Michigan Interdisciplinary and Professional Engineering (Interpro) PROCTORING AN EXAM Thank you for volunteering to proctor an exam for off-campus students at the University of Michigan College of Engineering. Please save this information for future reference. Exam Distribution 1. InterPro will email a copy of the exam to all designated proctors no later than the day before the exam is set to be administered. We do not provide paper copies of the exams. 2. An Exam Information sheet with instructions for students taking the exam will typically accompany each exam. 3. The same security precautions should be followed that would ordinarily be followed for on-campus students (e.g.: exam files and hard copies should be secured and students should not have access to the exam until it is time to administer it). a. Under no circumstance are students to be given an electronic copy of the exam. Once the exam has been completed and collected, the same security precautions should be followed. Honor Code Off-campus students, like on-campus students, are expected to follow the College of Engineering's Honor Code. Students are informed of the Honor Code and are expected to sign the Honor Code Statement on each exam. A copy of the Honor Code booklet is available on the College's website at http://www.engin.umich.edu/students/honorcode/code/interp.html. Assigned Exam Dates 1. Generally, exam dates for distance students are as follows unless otherwise indicated by the instructor: a. students located in North, Central and South America will be given one more day than on-campus students (i.e. 24 hours) to complete the exam, and b. students located in Europe, Asia and Australia will be given two more days (i.e. 48 hours) to complete the exam. 2. Final determination of exam dates is made by the course instructor. Any variation from the schedule must first be approved by the course instructor, and the proctor must agree to the arrangement. Approvals received from the course instructor for alternate exam dates should be sent to InterPro via email and should include the new agreed upon exam date. 3. All students with the same proctor should take the exam at the same time. Students should adjust their work schedule to take the exam at the designated time. Alternate Exam Dates Alternate exam dates are granted at an individual professor's discretion, and there is no guarantee that an alternate exam date can be given. 1. If a student has an unavoidable conflict with an exam date, s/he should: a. contact the professor directly to see if an alternate exam date can be granted. b. make arrangements for the alternative exam date with the site coordinator/designated proctor. c. send Interpro a copy of the email from the course instructor with the new agreed upon exam date. The name of the student, name of the proctor, and the alternate exam date should be provided to InterPro no later than two days before the original exam date 2. InterPro cannot give permission for alternate exam dates. Proctoring Exams 1. Proctors are responsible for the timing of all exams. Under no circumstances should extra time be given. 2. Exams must be collected immediately after the allotted time has expired. Allotted time for the exam and other pertinent instructions will be noted on the Exam Information Sheet. Students should not have access to the exam once it has been collected. 3. Proctors should send the names of any students who did not take the exam and the reason why to InterPro. Photocopying Exams Proctors must store a copy of each student's completed exam before returning it to InterPro in order to safeguard against exams being lost in transit. These copies are not to be given to the student unless an instructor decides otherwise. Original or photocopy of exams should be kept in a secured (locked) location until the student receives a grade at the end of the course. Once students receive their grades at the end of the semester, exam originals and photocopies should be disposed of in a confidential manner (e.g., shredding). Returning Exams to InterPro Proctors are asked to return completed exams to INTERPRO in one of the following ways: SCAN and Email EXPRESS TRACKING Service Exams must be returned to InterPro using overnight tracking mail on the assigned exam day (or the next day if the exam takes place after 5 pm). Express mail enables tracking and ensures that faculty can submit grades on time. NEVER USE STANDARD MAIL. The tracking number of the package should be emailed to InterPro at sjklaus@umich.edu .
