my colleagues, which range of values are strived for within African Agenda and in which way they are reflected in daily practice. The main value African Agenda strives for is sustainability this is reflected in many different ways in daily practice. Sustainability means conserving an ecological balance by avoiding depletion of natural resources. I have Indicated my findings creatively and visually by making a photo collage. This photo collage demonstrates several ways of how African Agenda focuses on sustainability. The photo collage is added in the end of this assignment. Also on the website of the host company it is also described very clearly that the main value is sustainability: ‘African Agenda aims to Rethink | Refuse | Reuse | Reduce | Recycle RETHINK the way African Agenda operates as a company. REFUSE to implement practices in our office or conference environment that are harmful to the environment. REUSE products and supplies wherever possible rather than sourcing new items. REDUCE the amount of waste through careful planning. RECYCLE all products and choose only products that are recyclable.’(African Agenda. 2011). The pre-organization of a conference and onsite the company is truly focussed on its green policy. Literally everything will be recycled and used at least twice. For instance the lanyards and plastic covers for the name badges. Besides everything is saved in small boxes and nothing will be thrown away. Furthermore the company ensures all the garbage is separated, which is actually quite rare in South Africa. The company also serves tap water at conference instead of bottles, in order to reduce waste. Moreover I also arranged a meeting with one of my colleagues, Kristen Tremeneer, in order to discuss the values African Agenda strives for. She gave me an even better insight and explained to me that sustainability is indeed the main value African Agenda strives for and this value is divided in ecological and environmental terms. In ecological terms, African Agenda for instance hands out a green exhibitor award for the exhibitor who is able to show being focussed most on a green policy. Moreover African Agenda also makes sure that the venue they book has the greenest policy. When focussing on environmental and social terms of sustainability, African Agenda donates all left over bags and useful school equipment to different schools in townships. Moreover they focus a lot on preferential procurement, meaning that all their suppliers are situated in South Africa in order to give them a fair chance, for instance all delegate bags are handmade in South Africa. 23 Furthermore in my placement plan I explained what BBBEE points are, any South African company can obtain these points. African Agenda receives BBBEE points when focussing on social and ecological development. In my interview with Kristen I asked the question whether she thought sustainability would still be one of the main values if African Agenda would not be situated in South Africa but in Western Europe for instance. I asked her this question cause BBBEE points can only be obtained in South Africa and I was wondering whether they mainly decided to strive for this values in order to receive these governmental points. She answered my question openly and told me that striving environmentally and social development would probably be less crucial. However, African Agenda would be highly ecological focussed in any situation. With the reason that focussing on environmentally and social development would probably be less crucial in western countries instead of having your company in a third world country. Kristen clarified that transparency is another value African Agenda strives for. Transparency between the client and the team is crucial. Being able to trust each other and be honest about any situation is highly important to African Agenda. Although, sustainability is the main value African Agenda strives for, the value transparency should be take into account as well and will be briefly described. Transparency is reflected in daily practice in different situations. For instance when we are having a meeting and we are discussing each other’s tasks, then sometimes it might occur that somebody did not complete a task yet although it actually should have been finished already. Within this company it is very noticeable that everyone is always honest about the situation and everyone will always say immediately if something is not completed yet. It is interesting to observe that everyone also trusts each other in such a situation; when you just told you did not completed your tasks then the other colleagues are trustful enough that you will finish this task as soon as possible with as result that no one complains. Furthermore African Agenda is also very transparent regarding their customers. When a customer for instance wants certain things, which do not fit the budget, African Agenda will immediately be clear about the situation and therefore might disappoint the customer in certain situations. Besides they will always be honest about the conference process towards their clients. Information will never be hidden within the company of African Agenda. All colleagues are very satisfied about the values strived for by African Agenda. Sustainability Photo Collage 24 Competency 7b: Communicating effectively in the usual corporate language at all levels - Communicator Assignment 1 – Professional Writing requirements. I already learned how to communicate in professional writing in school and in daily life before I started my internship. However there was and still is a lot to improve regarding my writing skills in my opinion. During my internship period I received more tips and practiced professional writing by focussing on different forms of communication, for instance emails and letters. I have attached writing tasks in the appendix of my interim reports in order to show some examples of writing communication during my internship. I think that to a certain extent my professional writing skills are on a pretty high level. However I still notice myself facing a lot of difficulties when writing in English, especially concerning grammar, sentence construction and vocabulary. I will