Volunteer Handbook 2014 Dress Code and Conduct Policy -All King’s Warriors volunteer staff will be given a KW t-shirt with the word “staff” printed on the back. This shirt must be worn to all games that a staff member is working for the King’s Warriors. -All staff must wear khaki type pants or professional fitting jeans with no rips, holes, or frays -No shorts will be permitted unless temperature reaches 90 degrees or above. Shorts will be professional and must come half down to the knee. No part of undergarments should be showing under shirts or pants/shorts. -All staff should wear athletic comfortable closed-toe shoes with a rubber sole -All staff will also wear name badges so customers will be able to identify whom to ask for help -Men who have facial hair must keep it well groomed, and have short to medium length hair. Women must keep their hair in a professional looking style - Staff is expected to be professional in dress and in conduct -No smoking, chewing tobacco products, or drinking alcoholic beverages while working for the team on game days -Arrive on time and be ready to work. Flexibility is a must. Volunteers may be asked to cover other positions from time to time as needed. Cross training will be provided - Must be pleasant and willing to work and help all guests - All staff must remember that this organization represents our King, Jesus Christ, and we seek to honor Him in everything that we do - Be excited and exuberant to do your job and do it to the best of your ability Game Day Staff Needed Parking - must be able to direct traffic and organize cars in the parking lot to maximize use of space. Will keep the flow of traffic moving and deal with potentially irritated customers in the parking lots. Ticket takers - Will take customers’ tickets and make sure they are authentic King’s Warriors tickets. Will also monitor and make sure only customers with tickets enter the stadium. Ticket booth and sales - will sell tickets to walk- up customers. Must be able to use basic math to make change and have good people skills to work with customers. Retail experience is a plus. Security - will not have official police powers, but will monitor fan activities and report anything out of the ordinary to proper authorities. Security will also act as agents of customer service by providing guidance and answering customer’s questions. Activity staff - Must possess a high level of energy and not be afraid to be super excited about the team. Will help during halftime with sponsorship games and other activities. Must be able to have a good time with contestants and fans and be able to do active athletic activities. Media, visiting team, and referee liaison - Will assist visiting team, media, and referees by making sure they have everything they need to perform their best. Items such as water, food, and towels will be supplied by liaison, as well as assisting with any other needs the media, visiting team, or referees may have. Video and photography - Someone with experience in recording video and/or taking photography of home games is needed. Preferably a college student looking for an internship. Photos and videos will be posted on King’s Warriors website and possibly on uslsoccer.com, the premier website of the United Soccer Leagues. Must have own equipment or access to equipment. Game Ball Managers (11 years old and up) – Must be responsible and serious about ball retrieval. Will work on game days and represent the King’s Warriors. Duty will be to get balls back into play as soon as possible and to chase down loose balls. Ball managers will get to meet the players and will have their own uniforms. Water/Locker Room Crew- responsible for all locker rooms being set up and cleaned up. Fills and checks all water supplies throughout night to make sure they are filled. Statistician - Must have a deep knowledge of soccer and be able to fill out stat sheets with little to no assistance. Abilities in math and attention to detail are also important. Runners- Must have a car and driver’s license and know the area around the stadium very well. Will assist the Director of Operations with various errands on game days. Parking Staff - Mature (preferably an adult) Arrives at the venue two hours ahead of time (typically 5:00pm) Collects all parking items (such as flags and cones) and sets up cones as necessary Directs all game day personnel (police officers, players, coaches, referees) and other game day staff to correct supervisor or designated area(s) Parks all cars in an organized fashion and ensures only authorized personnel park in reserved spots At halftime picks up all cones and returns all parking equipment to designated location Ticket Takers - - Mature (preferably adult staff) will arrive two hours before the start of the game Collects official King’s Warriors tickets from fans as they enter stadium Checks to make sure tickets are official and then punches or rips off stud as necessary Collects all stubs in designated container as fans come into the stadium All fans MUST have a ticket to enter the stadium. Those who do not have a ticket are asked if they have a ticket. If fan cannot prove they have a ticket, they will be sent to buy one. Remind fans to always keep their tickets with them at all times At halftime the sale of tickets will end. Ticket takers will then count all the ticket stubs and report the accurate number on the official game day ticket report. All stubs and report will then be turned into the appropriate supervisor Game Day Security - Will arrive two hours before kick off Offers customer service to fans by answering questions such as: Where can I buy tickets? Where is the bathroom? Etc. Will collect all needed equipment for job including identification and radio Will ensure all areas under responsibly are secure (grand stands, ticket booth, locker rooms, and parking area) Does NOT allow admittance to restricted area without proper identification If any minor issues arise will contact supervisor via radio If any major issues arise contact local law enforcement Must assist with emergency or evacuation procedures Ticket Booth and Merchandise Sales - (Mature Adults) Will arrive 2 and ½ hours before kickoff Checks all items and takes note of current up to date inventory Utilizes all merchandise sale sheets and fills them out as customers buy items - Makes sure credit card machine is ready and in working order Counts all cash in box and