Notice for the public offer
Service Provider for the organizing of
“Japanese traditional food introduction event in Paris”
JETRO (Japanese external trade organization) will hold a business meeting and
introduction event of Japanese traditional food at the beginning of February. Thus, JETRO
offer the company which organize this business meeting and event.
1.Business outline:
Refer to a specification (Appendix 1)
2. Application qualification: An applicant needs to meet all of the following criteria.
(1) Speak and write Japanese and French fluently.
(2) Have enough knowledge of Japanese food and experience in food promotion in
France to succeed the event.
(3) Have an office in France and can act in close cooperation with JETRO Paris.

4.Decision System
Adopt one company by comprehensive assessment of adequacy for the event and
estimated cost.

7th August, 2015 – 21th August, 2015 3:00pm (French time)
6.Special Notes
(1) The contractor shall act in close cooperation with JETRO Paris, JETRO Tokyo and all
concerned persons regarding the event.
(2) The contractor shall comply with the French legislation and the rules.
(3) Any Personal Information from JETRO or any third party during the course of the
performance of the event shall use only for the purpose of performing this event and for
no other purpose.
(4) When the contractor needs to commission a part of work, the company shall ask
permission to JETRO.
(5) The contractor shall manage its total business volume not to trouble this event.
Appendix 1
Specification for organizing of “Japanese traditional food introduction event in
Paris”
1. Background and objectives of the event
There are many kinds of traditional food in Japan. Some of them are made by historical
methods and deeply related to the regional characteristics, like “terroir” in France.
However, many of them are not popular in France. Therefore, JETRO will hold the
event to introduce these attractive foods and make business matching meetings
between Japanese supplier and French chefs or potential importers/distributers to
promote Japanese food export.
We are planning to introduce about 10 food items which JETRO will chose later. The
event is consisted by 2 parts; (1) exhibit these 10 food items and cooking
demonstration for 1 week, (2) live demonstration by suppliers of these 10 food items
and chefs in front of about 150 potential buyers and business matching meetings on
the last day of the week. We offer for organizing and manage these two parts of the
event by using the event site which JETRO will decide later.
2. Schedule and venues (not fixed)
(1) Time Schedule
1 week at the beginning of February 2016 (JETRO will decide later).
Tuesday – Monday: Exhibit food items from 10am to 6pm.
Monday
: Demonstration event from 2pm to 5pm.
Business meeting from 10am to 8pm
Note1: The event shall be start on Tuesday and finish on Monday.
Note2: An adopted company needs to start work for preparing the event just after
a contract.
(2) Venue
JETRO will decide and contract a venue which meets the following criteria.
(i) Easy to visit for chefs, importers, distributers, and media who work in Paris.
(ii) There is enough space for
・ Exhibition (all days): show 10 kinds of food items, information broachers
and other displays which Japanese suppliers want to show. Provide
tasting cooked in demonstration.
・ Introduction event (on Monday): about 150 people gather to see the
demonstration of 10 food supplier and chefs and taste these.
・ Business meetings (on Monday): 10 groups of suppliers and buyers may
have meetings at the same time
・ Cooking (all days): space for demonstration cooking and serve.
(3) Participant (expectation)
150 people on Monday. 150 people for exhibition from Tuesday to Sunday.
3. Tasks
(1) Venue set-up and event management
The venue needs to be prepared for the events. The venue shall give a sense of
elegance and trend to visitors. The contractor shall
・ create a display plan and rent or buy goods which need to display.
・ make around 10 recipes with a popular star chef by using around 10 Japanese
traditional foods which JETRO decides later.
・ buy food which needs to cooking demonstration except for food which 10
Japanese traditional foods.
・ design information broachers which introduce 10 Japanese food items and the
concept of the event and print 1500 copies.
・ hire more than one translator for each 2 suppliers. The translator shall be
frequent Japanese and French and know food jargon.
・ hire 2 public relation people who are in the exhibition site for one week. These
people shall understand detail of the food items and speak French and
Japanese.
・ make a consumer survey for these 10 food items before the event and inform
buyers in the event
・ manage demonstration schedule in the event.
・ manage business meeting schedule (make an appointment system)
(2) Selection of guests and direct mailing, press-related work
Make invitation card and send it to attract 150 people for the event on Monday and
150 people for the event from Tuesday to Sunday. In addition, call or ask potential
guests to come the event.
Our main target is highly ranking and influential restaurants such as awarded by
Guide Michelin, potential importers/distributers or retailers, and food specific
journalists,
(3) Make the report
Make the report of this event and submit by 11th March 2016.