definitely improved these mentioned difficulties during my internship period, also because of the fact that I am in a native speaker environment for about eight months. My colleagues are able to help me when I am struggling and besides I receive several professional emails from them every day, which enable me to see the right example. I honestly already have learned a lot regarding professional writing during my internship and I have listed these points underneath: - Use the right opening and closing format, try to create a good impression with the right start and ending of the letter. There are many reasons for writing a professional letter, for instance inquiry request or apology. Be aware that this will determine the style and tone of your letter. Keep it short and clear, write in a clear and organized style. Clearly introduce the purpose of your letter in the first paragraph Follow a clear structure in the main paragraphs with good introduction sentences in each. Use linking words Use the correct grammar, sentence structure and word choice. It might help to use online resource to check your grammar (sites: Grammarly, GrammarCheck or GrammarBook.com) Be polite and tactful and do not use demanding words 25 - Do not necessary describe all details in your email, but invite the reader to ask for more information. ("If you have any other questions please feel free to contact me," ‘Do not hesitate to contact me’) Proofread your professional letter carefully to make sure it is written truly perfect. Assignment 2 – Oral communication skills I attended an informative form of talk given by Kristen and Keith to the Amanzi staff. This form of talk took place during the IFAC conference. And within this talk Keith and Kristen presented all the valid information the Amanzi staff needed to know. Keith and Kristen discussed the content of the conference, the tasks of the Amanzi staff, how the Amanzi staff was required to behave and special occasions. This presentation took approximately an hour. Kristen and Keith had to communicate in a very motivating, informing and persuading way. The Amanzi staff needed to be motivated to work hard and to listen to the management staff. They also needed to be informed since they did not know beforehand what was going to happen during this event and what their tasks where. Kristen and Keith did talk in a convincing persuading way in order to attract the attention of the Amanzi staff and to be as clear as possible so that everything would run smoothly during the conference. In my opinion Kristen and Keith informed the Amanzi staff in the right way and with a smile in order to receive the desired result of the Amanzi staff in the end. Kristen once told me that approaching people with a smile would provide you with a higher percentage chance of receiving your desired result in the end. To me this was some interesting advice. I would like to give some advice to Keith and Kristen concerning the location of this presentation. This informative form of talk was given on the hallway of CTICC and 42 Amanzi staff students were listening to the presentation. In the hallway of CTICC it was super noisy and the students were spread out over chairs and couches that were not standing close to each other. All these factors made it difficult for the Amanzi staff to understand and hear what Kristen and Keith were saying. I would advise to organize this form of talk in a closed big room with chairs next time. Assignment 8 III For the first assignment of competency 8, I looked at the professionals I am working with and formulated the difference between the way in which they are acting and the way I am doing this. I noticed that the professionals I am working with are very well planned and structured. They make sure a schedule is made from every specific topic and that everything is written down and saved properly. I can be a bit chaotic sometimes and less well planned, I think this is an important factor to learn from. I will develop this point in order to keep track of the schedules I make and every notation I am writing down should immediately be processed. Furthermore I talked to my colleagues and discussed what their approach is of being this well planned in order to learn from them. I have already improved my planning and structuring skills as mentioned in assignment 8II, most of these improvements were made after observing my fellow colleagues. Besides I admire my colleague Kristen Tremeer a lot for her way of social interaction and communication skills. She oversees every situation and understands how to approach different types people. She always stays very calm and describes everything clearly. To me it is very interesting to observe how she deals with different situations, people and 26 conversations. I honestly learned a lot from her regarding this topic. I wrote down all notable things and ways of approaching she uses. After I wrote down enough points I discussed all the points together with Kristen. She thought I noticed very interesting things and besides that she provided me with even more tips. It was interesting that Kristen was already conscious of her way of approaching people. Kristen is well trained concerning communicating with other people and very conscious of the way she does this. Secondly I will describe the differences between my way of working at school and at the host company. The main difference would be that I am working more onsite now, I am not only writing reports and learning via a theoretical way anymore. But I am also learning in practice and onsite. I am currently working more professionally on the execution of the actual conferences. I learn how to be a project manger onsite and how to make everything run smoothly. Besides I learn how to be my own coach by completing a professional product all by myself. This time the project I am working on is not an assignment set up by school but the project will actually be used and handed in to a company. Thirdly I will describe on the basis of 3 concrete situations, how I act more professionally now than at the beginning of my work placement. - When we were working onsite and a delegate asked me for help I tried to solve the problem more and more often