JOB AND PERSON SPECIFICATION POSITION TITLE: ARTS PROGRAMS COORDINATOR LOCATION: PORT ADELAIDE EMPLOYMENT CONDITIONS: FULL TIME (2 year contract) CLASSIFICATION: ASO-2 INCUMBENT: VACANT IMMEDIATE SUPERVISOR: MANAGER, ARTFORM DEVELOPMENT POSITION OBJECTIVES: The Arts Programs Coordinator is responsible to the Manager, Artform Development for assisting with the coordination of tours organised through Country Arts SA’s annual Performing Arts & Visual Arts programs. As required, the Arts Programs Coordinator will also assist with national tours managed by Country Arts SA and assist with the administration delivery of the Regional Centre of Culture & the Cultural Places Initiative. The Arts Programs Coordinator will also work collaboratively with other staff across the organisation in assisting with marketing & publicity, administrative and clerical support to Country Arts SA’s Artform Development division. REPORTING STRUCTURE Arts Programs Coordinator is responsible to the Manager, Artform Development SPECIAL CONDITIONS Occasional out of hours work will be required. D:\687300790.doc KEY RESPONSIBILITIES Contribute to the goals and objectives of Country Arts SA by: assisting with the management of tour scheduling and bookings associated with accommodation, travel and freight for state and national touring; providing an effective administrative and clerical support service for all Artform Development departmental programs (Main Stage Program, Shows for Schools, Just for Kids, Morning Melodies, Shows on the Road, Visual Arts Touring, Regional Centre of Culture, Cultural Places Initiative, Dance Program & Theatre Development); assisting with the preparation of funding applications and acquittals as required; assisting with the implementation of Country Arts SA’s annual seasons in each of Country Arts SA’s operated Arts Centres and in other venues which may be hired by Country Arts SA on occasion; assisting the Manager, Artform Development with the development, planning and implementation of special events, launches and all other touring initiatives, as required; active liaison with the Audience Development Coordinator and venue staff to raise awareness and profile of all Artform Development programs; as required assisting with the preparation and collation of material for all Country Arts SA programs, brochures and collateral; performing any other duties for the delivery of Artform Development Programs, and; ensuring the promotion and implementation of the principles of public administration and personnel management, in particular equal opportunity and occupational health and safety. 2 JOB AND PERSON SPECIFICATION ARTS PROGRAMS COORDINATOR KNOWLEDGE, SKILLS AND EXPERIENCE (SELECTION CRITERIA): ESSENTIAL MINIMUM REQUIREMENTS Knowledge/Skills/Experience Requirements Demonstrated ability to establish and operate appropriate administrative systems including touring schedules An ability to set priorities and handle frequent periods of pressure Demonstrated ability to deal courteously and effectively with community groups/members, Presenter groups, other Country Arts SA staff and stakeholders Experience in computer operations particularly Excel, Word and other programs in the Microsoft Suite Demonstrated ability to prepare letters, reports and statistics as required Administrative skills including office procedures such as computer skills, soft-copy & hard-copy filing, telephone and operation of office equipment An ability to assist with promotional activities Demonstrated ability to work as part of a team DESIRABLE REQUIREMENTS Experience Experience in tour organisation and management Experience in providing administrative support Knowledge Knowledge of the performing arts and visual arts sectors in South Australia and nationally Knowledge of regional communities in South Australia Knowledge of funding opportunities An understanding and commitment to social justice, cultural diversity and equality issues Knowledge of relevant legislation and in particular the Occupational Health, Safety and Welfare Act. 3 Desirable Requirements and Characteristics Arts, Commercial or Business Studies Certificate, other qualifications or relevant competencies Experience in marketing and promoting arts activities Experience in working with the media Experience with volunteer groups A positive and energetic personality, an open mind, a willingness to respond to the general public, an understanding of and commitment to regional communities and a love of the Arts Drivers Licence Possession of a current Class 1 Drivers Licence 4
