CHARGES AND CONDITIONS OF HIRE
Hire Charges as from September 2015

Community Hire Charges are applicable to all non-profit making groups and charity
organisations, located within the County of Neath and Port Talbot Group, Variation
and Exemptions must be authorised by College Management or their representative.
Nidum Arts Centre reserves the right to increase charges by up to a maximum of
50% for out of county and/or professional companies and/or commercial events.
Charges for TV or Radio recordings, broadcasts, conferences, etc. are negotiated
separately at the time and in line with current market rates.
THE MAXIMUM NUMBER OF SEATS AVAILABLE IS THE AUDITORIUM IS 144
FIXED AND 24 PORTABLE MAKING FOR AN AUDIENCE TOTAL OF 168, AND
SUBJECT TO A MAXIMUM OCCUPANCY OF 220 – THIS INCLUDES THEATRE
STAFF, AUDIENCE, PERFORMERS, CREW AND ANY OTHER HELPERS AND
ASSISTANTS.

NB: Subject to nature, scale and technical requirements some events may be
charged at up to the higher rate stated.
NB: The above charges exclude Performing Rights (PRS) fees and any Royalty
fees. Method of payment to be discussed and agreed with the Arts Centre staff.

Session starts and finishes beyond the stated periods may be subject to additional
charges at pro-rata rates.
NB: All companies/hirers must remove all set, props and costumes from the
premises on the day (or last) of the performance unless otherwise agreed.
Failure to do so by midnight may result in extra charges at Sunday/Bank
Holiday rates or at other industry rates, term and conditions to be agreed with
Management.

THE BASIC HIRE CHARGES OF NIDUM ARTS CENTRE WILL PROVIDE THE

2. FACILTIES AND SERVICES PROVIDED –
The Nidum Arts Centre Service is proud of its long-standing relationships with
professional, amateur, local and visiting companies and hirers. We are equally proud
of our role in the success of many productions and events over the years.
We believe that behind every successful performance there has to be a solid
framework of contractual and practical 'people partnerships' and a strong sense of
kindred spirit developed out of mutual respect for each other.
Such conditions invariably 'brings out the best' in all of us.
Technical Service
Stage Technical Supervisor
 General supervision and management of stage and backstage areas in respect of
Health & Safety regulations and industry standards
 Supervise and manage back stage and general security of related areas.
 Supervise the “get in” and “get out”.
 Safety checks on all structural aspects of production, including set masking and
safety check on set construction.
 Advice and assistance where appropriate with erection of sets and other technical
aspects of production
 Front of house liaison during performances and rehearsals
 Assist and support other members of the Technical team
 Security and safety check on all Nidum Arts Centre equipment.
N.B: The above specially excludes the design and construction of sets and/or
special effects (unless otherwise agreed). Companies and Hirers must submit
details of the set plus other requirements in advance. The Theatre’s Stage
Technical Supervisor is not required within the terms of contract to 'call'
performances (unless otherwise agreed by the Arts Centre staff). Companies

and Hirers are advised to consult with the Arts Centre staff in good time on any
changes or additions to back-stage arrangements.
Lighting Technician
 General advice on lighting aspects of production/event
 Safety check of all relevant electrical equipment
 Provision of agreed lighting rig and implementation of company's lighting design
(to be provided in advance and in good time).
 Advise on extra equipment, sources of supply, etc.
 Supervise the “get in” and “get out”.
 General security in respect of all stage and front of house lighting.
 Liaise with visiting company technicians as required.
 Assist and support other members of the technical team
 Security and safety check on all Arts Centre equipment.
Sound Technician
 General advice on sound aspects of production
 Safety checks on all relevant sound equipment
 Provision of sound system as required by the Hirer/Company.
 Implementation of company's sound plan (to be provided and agreed in advance
and in good time, as agreed).
 Advice on extra equipment, sources of supply etc.
 Supervise the “get in” and “get out”.
 General security in respect of all stage and front of house sound systems.
 Liaise with visiting company technicians as required.
 Assist and support other members of the technical team
 Security and safety check on all the Arts Centre equipment.
N.B: The above specifically excludes the design of detailed lighting or sound
plans (unless otherwise agreed with Arts Centre staff).
N.B: Functions and duties not implicit or consistent with the above must be
discussed and agreed with the Arts Centre staff.
N.B: Hirers are advised to consult with the Arts Centre Staff on additional
requirements or specific requests.
N.B: Companies and Hirers are advised to consult with the Arts Centre staff to
check that specific equipment is available and included in the basic hire
agreement,
The hiring of any additional equipment must be invoiced directly to the hirer. The
Arts Centre will not accept invoices for hire of additional equipment unless it has
been authorised in advance by the Arts Centre staff.
N.B: Unless otherwise agreed with the staff all set, props, costumes etc. must
be taken away during normal get-outs. Property left behind may be disposed
of as appropriate and extra charges may be incurred.
N.B: Technicians contracted on a freelance basis are required to show and
carry their own personal or company insurance cover re: Third Party liabilities,
equipment damage and failure and performance quality and continuity.

