Timeframes: Facility, Meal, and Speaker research/ask were all initiated at least one month prior to
Issue Day and final confirmation obtained 2-3 weeks before Issue Day. The first team meeting was held
six weeks before the Issue Day, then at two week intervals in person, with e-mail communication
weekly. Set-up and audio/visual checks were done the afternoon before the Issue Day to ensure that
we were “good to go” on the day of.
Candy – Point person for oversight, coordinated meetings, created Agendas, contacted speakers,
secured lunch from Dragon Wok, created team task list, coordinated presentations, sent thank yous
after the event, and completed GL CheckList and Lessons Learned documents.
Bob – Assisted with planning, day-before set-up, and day-of emceeing
Joe – Assisted with planning, coordinating snacks (picking up from Adrianne), and day-of greeting,
emceeing, lunch/snack set-up, and facilitated end-of-day class project discussion. Joe also provided the
draft and final Agenda to the Board (in Candy’s absence).
Tracey –Assisted with planning, solicited/coordinated donated continental breakfast from Kneaders,
day-before set-up, and day-of breakfast/lunch set-up, facilitated end-of-day class project discussion with
Joe

well with our topic.

basics every leader should know. His topic was Parliamentary Procedure & How to Run Effective
Meetings

Lessons learned to help the next facilitator?
What worked very well with our team was starting early and communicating often. We had three inperson meetings and continued communication via e-mail and phone. Assignments were made at the
first meeting to distribute the workload.
