Data Validation; Using the LOOKUP Function

Before You Begin:

Open the check_04.xlsx workbook located in the Section Folder. Make a copy of this file and save it as check_04 Your NetID.xlsx. Be sure to place this file inside your N: Drive so you do not lose any work completed in class.

Jaya Torres tracks the sales of kitchen appliances at Kitchen WareHouse. Kitchen

WareHouse has stores in five regions. Jaya has recorded the monthly sales of refrigerators, microwaves, ovens, and dishwashers for each region in the check_04

Your NetID.xlsx workbook. She would like to include a worksheet that consolidates the sales information from the five regions. She'd also like to take advantage of the Excel lookup feature to allow users to quickly retrieve the total sales of a particular product in a specific month.

Jaya has already placed a worksheet in her workbook that will be the summary sheet. The worksheet's title is 'Summary'! She wants you to add formulas to the table that sum the sales for each product in each month across the five sales regions.

She has also included a worksheet entitled 'Sales Results'! in which she wants you to enter a function that will allow a user to enter the month number and the product

ID code, and have a total sales appear in a cell labeled "Units Sold."

Instructions:

1.

Open the check_04 Your NetID.xlsx file that you saved.

2.

Enter your name and the date that you complete the knowledge check into cells B4 and B5 of the Documentation! worksheet.

3.

In cell B4 of the Summary! Worksheet, enter a formula that sums the

values in cell B4 from the Region 1 to the Region 5 worksheets.

Copy the formula you entered in cell B4 into the range Summary!B4:N8.

Assign the range name Total_Sales to cells A3:N8 in the Summary!

Assign data validation for cell B3 of the ‘Sales Results’! worksheet that will require entries in that cell to be whole numbers between 1 and 13. On the

Input Message tab, deselect the box that reads “Show input message when cell is selected.” On the Error Alert tab, choose Stop, and type Invalid Data for the Title, and Entry must be between 1 and 13 for the Error Message.

(Look for Data Validation in the Data Tools group on the Ribbon’s Data tab.)

Assign data validation for cell B4 of the ‘Sales Results’! worksheet that will require entries in that cell to be whole numbers between 1 and 5. On the

In cell B5 of the 'Sales Results'! worksheet, enter a lookup function that will do the following: a.

Look up the product number that is entered in cell B4. b.

Look up this value in the range you named Total_Sales. c.

Use cell B3 + 1 as the col_index_num. (What's the logic behind this?

Can you explain why you would do this?) d.

Return a value only for an exact match.

9.

Right now the result that appears in cell B4 reflects how many microwaves were sold in all regions in March. Test the lookup function that you entered in 'Sales Results'!B5 by using it to answer the following questions: a.

How many refrigerators were sold in all regions in January? (Hint: type 1 for Month in cell B3 and 1 for Product in cell B4.) b.

How many dishwashers were sold in all regions over the entire year? c.

d.

How many appliances were sold in all regions in March?

How many ovens were sold in all regions in June?

10.

Check your answers by comparing the lookup results to those you got in the

Summary! Worksheet.

11.

Save the check_04 Your NetID.xlsx file in your student locker.
