THE PROCESS OF APPLYING FOR A LONG TERM EXTRA TIME CONCESSION
ON THE GROUNDS OF A
SPECIFIC LEARNING DISABILITY OR ATTENTION DEFICIT DISORDER.
The university’s regulations regarding the awarding of long term applications for extra time are
detailed in, “Information about applying for a long term concession for extra time in examinations”,
Please read that document in conjunction with this one.
The steps to be followed in applying for a long term concession for extra time.
1. Register with the Disability Service
The first step in making your application for extra time is to come in person and register with the
Disability Service.
First term registration deadline: 31 March.
Second term registration deadline: 31 August.
Note that these registration deadlines also apply for students registered for the PGDA.
2. Book an appointment with Margie le Roux, Co-ordinator: Specific Learning Disabilities. Bring
your assessment report or completed Background History Questionnaire
After you have completed the Registration Form, you will be able to book an appointment with
Margie le Roux, Clinical Psychologist and Co-ordinator – Specific Learning Disabilities. At your
appointment with Margie le Roux you will complete the official application form for extra time and
you will be given further information about the extra time application process.
Your application for extra time needs to be supported by an assessment report from a registered
psychologist.

Bring it with you to your appointment. Note that:

The assessment needs to have been conducted within the past three years.

Specific tests need to have been administered by the psychologist. Please refer to the
document, “Information about applying for a long term concession for extra time in
examinations”, mentioned above, for the list of required tests.
If you do not have an assessment report →
If you do not have an assessment report from a registered psychologist, it will be necessary to
complete a Background History Questionnaire and bring that to your appointment. You may collect a
hard copy of the questionnaire when you register with the Disability Service, or you may contact
Margie le Roux (margie.leroux@uct.ac.za) and request that it be emailed to you.
3. If you have not been assessed by a psychologist, or your assessment did not include the
required tests.
If you have not had an assessment by a registered psychologist, or your assessment did not include
the required tests, it is important to arrange an assessment as soon as possible. You are free to use
a psychologist of your choice, but it is important to check that the person concerned has the
required tests. A list of Cape Town based psychologists who have the required tests will be provided
when you come to register or you may email Margie le Roux and ask for it to be sent to you.
If you prefer to use someone who is not on this list please provide that person with the document,
“Information about applying for a long term concession for extra time in examination” AND ask the
psychologist to email Margie le Roux for the additional information that is required. Note that this
assessment must be arranged privately and is at your own expense.
If your circumstances prevent you from arranging to have this assessment to be done privately,
discuss this with Margie le Roux when you come for your initial appointment.
4. Deadlines for submission of all supporting documents
Once you have registered with the Disability Service you have until the dates given below to meet
with Margie le Roux and submit all the supporting documentation.
First term documentation submission deadline: 30 April.
Second term documentation submission deadline: 30 September.
Note that these submission deadlines also apply for students registered for the PGDA.
After 30 September no further long term extra time applications will be considered for the current
year or for supplementary examinations in December or January. Thereafter your application can
only be considered for the following year.
5. The process followed once all documents have been submitted to the Disability Service.
Once all the relevant documents have been received, your application will be sent to Ms Shiela Yabo
(Tel.021 650 5663) at Student Records, Level 4, Masingene Building on Middle Campus. She will
forward the application to the committee that makes the decisions relating to the awarding of time
concessions.
Once Ms Yabo has been informed of the outcome she will contact you immediately via email. You
will then need to go to her office to collect your official letter. It can take a couple of weeks for this
process to be completed. You will be the first person to be informed of the outcome. The Disability
Service only receives the notification after you have been informed, so we are not in a position to
update you on the progress of your application once it has been submitted.
