Revised Certification Process

REVISED CERTIFICATION

PROCESSES

August 2014

1) Instructors for agencies, sites, etc.

All students to be agency: agency orders packets and workbooks, submits roster of students, makes payment for materials, memberships. Returns unused materials for refund. Invoice is issued at time of order for NET 45 rather than current NET 30. This allows time for the class to take place and the instructor to return unused materials for a credit to the invoice with payment.

Still allows “over ordering” but cuts down the accounting steps. No instructor fee collected by

NAI.

Agency plus outside students: works in the same way, plus we post class online for individual student sign up, handled like independent trainer with payment to agency for outside students made direct deposit as soon as packets sent in to NAI for processing.

2) College/University instructors

Instructor notifies NAI of an upcoming class, submits roster of students after drop class deadline.

University pays membership fees, materials fees at that time, workbooks shipped. Certification packets to be shipped by some point in class, when instructor is aware of who is going to opt for certification (that portion of class usually toward end of semester?). If college collects cert fees, college pays us. If students pay directly, they go online to pay cert fee. No instructor fee collected by NAI.

3) Independent trainers

Students sign up for a CIG class on our website. They pay the instruction fee and membership fee at the time of registration to NAI. If they plan to seek certification they would pay that fee then as well Their membership would be activated immediately, we would keep the instructor notified as to numbers up to 2-4 weeks prior to the class (whatever works best) and send the certification packets and workbooks out in time for the class. The instructor would receive their payment immediately upon our receipt of the completed packets back - not after they have been processed but immediately by direct deposit to their bank accounts. The student has his/her membership, the instructor is paid in a timely fashion, NAI is not waiting on instructors to pay us to process the packets, we have the advantage of up-front payments in our account, and we do not need to process un-used packets and credit memos (which creates bookkeeping issues).

Benefit to Instructors:

 Will not have to handle the bookkeeping and be responsible for getting payment from students; and

 NAI will step up its marketing efforts on their behalf – with staff time saved by not having to do all processes manually we can put more time into marketing classes for them by promoting online registration through NAI Now, quarterly training update broadcast emails, etc.

STILL TO BE DECIDED: We will need to have a process for allowing a student to change his/her mind while at the class as they can now - the certification fee can be paid online and we would send their certification packet to the instructor somehow.
