Faculty Search Checklist The 20 steps below are designed to create a consistent and well run search process. For more information about each step please reference the corresponding section of the Faculty Search Guidelines. STEP 1 ROLE Dept Chair/Dir of Fac 2 Dept Chair/Dir of Fac 3 Search Committee 4 HR 5 HR/Search Committee (SC) Chair SC Chair 6 PROCEDURE Complete Position Request Form and submit to Provost for funding approval if seeking to fill a new position. Inform Dean once form has been submitted to Provost office. Note: position cannot move forward until both Provost and VP of Finance & Administration sign and submit form to HR. If the position is a replacement position then notification must be sent to HR with current employees last date of employment. Submit for approval names of committee members and chair of committee to the Dean and HR. Search committees are comprised of three (3) departmental members and two (2) external representatives. Create job description of the position that includes essential functions, job related criteria such as degree level and teaching experience requirements and/or any other qualifications required for position as a minimum. Send to Dean for pre-approval. Submit job description to HR. Create job posting in People Admin and submit to electronic review and approval process: Dept Chair/Dir of Fac, Dean, Provost, and President. (Edits can be made at any level of approval process). Note: this process may take an extended amount of time due to the amount and level of approvals. HR receives approval to post the position and begins advertising. SC Chair provides HR with a list of trade/career specific job board sources to advertise along with payment information. Create a rubric/matrix for use in screening applicants and send to HR for approval. Matrix categories are the minimum/additional desirable qualifications outlined in the approved job description. SC Chair schedules organizational committee meeting with HR to review rubric, establish timeline and create interview questions. HR provides committee members Guest User account and password. https://jobs.usnh.edu/hr Screen applicants using approved rubric/matrix for selection and non-selection of candidates to interview. Note: prior to committee screening HR screens candidates for minimum qualifications. Meet with HR to discuss rationale for Phone/Skype interview selection. 7 HR/SC Chair/ Committee 8 Search Committee 9 HR/Committee 10 SC Chair Email HR with interview questions for approval. Once questions are approved SC Chair schedules phone/Skype interviews with candidates. 11 HR/Committee Attend Skype/Phone interviews and document rationale for finalists selected for campus interviews. Note: no more than 3 candidates can be brought to campus. 12 SC Chair/Dean 13 Search Committee 14 Committee/ HR/Dept Chair/Dean Committee/ SC Chair/HR Rationale for campus interview selection is submitted to the Dean who must approve finalist prior to arranging campus interviews. Once candidates are approved SC Chair contacts Office of the Provost to arrange candidate travel and accommodations. Develop campus interview itinerary and send to HR, Dean, and Department Chair. Itinerary must include search committee interview, teaching demonstration, meeting with the Department Chair and meeting with the Dean. If applicable, candidates should meet with Lisa Ladd in GEO to determine international eligibility of hire. Attend and document campus interviews. 15 COMPLETED Committee meets with HR to discuss the results from on campus interviews and develop rationale for finalist. SC Chair sends rationale to HR, Chair of Department and Dean. SC Chair sends finalist the Reference Release Form (this can also be completed during campus interview) and instructs finalist to send completed form to HR. HR will send the Reference Check Form to the SC Chair once the Reference Release Form has been received. 1 Faculty Search Checklist The 20 steps below are designed to create a consistent and well run search process. For more information about each step please reference the corresponding section of the Faculty Search Guidelines. 16 SC Chair Complete references in as much detail as possible and send completed Reference Check Form to HR and the Dean. 17 Dean Complete additional reference checks, as needed. Make offer to finalist. 18 Dean Submit to Provost and HR the completed Faculty Offer Form. 19 HR/SC Chair HR completes and SC Chair signs Position Filled Form. SC Chair submits all materials from committee to HR. 20 HR Notify all applicants of their status. 2
