Overall Purpose
To provide secretarial and administrative support to the Design and Planning Executives, Senior
Engineers and Land Managers

Key Activities
General Duties
Responsibility for maintaining filing system and archiving for the departments
Keeping office tidy and orderly
Sorting and distributing the department’s mail, prioritising and ensuring anything requiring
urgent action is brought to attention
Typing, copying and distributing correspondence
Updating and maintaining the contacts list and agents database
Ordering Stationery
Provide support and assistance to Land & Technical departments including reception cover as
and when required
2. Specific Duties
 To ensure prompt and accurate payment of both departments invoices
 Overseeing the process of invoices, raising an invoice through to the concluding of them.
Maintain a record of invoices. Replying to email enquiries relating to invoices
 To establish and maintain a good working relationship with all consultants, Local Authorities,
Partners, concerned residents and other departments
 Maintain and up keeping of programmes
 Maintain filing system for both departments

Skills and Experience required
Proven administrative/secretarial experience
Typing speed of minimum 50wpm
Knowledge of Microsoft Word, Excel, Outlook, PowerPoint and related software applications
Excellent organisation skills
Committed to meet high standards of quality and accuracy and manage time effectively
Work requires strong attention in detail in composing, typing and proofing, establishing
priorities, working under pressure and meeting deadlines
Confident with telephone work
Ability to multi task
Professional and able to deal with external consultants politely and to build effective working
relationships
First class communication and correspondence skills written and verbal