myself instead of first asking approval to some of my colleagues with a higher function. - I felt a bit nervous sometimes when I had to pick up the phone in the beginning of my internship; nowadays I talk clearly and show confidence on the phone. - In the beginning I sometimes felt a bit insecure when I had to speak in English with my colleagues. Nowadays I communicate with an advanced level of professional English without being insecure or having the feeling that I am holding back. As last I describe what insight I gained from my feedback and what I did with them. Feedback 1: Needs prompting sometimes. In order to satisfy my fellow colleagues and the hope to need less prompting in the future I ensured that every task given by my colleagues was completed as fast as possible. Feedback 2: Could have sent the survey to the delegates a bit earlier. I mentioned a deadline date in the email sent to the delegates so that I would still receive all the response of the delegates on time. Feedback 3: Can be quite in the office. I tried to speak up as much as possible and to not communicate via email as my colleagues do often. Instead of communication via email I always communicate face to face with my colleagues. Assignment 8 IV This chapter contains of additional questions assignments that needed to be worked out in the final placement report. 1.Describe the social context in which your company operates and how you experience this 27 personally. African Agenda always operates in a very professional way. Clients are approached in a formal way and with a smile. Moreover everyone within the social context of African Agenda is put on ease and small talk is always added in the beginning of conversations. People are always welcomed warmly and friendly when they step into the African Agenda office. And during conferences all employees do their upper-best in delivering the desired service. I experience the social context in which African Agenda operates as positive and I do not have any remarks concerning this topic. All employees are well trained to operate professionally in any situation that might occur. 2.With which cultures/subcultures did you have to deal with during work placement? Give a short description of what you learnt about these (sub) cultures. Name a concrete situation in which your perspective was different from the perspective of someone from that (sub)culture, and describe both perspectives. During my work placement I had to deal with delegates from all over the world, Amanzi staff who were mainly South-African students, South-African people working onsite and my colleagues working at African Agenda. I learned that I had to approach all these different people from different cultures in another way: - When working on site during a conference I have to behave extremely formal, polite and serving to all the delegates. I have to approach all delegates with a smile in order to show that I am open to help them with anything whished for. I learned that delegates are highly educated people who want to be approached in a special way. - I have to approach the Amanzi staff more direct and with a smile in order to make them complete tasks. I learned that the Amanzi staff needed clear explanation and a specific task to fulfil. These students are very motivated and willing to work hard. - The South-African people who work within the venue and who help the African Agenda team with chores have to be approached very directly since they do not understand every task immediately. I have to explain everything I want them to do in a very clear way cause otherwise they will not complete their tasks as they are supposed to. These people are willing to do anything you ask for. - Within the African Agenda team there is not a big difference between cultural backgrounds that influence the work relationship. I realise that I am an intern at AA and that I have to show myself from my best side and that I have to help out wherever I can. I know that within the African Agenda team every employee has his or her own skills and for different questions I ask different colleagues. The most situations of misunderstandings and different perspectives occurred when communicating with the South-African people who work within the venue. One example is that I once had to explain to one of these workers where to distribute something in the CTICC building. I explained everything in a clear way but I realised that the worker must have misunderstood me since the posters were not hanging on the right place. I explained to him what do to again and this time in a slightly different way and now he understood what I asked him for and completed the task as he was supposed to. 28 3.Describe in which way (by knowledge, personal qualities or skills or attitude) you contributed to your environment, and how you influenced all this. Also, describe what the result or effect was. I approached everyone in my working environment in a different suitable way as mentioned in the previous question. By doing so I got the desired results concerning each different group of people. The delegates felt satisfied because of my formal and serving way of approaching them. The Amazi staff understood what to do and realized that I was the one who was giving them tasks. The South-African workers within the venue misunderstood me less often and listened carefully to what I had to explain them. And my colleagues realized that I wanted to do my upper best during my internship period for African Agenda. When working for African Agenda I tried to be as professionally as possible within any environment. 4.Show by means of a visual expression (image) how you developed during 7 months in your development towards being a professional. Illustrate this concisely in writing. My work placement in year 3 was my actual first independent experience in the leisure industry. I saw and experienced what it is like to work in a professional organization. Besides I handed in a high quality professional product, operated within the company, completed tasks for African Agenda, and developed the competencies as described in chapter 5. In many situations I also had to shape this experience myself since I had to show a lot of my own input within the African Agenda Company in order to receive tasks. Besides I came up with the professional product by myself and had to come with own ambitions and whishes for myself. Also when working onsite at conferences the African Agenda team trusted and did let me solve problems by myself. I have become more a professional during my internship period since I have learned how to be independent and approach things by myself and without much guidens. 