makes note of cash at the beginning of the night Organizes merchandise in an eye appealing way Knows all info about merchandise items including: sizes available, colors, and price of each item Must possess basic math skills in order to make change for customers Will promote other items (i.e. season tickets, surveys, camps) that help promote the team Sells tickets to customers knowing prices and being able to explain all discounts Will keep track of number of tickets sold by using ticket counter Offers friendly and professional service to all customers Activity Staff - - Arrives one hour before kick off Must possess high level of energy and excitement at all times. Also must be physically fit as job will require running, moving up and down through the bleachers, etc. Cannot be shy and must be willing to interact with and excite fans Coordinates with director of operations to ensure all pre-game personnel are in place (national anthem singer, person offering invocation, and children walking out with players) Will perform various tasks during halftime such as penalty shoot outs, throwing prizes into the stands, and small sided soccer matches with children Will assist with post-game clean up Visiting Team Liaison - Arrives two hours before kick off Acts as host to visiting team Informs director or operations of arrival of visiting team via radio Directs group to proper locker rooms and/or field Answers all questions the players or coaches may have. If answer is unknown offer to find out answer and then get answer as soon as possible Offers to help out in any way possible Ensures all needs such as water, area to change, locker room set up properly, and food items are met. Handles all will call requests from home and visiting team Ensures post-game food and water arrives in both locker rooms right before the match ends Acts with class, kindness, and professionalism towards our visitors Will assist with post-game clean up Referee Liaison - Arrives two hours before kick off Informs Director of Operations of referee arrival Ensures referee locker room is stocked with needed supplies (soap, towels, and water) - Meets and greets referees upon arrival Directs referees to law enforcement personnel and also directs them to appropriate locker room area Ensures referees are safe at all times throughout the evening Ensures referees have water on the sides lines as needed Answers all questions referees may have During the match acts as substitution coordinator reporting subs to press area and filling out correct paperwork After match ensures referees get paid and correct paperwork is completed and given to proper supervisor Media Liaison - Assists media director with setting up press area before the match Greets all media personnel, checks credentials for authenticity, and directs them to the press box area Coordinates with media relations director concerning media meals and beverages Works with security to ensure only authorized personnel are granted entrance to the press box Updates Facebook and Twitter with live updates under the direction of the Media Relations Coordinator Assists media in every way possible and answers all questions media personnel may have Video - Arrives two hours before kick off Is responsible to video record the entire match, pre- and post- game highlights, and preand post-game interviews Must either provide own equipment or get permission to use staff camera While recording limits personal and other fans “commentary” to a minimum Produces highlight films for King’s Warriors website after matches Assists with live game day streaming Will receive credit for video specially created for the King’s Warriors Photographer - - Arrives two hours before kick off Must provide own camera and easy way to decimate pictures to media relations director as well as simple way for staff to post pictures though various media outlets (website, Facebook, and Twitter) All pictures used for media must be clear shots and action shots during game play Must be prepared for various lighting conditions May be asked to take pictures of staff and other groups for promotional purposes Will receive credit for pictures taken for King’s Warriors Game Ball Managers - Arrives one hour before kickoff Takes ball retrieval very seriously Must be at least 11 years of age Must agree to work for entire game and cannot leave post for any reason without permission from supervisor Gives nearest player a replacement ball and then retrieve balls knocked out of play Listens to all referees, coaches, and supervisor and follows all instructions Statistician - Arrives one hour before kick off Assists Media Relations Director with keeping stats during matches Must have knowledge of soccer rules and stats and be able to keep up with the pace of the match with little to no help While the game is live, must be at set location and be keeping up with the stats cannot leave post without supervisor’s permission Makes sure all information is complete and accurate and checks out with supervisor before leaving Runners - Must arrive 3 hours before kickoff Must have a valid driver’s license and know the area around the stadium well OR be able to run errands around the stadium Will assist the Director or Operations with various errands. Must have attention to detail and be able to follow instructions Will help set up for the game and tear down afterwards Must be flexible and willing to do various jobs. May not get much opportunity to watch the game Water/ Locker Room Crew - Arrives 3 hours before the match Starts with home locker room and sets it up locker rooms according to game day instructions Fills up all coolers with ice and water Makes sure locker rooms, sideline, and referee hut are set up for arrival of players or referees Checks all supplies at halftime Helps clean locker room and all other facilities after match May not leave until checking out with a supervisor Office personnel Administrative assistants - Will assist the King’s Warriors receptionist with various tasks such as inventory, mailings, data entry, and answering phones. Solid knowledge of Microsoft Office and computers a must. Sales Representatives - Will work directly for the Community Relations Director. Must possess confidence and a friendly outgoing personality. Will attend meetings with Director of Operations as well as get experience by keeping a client portfolio, making phone calls, and doing in-person sales to clients.
