6.21 OFFICE MAINTENANCE POLICY

PURPOSE:

The purpose of this policy is to provide direction for the decorating/maintenance/appearance and general care for office/work space. The goal is to maintain a professional physical image, assure compliance with safety codes, ADA requirements and to support an eco-friendly environment through the preservation of resources.

The College expects that office/workspace will conform to the values espoused by the College community. Employees are asked to maintain an office that is uncluttered of excessive items, that objects be in good repair and that decorations portray a professional standard.

POLICY/PROCEDURE:

Decorating:

Personal items can be displayed in office/work space.

Personal pictures, diplomas, certificates, wall hangings, clocks etc., must by hung by the building and grounds technician. This is to ensure that items are hung safely, using appropriate fastening equipment and to eliminate excessive holes.

Work orders must be completed by employee to request items to be hung within office space.

The building and grounds technician will set up a time to meet with employee to discuss placement of items and determine if the wall area can support the item.

Employees are not permitted to use tacks, nails, or to use adhesives etc. to hang items on walls or doors.

For safety purposes, windows on doors shall not be covered.

Posters must be framed.

Furniture:

Each office/workspace has been designed for safety and efficiency. For this reason, office furniture will remain as positioned.

No office furniture will be taken out or added, including the addition of any personal furniture items such as bookcases, chairs, file cabinets etc. A rolling file cabinet will be approved for a specified period of time to use for coordination of events such as site visit, audits, or other large project after VP approval has been granted.

 Any furniture or equipment needs shall be brought to the VP’s attention for the normal budget process.

Personal Appliances :

The college provides access to refrigerators, microwaves, coffee machines, and printers. To remain eco-friendly and safety minded the college does not allow such items to be brought in for personal use.

Space heaters are not allowed.

Utilize shredding bins provided to eliminate the use of individual shredding machines.

Personal laptop computers are allowed; however personal printers are not.

Recycling, shredding, and waste management:

The housekeeping duties are contracted to an agency that will clean during non-business hours.

The college provides recycling bins, shredding receptacles and trash containers.

Each employee will be responsible for putting their confidential shredding materials in the

CINTAS shredding receptacles provided on each floor.