29 Visual expression of my development towards being a professional: I learned how to manage other people. I learned how to manage a conference onsite. I learned how to behave within a professional team. (including; Keith, Kristen, Karen, Sedicka, Davinaa, Renee and Lisa) I completed tasks for African Agenda and handed in all the tasks as soon as possible. I learned how to reflect on myself and how to formulate this within the interim reports and placement plan. I learned how to design / structure, carry out and report a research report. 30 5.Describe how your work placement contributed to further developing your idea of the future. - While working at African Agenda I realized that I enjoy working within a small team. Working in a small team makes it easy to oversee how everything works and runs, besides I noticed that it is easier to bond with your colleagues and be part of the team. I would also want to work within a small team in the future. - A democratic management style suits me since I think it is important that all the information is shared with all the team members and that members have opportunities to influence any decision-making. I would want to work within a company that applies a democratic management style in the future. - In the future I would like to be more involved within the actual process. I would search for a company that is willing to learn newcomers the full process the company is responsible for. - I enjoyed being in South-Africa to the fullest and learned many things from people with different cultural background and perspective. I would enjoy working abroad or within a Dutch company that organizes certain projects in different countries. - The leisure industry fits me as a sector and I am willing to work within this sector in the future. However, I do not think I will work within the conference sector in the future since I would be searching for a sector that contains more creativity and concept development. 6.What do you want/have to develop to be/become a ‘professional’? Describe for yourself at least 3 concrete points of attention related to professional competencies and/or Creative leadership. - There are some of the required level 2 competencies I did not fully focus on during my placement. I wish to develop these competencies on a higher level and greater extent in order to become a professional. Within next projects I want to focus more on marketing, operational management and directing strategic cooperation. Since within this placement I mainly focused on research, Imagineering and project management. - I want to act more pro-actively and take more initiative during meetings and when working onsite. - I want to obtain more experiences in the leisure work field in order to be able to call myself a professional. 31 Chapter 5. Why I am Now a More Competent Leisure Manager My placement contributed to becoming a more competent Leisure Manager in training. In this chapter is described what I have learned about professional competencies 1‐6 by linking the competencies with situations that occurred during my internship. I have also explained to what extent I met the activity criteria concerning all six competencies. During my placement I developed in greatest extent the professional competencies that were linked to project management, research and Imagineering. Competency 1 - Project Manager Realising projects in a leisure context I developed the competency of realising projects in a leisure context as one of the most during my internship period. I was responsible for the programme side of the conferences. I performed as a programme assistant within three conferences namely; IFAC, Convention and EMEASEC 2014. Being a programme assistant meets the requirements of a subproject manager. As a member of a small programme project team (that consisted of Kristen Tremeer, Charlotte Vrins and myself) I realised a project according to plan and accounted my contribution. Under the direction of the project manager who was Kristen Tremeer, I contributed to the project scenario. We made the programme for both three conferences together, a picture that partly demonstrates the Convention 2014 programme is added in the appendix of my 20week interim report as an example in order to give an impression of the programmes we have compiled. Besides we also compiled scripts that were needed for the social events for all three conferences. These social event scripts consist of closing, opening and banquet scripts. The closing ceremony script of IFAC is added in the appendix of my 20-week interim report as an example. The scripts and programmes in this case serve as a project plan of the programme side of the conference we had to carry out. I was capable of independently carrying out project activities as far as the contents of the scripts and programmes concerned. I was responsible with my team for ensuring that the sessions, social events, breaks and everything around it ran smoothly. Charlotte Vrins and I had to manage all the Amanzi staff and room packs. The Amanzi staff consisted of 27 people and we had to ensure that everyone did their job and we had to solve problems when they arose. I had to monitor the progress of my own duties and those of the Amanzi staff. Besides I had to respond to changes when for instance a speaker did not show up, when the sound did not work or when a speaker needed extra assistants. Moreover I maintained a good relationship with my project manager Kristen Tremeer by completing every task in time and by doing my upper best. I also maintained a good relationship with the Amanzi staff during the conferences. I learned from Kristen that always having a smile and showing professional behaviour makes other people enjoy working with you. I tried to approach the