Nidum Arts Centre reserves the right to charge a facility fee to all freelance
contractors. Volunteers/non-professional technicians must be approved by the Arts
Centre staff and be protected by the Hirer’s own insurance policy or the individual’s
own 3rd party insurance policy.
In the event of accidental damage or otherwise any resulting costs will be charged
directly to the hirer in the first instance.

The Nidum Arts Centre ticket pricing policy should apply to all public performances
(with the exclusion of school's performances and other educational performances).
The Nidum Arts Centre pricing policy includes for full ticket prices, concessionary
ticket prices and block booking rates by agreement. "Best seats" and price
differential seating plans as appropriate. Other promotional ticket pricing schemes as
agreed, e.g. competitions, vouchers, etc.
N.B: When joint Box Office arrangements are agreed Nidum Arts Centre
reserves the right to be allocated an equitable allocation and location of seats
to sell.
N.B: Hirers and visiting companies are not permitted to sell Agency tickets on
the premises.
PLEASE CONSULT WITH THE ARTS CENTRE STAFF FOR DETAILS OF OUR
PAYMENT PROCEDURES AND BREAKDOWN OF FINAL CHARGES.
4. ADDITIONAL REQUIREMENTS
1. Copy "License to produce", where applicable, must be attached to the hire
application form.
2. Videoing or recording of any description of production or parts thereof is strictly
prohibited unless licensed by copyright, copy of which must be available on
request.
3. The hirer is responsible for obtaining and producing, when requested, all relevant
licences and "permissions" in respect of the production.
N.B: The hirer must provide sketch plans and notes of stage sets,
orchestra/band/sound desk locations in advance as strict regulations apply.

5. SERVICES FOR DISABLED PERSONS - Hirers and Companies are required to
comply with all current polices and practices in respect of Disabled persons;
backstage and front of house.
Please contact Arts Centre Senior Technician to discuss how many wheelchair
users can be accommodated for your event.
N.B: Please consult with the Arts Centre Senior Technician on matters relating
to access and other disabled persons requirements.
6. KIOSK FACILITY - Companies and hirers are advised to consult with the
Management on the opening of the Theatre Kiosk.
The kiosk is normally closed after performances.
Normal opening times will be 1 hour prior to the performance and during the interval.
There may be special occasions where the kiosk will remain open after the
performance. This will be at the discretion of the Management whose decision is
final. Hirers may be charged for this extra facility at cost.
Any special arrangements/requirements must be discussed prior to the period of hire
and agreed with the Arts Centre staff.
7. On the College’s behalf Nidum Arts Centre undertakes as far as is practicable to
provide the best possible service in line with College policies and accepted industry
standards and practices.
The Arts Centre Management however cannot accept responsibility, solely or
otherwise, for factors beyond their reasonable control (which may impact upon the
presentation and/or continuity of a performance) unless it can be established that the
cause of the discontinuity or shortfall in presentation was a reasonably foreseeable
factor.
Such liabilities as might ensue would be measured against the actual degree and/or
likelihood of 'harm' caused to the company/hirer.
All such cases would be referred to the appropriate Senior college officer for final
approval and comment.
CAR PARKING – car parking is available for Nidum Arts Centre and is provided in
line with its usage by the college staff and students. Special arrangements for large
vehicles delivering items such as scenery, but arrangements must be made with the
Arts Centre staff 1 month prior to the event.
BACK STAGE SECURITY – The stage technical supervisor is responsible for all
back stage security and reports directly to the Arts Centre Senior Technician during
public performances. In some instances hirers and visiting companies may be
required to provide and/or pay for additional security staff.
LOST PROPERTY – Please report lost property to a member of staff at the earliest
opportunity every reasonable effort will be made to return lost property to its rightful

owner. The Theatre reserves the right to dispose of unclaimed lost property after a
period of 1 week.
MARKETING AND PROMOTIONS
Nidum Arts centre undertakes to market and promote events taking place at its
theatres in the best possible and most effective manner.
Grwp NPTC reserves the right to work in partnership with other similar organisations
on specific promotional campaigns. In some instances individual companies and
hirers may be invited to contribute to the costs.
N.B: Nidum Arts Centre cannot accept responsibilities for late submission of
copy and production details and images after stated deadlines.
