Village of Capron Events Committee Meeting Minutes October 15, 2015 at Capron Village Hall 250 W. Main Street, Capron, IL 61012 Attendance: JoAnn C., Steve C., Bob L, Pam O., Liz K. Late arrival: Barb S. (meeting started 6:45 p.m.) Discuss: Results/feedback from Flea Market. Bob said 20 vendors came, we had good weather, and at cleanup there was no trash on grounds. Positives were given from vendors. Plan to have three flea markets next year: Spring, mid-Sumer, Autumn. There were $290.00 worth of raffle tickets sold. Gross income $707.00. Expenses: $39.90 add in shopper; misc. $44.77, supplies (coffee, cups, napkins, plastic bags for donuts and plastic gloves, etc.). Health Department did come to inspect; suggested a hand-washing station. Can use a cooler with spigot, but can’t let water fall on ground. Bob did get OK from Health Dept. Melinda Rhoades volunteered to be liaison between Events and Health Dept. for flea market next year. She also said Events should have had a different type of permit than the one they did have. Many thanks to Edwards Apple Orchard for donating six gallons of apple cider, spice, and seven dozen donuts. Halloween (Steve C. -lead): Steve C. said he spent between $50.00 and $60.00 on decorations and game items. He would like volunteers to run the games. As has been true for many years, Trick or Treat will run from 4:00 p.m. to 7:00 p.m.; then the parade will begin from the fire department building and end at Lions Park. Hot dogs and hot chocolate will be served. Games will be inside in the larger area; food will be served in the front area. Bob will pick up the donated pumpkins from Edwards Apple Orchard and bring them to his place. He will take care of washing them and getting them to the Lions on Friday before Halloween. The fire department will be in charge of the bonfire. Steve C. typed up a flyer to be given to the Elementary School children the week just before Halloween. Bob will send a thank-you letter to Ken at Edwards for all the donations given at the flea market and for Halloween. Christmas in Capron (JoAnn C. - lead): Bob and Sarah drew up a draft time schedule of the events to be held on December 13th. Bob said the Christmas tree should be cut and moved to the village green area by December 1st so that the school children can decorate it before the tree lighting ceremony. Bob suggested trying to keep this a local event by not advertising for out-of-town people to come. There was a good bit of discussion about where to load and unload the riders for the train ride: Pam suggested to load at shelter by Surface Mfg., go in a circle to the fire department and back to the shelter, unload and reload. There was no decision reached yet as to who will play Santa. Bob said someone will need to contact Rosa’s about donating pizza; might also go the ‘buy one get one free’ route. The Events will need another Health Dept. permit for food and drinks after the tree lighting; Bob would also like to have one or two people who have the Food Handling Permit to hand out the pizza slices. Before the tree lighting at 5:00 p.m., there will be a short greeting by the village president. Pizza, cookies, etc. will be given out at the fire department after the tree lighting ceremony. Barb S. said the breakfast with Santa is still pending. Bob suggested volunteers to answer letters to Santa (if Events does that). He also would like to know which Events members will be available to help out. Other issues: Not discussed as we were advised that this is a Zoning & Ordinance problem and should be handled at the village meeting. .