Amanzi staff always in the right way and I asked them politely if I wanted them to complete a task. The Amanzi staff enjoyed working with Charlotte and me and they consisted of a very motivated team that was willing to work hard. During my report of appraisal interview Kristen mentioned that I am very willing to take tasks and complete them either concerning the project plan (script, programme) or when 32 executing the project plan. I am very willing to learn and to show my effort in the company. Kristen mentioned being very satisfied about her programme project team and working together worked out smoothly. Activity criteria Project Manager In this chapter is briefly described how I met the activity criteria of a project manager. Takes decisions on time and on her own: - Whenever the programme did not run smoothly during a conference I had to make fast decisions in order to solve the problem. In some situations I solved the problem straight away and in other situations I came up with a conclusion in my mind and went to Kristen told her about the situation and my suggestion of solving the problem. In most situations Kristen agreed with my solutions and let me handle the situation myself. During my appraisal interview Kristen mentioned that I came up with appropriate and problem solving solutions. She was happy to see that I took a lot of initiative myself during these situations. - When a task had to be completed concerning the project plan (script or programme) it was my own decision to start working on this task straight away and whenever I did not understand a task I asked of my colleagues. All my colleagues mentioned being very happy that I immediately completed all their tasks given. Recognises the qualities and cultural backgrounds of the team members and integrates these perspectives into her actions - When working on site of a conference I have to behave extremely formal, polite and serving to all the delegates. I have to approach all delegates with a smile in order to show that I am willing to help them with anything whished for. - The Amanzi staff I have to approach more direct and with a smile in order to make them complete tasks. - The South-African people who work within the venue and who help the African Agenda team with chores have to be approached very directly since they do not understand every task immediately. I have to explain everything I want them to do in a very clear way cause otherwise they will not complete their tasks as supposed to since they did not understand me. - Within the African Agenda team there is not a big difference between cultural backgrounds that influence the work relationship. I realise that I am an intern at AA and that I have to show myself from my best side and that I have to help out wherever I can. I know that within the African Agenda team every employee has his or her own skills and for different questions I ask different colleagues. Actively generates different cultural perspectives - Working together with the African Agenda Team, delegates who come from all over the world, the South African venue and supplier’s staff and the Amanzi Staff who are all young people with different backgrounds provided me with a close look into the different cultural perspectives of everyone who is involved within the organization of a conference directed by African Agenda. 33 Carries out project activities as far as contents are concerned according to plan (or agreement) - I carried out all the project activities I was supposed to onsite of the IFAC, Convention and EMEASEC 2014 Conferences. I ensured the program ran smoothly and I assembled and prepared all the room packs. Moreover I solved problems that occurred during the conference and I managed the Amanzi staff. I helped out my fellow colleagues whenever they needed my help. And I completed all my tasks written in the social event scripts. One of my main tasks during the IFAC conference was to hand out all the awards on stage in front of 2000 people. Kristen was very proud of me that everything went perfect and I truly enjoyed doing this. If necessary, is able to improvise with sufficient capacity to make adjustments in relation to the values of the stakeholders involved. - In order to satisfy the delegates (customer) I tried to accomplish everything they asked me to. - Sometimes problems arose concerning the catering and venue suppliers, this happened two times and I tried to help to solve these problems together with the African Agenda team. Once for instance it was said that an entrance of the CTICC venue would lead us to the Auditorium 1. All the stuff had to go trough this entrance so that we could assemble it in Auditorium 1. However we realised that this entrance did not lead us to Auditorium 1 at all, so we had to figure out all together what entrance would in a really short time since we were already losing track of the time schedule. Hockey Training - Project Management During my internship period I also gave hockey trainings within the organization of Teacher for Africa every Wednesday afternoon. These trainings are given to children from a primary school who live in the township nearby Hannover park. Every week Charlotte Vrins and I make a trainings schedule that is used as a project plan and executed on the hockey field. However also changes were made concerning this project plan during some of the trainings since the practice were too difficult for some children or because the exercise turned out boring sooner as expected. When these situations occurred we came up with new hockey exercises straight away in order to meet the needs and wants of the children. Charlotte and I were responsible for directing a group of 20 children during these trainings and we had to keep encouraging and motivating the kids all the time. Activity criteria Takes decisions on time and on his/her own - Charlotte and I make a hockey trainings schedule every week. - When the trainings schedule does not work out well, Charlotte and I have to come up with new exercises immediately. Recognises the qualities and cultural backgrounds of the team members and integrates these perspectives into his/her actions - The children attending the hockey trainings are not all from