PART 1.00- GENERAL
1.1
RETENTION OFDOCUMENTS
A. The Contractor shall refer to the General Condition of Contract and the Contractor
shall minimally undertake the following:
B. Keep on site, as archival documents, a copy of each of the following documents:
1. Contract drawings (CAD electronic and paper).
2. Specifications including Addenda / service orders.
3. Shop drawings / execution and approved samples.
4. Changes: Revision Orders, Directives and other written amendments to the
Contract.
5. Reports of field trials.
B. Following guidelines for the conservation of archival documents:
1. Store the records in the temporary office installed on site, away from
documents used for construction.
2. Provide files and racks for storage of archival documents.
3. Keep records in a legible condition, clean and dry.
4. Do not use archival materials for construction.
5. Archival documents will be available at all times for inspection by the
Employer and all other uses and authorized users.
1.2
MARKING
A. Provide ballpoint pen for marking colour.
1.3
MONITORING AND ARCHIVING
A. Provide each consignment and archives of the label "MONITORING AND
ARCHIVING PROJECT".
B. Maintain tracking documents and archives.
C. Not permanently conceal any work until required information has not been
reported.
D. Clearly annotate the contract plans on CAD electronic monitoring to record and
archive the state of the building actually carried out, as follows:
1. Depths of the various elements according to the foundations identified.
2. Horizontal and vertical location of underground networks and easements
attached to permanent surface improvements.
3. Location of internal networks and easements concealed in construction.
Reference elements with respect to visible and accessible structures.
4. Dimensional changes and details made in the field.
5. Modifications made pursuant to an Order of Review, a Directive or another
modification method.
6. Details not on the original Contractual Plans.
E. Specifications for monitoring and archiving and Addenda / service orders.

a.
Manufacturer, brandname, catalogue reference and supplier of each
product and item of equipment actually provided.
b. Changes by a Change Order, directive or other method of modification.
c. Other aspects or parts of the Work not specified initially.
F.
Shopdrawings/execution: Keep as tracking documents and archives. Legibly
annotate shop drawings /execution to record changes made after approval.
1.4
AUDIT
A. Documents project monitoring will be reviewed monthly by the Employer which
will be based on the current contents of these documents to consider the request
monthly payment based on the progress of work.
1.5
MONITORING AND RECORDS "RECORDS OF WORKS EXECUTED"
A. Hire an expert survey or to record locations in plan and elevation in documents
called "files works executed". Sectors concerned are:
1. Underground networks outside of buildings, including main and secondary
pipes drain storm-water drains and main secondary sewage; supply and return
chilled water and heating, including loops, the main lines of domestic and
industrial water and diversions, including pipe water supply vent sand fire
systems, compressed air, propane, fuel oil, the sleeves electrical cables
directly buried and locations of connections and other network systems
buried.
a. Keep a set of separate and distinct records to record information on
underground networks. Clearly identify and keep this set of documents
separately from other archives.
b. The objective is that the precise location of underground networks is
included in the statement and recorded on the plans. Establish accurate
horizontal coordinates of the sent works from design frames and vertical
coordinates(depth)from fixed data from one or more permanent
monuments.
B. Submit qualifications statements responsible for the approval of the Employer.
C. The expert survey or shall record in a clear and readable information on a set of
building plans and electronically sign and plans to certify the accuracy of the
information recorded.
1.6
FILEWORKS EXECUTED
A. Upon completion of the project, submit the archival and maintenance to
Employer, being the Record of Works Executes defined below:
1. Documents relating to the execution of the work, as built, including butn ot
limited to:
a. Implementation plans.
b. Shop drawings.
c. Synthesis and coordination plans.
d. Built drawings.
e. Study details specific elements.
f. Calculation notes.
g. Sheets and special instructions for installation and startup of the
equipment installed.

h. Operating manuals and maintenance of equipment installed.
i. Sheets fire classification.
j. Wiring diagrams.
k. Ventilation patterns.
2. Documents concerning "data quality" relative to current requirements(DTU)
for proof of compliance and control /testing, such as
a. Reception Reports Control Offices (technical inspection).
b. Test reports.
c. Minutes/ records of checks during construction.
d. Check sheets issued by the Office of Audit.

e. States reserves and minutes of raising reserves.
f. All documents necessary to obtain the consent of the Security Commission.
Documents necessary for the operation and maintenance of facilities, such as
operating manuals and maintenance, PV, approval sheets of materials used.
The said documents may be required depending on the nature of the projects
specified dates punctually by the Employer the Project Manager or Safety
Coordinator.
Electronic documents (all formats) will be issued on CD / ROM (2 copies).
The non-computerized records shall be issued:
a. For plans: On paper and polyester support execution format (2 copies).
b. For written documents (A4): Support paper(2 copies).
1.7
MANUALS OPERATION AND MAINTENANCE
A. General: Provide two French-language versions up to date copies of all drawings,
documentation manufacturer and other information described in this section
during the compilation of operating manuals and maintenance.
a. Must be made in the original documentation.
b. Pre-drill sheets A4 size for standard file selected by the Employer.
c. Submit leaves most important and protective packaging.
B. Compilation:
1. The Contractor shall obtain execution plans, brochures, list of materials,
technical data of all types, warranties, and other relevant information from all
sub-contractors, suppliers and assemble, will catalogue and classify
information in loose-leaf form, in three-ring binders, hardcover to flip.
2.
TheContractorwillcopytheappropriatesheetsofcontractdrawingssuchas
diagrams and control wiring diagrams, tables, panels, views in terms of
electrical and fluid and bend and fitin to the loose-leaf binders with other
information. Provide two original and four copies.
C. Provide operating instructions and maintenance for:
1. The plumbing system- all types, fire protection installation included.
2. Electrical networks as mentioned in the various sections of Division 16.
3. Provide operating instructions for all products required in the Specifications.
D. Provide maintenance instructions only for:

detection incase of operating problems).
Additional parts: (Provide a list of items in stock additional discounts in the
contract).
Guarantees:(Provide a specific manufacturer's warranty). Provide a list of each
component and control settings ,with the date and the date of commencement
of warranty expiration date, and the name, address and telephone number of
person to contact in case of problems during the warranty.
Directory:(Give names, addresses and telephone numbers of subcontractors,
installers and suppliers of spare parts and authorized service). In the

SUBMISSIONS
A. Upon completion of project, deliver documents and archives and records tracking
the Employer.
B. Join submitting a cover letter in duplicate stating:
1. The date, title and project number, name and address of the Contractor, the
title and number of each document archives and records, certifications and
noted that each document submitted is complete and accurate and the
signature of the Contractor or the authorized representative of the Contractor.
