Meeting summary
Web Site: No update. Chris will work directly with Trisha to get the appropriate folders set up and the documents
loaded.

Crisis management plan and training: The team walked through the school classroom wing and multi-purpose area to
evaluate for shelter-in-place functionality for tornados. There was also some post-meeting evaluation and further
discussion with LCS staff. The current plan is:
First floor classrooms: Shelter-in-place in the classrooms away from windows. The kindergarten class in 105 should
move into the adjoining classroom and also utilize the adjoining bathroom as appropriate in order to avoid the windows
in room 105.
Second floor classrooms: Will come downstairs and shelter in the 1 st floor hallway (including kids who may be

scheduled to be in physical education in the multi-purpose room)
Other: ground floor bathrooms can also be used as appropriate for shelter-in-place for front desk staff or other staff
who are located in the non-classroom areas of the school.
Front desk staff will monitor for severe weather (note: a current weather report (basically time and temperature) is
shown on the flat screen TV behind the front desk but additional monitoring will be needed). Ed suggested that a
weather radio should be procured and utilized by front desk staff. In the event of an emergency, they should take the
radio with them to the shelter-in-place location. Ed mentioned that he may be able to provide a weather radio.
Ed suggested that the LCS crisis mgmt plan should be tabbed so that it is easier to find information in a time-sensitive
emergency. Additionally, specific names should be provided for Mr. Yu’s back-ups or designees. Currently the plan is
vague on these points. The team also recommends that in the future LCS should not email the school’s crisis
management plan to the LCS community. Rather, the email or other communication should stress that the school has
a crisis management plan and it is available upon request. There are also standard response protocol handouts
available for parents, students or others upon request.
Watch DOG’s are doing safety inspections of the school and grounds on a regular basis. The risk management team
will review the inspection results for closure and for trends. Watch DOG’s are instructed to take a “see it, fix it”
approach as appropriate but get help where needed. All items should be documented.
Decisions relative to weather emergencies (e.g. snow) are done through the district. If LCS evacuates in the middle of
the school/work day, there is currently no means to quickly notify parents by phone. This could be accomplished via a
simple call tree (e.g. call specific numbers and then ask those people to call specific numbers and so on). Details are
TBD but this could involve front desk staff and classroom coordinators. There may be a mass email system already in
place. If so, this would allow LCS to quickly connect with parents who have smart phones. There is a family email and
a primary phone number in infinite campus system. More work will be needed to finalize these plans.
Dawn mentioned that the health office has triage and mass casualty plans in place.
The recent fire drill went very well. It was reported that the evacuation was orderly and occurred within a few minutes.
The designated meeting location worked out well but the crowd was a little too close to the fire hydrant and had to
move back. Additional drills including lock down, tornado, etc. have been planned for the rest of the school year.
Benchmarking with other schools: Our meeting with Ridgeview was postponed due to illness. The meeting will occur
on January 22, 2013. An agenda was reviewed and Chris will ask those questions as appropriate. Chris will also ask if
it is possible to review Ridgeview’s crisis management plan.
Post meeting note: Crisis management plan training (including the standard response protocol) was provided to
classroom coordinators on January 15, 2013. An additional training session for front desk staff is tentatively planned
for January 31 (time and location TBD)
EZ Lobby: Brian provided a quick update. The system provides photo ID’s and tracking of time in and time out for
volunteers or other people who visit the school. There is a check of the sex offender list for each entry. Funding for this
system will need to be provided on an on-going basis.