the same age and on the same hockey level; this should be taken into consideration when dividing the teams and when executing the trainings schedule. Sometimes an exercise is made easier for instance so that every kid is able to join. 34 - Knowing the African time of the local makes the training not always start on the exact time planned. Actively generates different cultural perspectives - The South African people working at the primary school are not working via a schedule and the employees’ have a lack of planning skills. - The children all grew up in the town ships and have different cultural perspectives as I do. For instance, they are not used to cleaning up and they have the feeling everyone could be their best friend. But they also feel extremely happy with small things; they truly enjoy going to hockey practice and having us as their coaches. Carries out project activities as far as contents are concerned according to plan (or agreement) - We carry out the exercises according to the trainings schedule made beforehand. Competency 2 – Developing marketing The marketeer During the last weeks of my internship, African Agenda wanted to make a new marketing plan concerning the Attractions conference in order to improve the process of reaching its visitors. Using the same marketing tools approached all the delegates who visited the Attractions conference in the past. This time African Agenda wanted to use different marketing tools concerning different segments. But therefore all the delegates first needed to be divided in homogenous groups, which was my task. The attractions conference is about the South African local attraction industry. All the delegates were segmented in the following groups, accommodation, gardens, entertainment & activities, museums, municipal authorities, nature and animal reservers, tours, tourism bodies, wine farms, restaurants, community projects and remaining sources. After the segmentation the best marketing communication tools were defined in order to reach each single segment in the most effective way possible. By improving this process the Attractions conference can be extended with more delegates. I did not develop a full marketing plan myself, but I completed several tasks concerning the Attractions marketing plan as mentioned above. However, Charlotte Vrins did develop a marketing plan concerning the Attractions conference for African Agenda as her professional product. I gave her a helping hand when needed and read through her final marketing plan. Activity criteria Marketer In this chapter is briefly described how I met the activity criteria of a marketer. Where necessary, consults and deliberates with colleagues and client (board of management). Concerning my tasks for the Attractions marketing plan I consulted and deliberated with my colleagues. We discussed together what would be the best way of segmenting these groups and what marketing tools would be the most appropriate and effective regarding these different segments. I mainly worked together with Sedicka and she was satisfied about our cooperation and she said it was very helpful that I came with my own suggestions 35 concerning ways of segmenting and suitable marketing tools. Concerning my tasks for the Attraction marketing plan I was not in contact with the clients. Actively creates support by other parts of the organisation for the consequences of the marketing plan in order to conduct business with a great client orientation (link with the Operational Manager) Segmenting the delegates and approaching each segment with different marketing tools will costs African Agenda slightly more money. Actively generates different relevant cultural perspectives in relation to marketing and leisure products and services. My marketing task does not contain many different cultural backgrounds since the attractions conference only concerns local South African delegates and companies. Moreover, I worked out my task on behalf of colleagues who are from South Africa; therefore I generated the perspective of the South African culture in relation to marketing, leisure products and services in an appropriate way. Thinks and acts with a client-orientation. When working on my assignment concerning the attractions marketing plan I definitely thought and acted with a client-orientation since that was were my whole task was about. I had to develop different segments in order to improve the client-orientation. After I segmented the delegates I was part of the process finding suitable marketing tools concerning each segment. When trying to find suitable marketing tools it was crucial to think and act with a client-orientation in order to reach the delegates in the most effective way in the future. Competency 3 – Directing and managing the daily operational management Operational manager Operating efficiently is crucial for African Agenda; being an intern I made African Agenda operate more efficient in many different situations. I was an extra employer within African Agenda, although they did not have to give me any salary. Besides I also helped to ensure that the means available were used efficiently in certain cases and that most of the process I was involved in went most efficient as possible. Activity criteria Operational Manger In this chapter is briefly described how I met the activity criteria of an operational manager. Makes clear choices on time and sets priorities on the basis of available information. When working onsite I helped organizing the conference. I had to make clear choices on time, for instance when a session was about to start and the speaker was not present yet I had to do solve this problem on time before the actual starting time of the session. I also had to set priorities when working onsite, sometimes I needed to help out in two situations although I could only be at one occasion. I had to decide what problem had the main priority to be solved as first. Moreover I also had to make clear choices and set priorities when working in the office. 36 When I received several tasks from different colleagues I had to decide what task had the main priority to be completed as first. African Agenda is a company who gives its employees quite a lot of freedom. For instance when a tasks was given to me, African Agenda gave me the option to complete this task in whatever way I thought was most suitable. Since African Agenda provided me with quite a lot of freedom I learned how to make clear choices by myself when working onsite and in the office. Is sensitive to the cultural diversity of both the internal as well as the external environment, integrates important perspectives from this environment in helping directing the enterprise/department. - When working on site of a conference I have to behave extremely formal, polite and serving to all the delegates. I have to approach all delegates with a smile in order to show that I am willing to help them with anything whished for. The delegates should understand that I am one of the professional who is organizing this conference. - The Amanzi staff I have to approach more direct and with a smile in order to make them complete tasks. I am the one who has to motivate and make the Amanzi staff work hard. - The South-African people who work within the venue and who help the African Agenda team with chores have to be approached very directly since they do not understand every task immediately. I have to explain everything I want them to do in a very clear way cause otherwise they will not complete their tasks as supposed to. - Within the African Agenda team there is not a big difference between cultural backgrounds that influence the work relationship. I realise that I am an intern at AA and that I have to show myself from my best side and that I have to help out wherever I can. I know that within the African Agenda team every employee has his or her own skills and for different questions I ask different colleagues. Insight and knowledge in relation to sustainable aspects are considered and included in the decision-making. Within any decision made, insight and knowledge in relation to sustainable aspects were considered. This also because of the fact that sustainability is the most important value for African Agenda. The fact that sustainability consists of the most important value within the company is described in one of the creative leadership assignments. For instance I did not print many information due to the amount of paper. When I had to inform the Amanzi staff I often gave them one paper with required information to share. In the diverse given situations, applies the correct conversation techniques. I always used professional conversation techniques and approached all the different people I worked with in an appropriate way as mentioned before. Moreover Kristen mentioned that I communicated during the conference above expectations and that I used the correct conversation techniques approached the delegates, Amanzi staff, chores workers and colleagues. 37 Competency 4 – Directing strategic cooperation African Agenda operates in a social force field with many interested parties. They work with governmental bodies, business world, social organisations, society, suppliers and industry partners. African Agenda has strategic cooperation and coalition with all the parties involved. Keith Burton manages this whole process that concerns different parties. I have not performed as an enterprising director within African Agenda. Competency 5 –Interactively and creatively designing experiences Imagineer The objective of my product is enriching the delegates experience when attending a conference organized by African Agenda. After having focused extensively on academic desk research concerning the needs and wants of the delegates nowadays I realised that interaction and connection possibilities during a conference highly influence the delegate’s experience. According to scientists it is not only the content that makes delegates attending a conference it is also about the interaction and connection possibilities. I realised that providing African Agenda with recommendations and improvements possibilities concerning interaction and connection possibilities could truly influence the delegates experience in a positive way. Therefore my report contains a recommendation chapter, which is one of the most valuable chapters. This chapter contains many Imagineering related aspects since I had to come up with suggestions and new innovative ideas. These recommendations are also experience improvement concepts. Since I provided African Agenda with interaction and connection recommendations in order to improve the final experience concept of conferences. Enriching the delegates experience can cause the desired growth African Agenda is aiming for and make African Agenda be the leading and best company in conference management. Activity criteria In this chapter is briefly described how I met the activity criteria of an imagineer. Actively empathises with participants in creative sessions and makes good contacts out of it. I came up with the research question of my professional product by myself and introduced it to African Agenda. African Agenda found my research question highly interesting and allowed me to work on this professional product. I set up and created all of the content in the report myself, therefore I did not work together with other participants in creative sessions. However I had many creative sessions by myself in order to be able to create the final experience concept. I focussed on how to enrich the delegates experience to the greatest extend possible in the future. Therefore I had to come up with new suggestions and innovative ideas concerning interaction and connection improvements and always bear the needs and wants of the delegates in mind. Besides I did a lot of academic research in order 38 to invented new concept experience ideas that fit within the conference sector and desires of the delegates. In this activates both the left as well as the right halves of the brain for stimulating the power of the imagination. According to the left-brain, right-brain dominance theory, the right side of the brain is best at expressive and creative tasks. Some of the abilities that are popularly associated with the right side of the brain include: -Recognizing faces -Expressing emotions -Music -Reading emotions -Color -Images -Intuition -Creativity The Left Brain The left-side of the brain is considered to be adept at tasks that involve logic, language and analytical thinking. The left-brain is often described as being better at: -Language -Logic -Critical thinking -Numbers -Reasoning (Neils Turbelin. Psychology 2011) While working on my professional product both sides of my brain definitely needed to be active. I used the right side of my brain when I was thinking in a creative way and when I came up with new suggestions to improve the interaction and connection possibilities in the future. For instance, one of the ways to improve these possibilities is to add discussion sessions in the conference program. I came up with the suggestion that African Agenda could organize discussion sessions with a specific topic. These sessions will be mentioned in the program and that leaves the delegates to decide whether they would be interested in participating. African Agenda can divide the audience into groups of 5-8, assign them a discussion topic and let them share their knowledge and experience with one another for 10 minutes. When the time is up, make them choose another table with a new topic and new participants. The conversations will naturally continue after the session is over. Furthermore I came up with many other suggestions and in order to be able to do so I definitely I had to think creative and use the right side of my brain. I also used the left side of my brain when working on the professional product since I had to think logically, critically and everything needed to be adapted with a reason. 39 Actively generates various cultural and other perspectives and values and uses these in the creative process I bared in mind various cultural and other perspectives and values when working on the creative process. I used many different sources in order to demonstrate many different perspectives on how to improve interaction and connection possibilities within conference management. I also realised that within both study cases, delegates from all over the world visit the conference. Continues to operate in a goal-oriented manner in the event of resistance to changes and/or innovations. While working on the professional product I operated in a goal-oriented manner. The research objective was ‘to gain insight into the level of satisfaction concerning interaction and connection possibilities of the delegates who attended the conference Actuarial Society Convention 2014 or Attractions 2014 in order to improve the interaction and connection possibilities and enrich the delegates experience’. I structured the report myself and when I realised this was the goal I wanted to achieve from writing this professional product I operated in a goal-oriented manner throughout the whole process of writing this report. I never lost sight of the actual goal I wanted to achieve from writing this report and this is one of the reasons I was able to hand in an appropriate report. Competency 6 – Designing, carrying out and reporting on applied research Researcher When working on my professional product, I developed the research competency in great extent. I came up with the research question, designed and structured, carried out and reported the research all by myself. The research objective is to figure out what improvements can be made regarding interaction and connection possibilities in order to enrich the delegates experience in the future. Before providing African Agenda with improvements possibilities I first had to research the current satisfaction level of the delegates concerning this topic via a survey. Concerning this research I focussed on two case studies namely Actuarial Society Convention 2014 and Attractions 2014. Besides I had to research what the delegates are seeking for concerning interaction and connection possibilities. I researched this by reading many academic articles concerning this topic and I asked delegates for their opinion in the survey. After having researched this part of my report I had to research the part that contains recommendations for African Agenda. These recommendations were based on academic desk research, delegate’s tips and suggestions given by me. Different ways on how to improve interaction and connection possibilities are described in the report after I did this research. 40 Activity criteria Works methodically and systematically (in other words, carries out the research in steps) The first part of the report contains of the formal requirements of a research proposal and is carried out in steps. - Problem analysis - Research objective - Problem statement - Research questions - Theoretical framework - Research method (research type, data collection method) The second part of the report contains of the survey results and describes the current satisfaction level of the convention and attractions delegates. The third part of the report consists of the recommendations given to African Agenda in order to provide African Agenda with recommendations on improvements concerning interaction and connection possibilities for future Convention and Attraction conferences. I worked methodically and systematically and structured the report in an appropriate way. The report is carried out in steps and so thus is the report divided in different steps, or so called phases. Adopts a sufficiently objective and impartial attitude This research is carried out on behalf of African Agenda with the objective to increase the experiences obtained by the delegates during a conference. This research report is worked out objective and with an impartial attitude. The research report is objective since it contains the opinions of the delegates gathered via a survey and all the academic research used is recognised and the sources are mentioned in the appendix. Besides this research is not carried out with an impartial attitude. Understands the cultural context in which the research takes place and integrates these perspectives into the research proposal, approach and implementation. The research is carried out for the company of African Agenda in order to enrich the delegate’s experiences. The general perspectives of African Agenda are integrated into the research proposal, approach and implementation.
