Current Practice
1.
This proposal outlines a change that affects records which
currently contain a URL for electronic access. It is not suggested
that these changes be turned into a project, rather cataloging and
auxiliary staff should make changes as they come across the
records as a part of their normal work.
A.
The following titles will be affected by the proposal:
i.
Shared bibliographic record that has a title with a URL
that gives access to one specific location or one acquisition
process (Ex. HeinOnline, JSTOR, etc.) (See figure 1.1, 1.2).
ii.
B.
Titles that have more than one URL. (See figure 2.1, 2.2)
The following titles will not be affected by the proposal:
i.
Titles with URLs that are inherent to the description of the
title and are accessible to all, regardless of location or
acquisition process (Ex. USGPO titles) (Figures 3.1, 3.2)
ii.
Monographs and any other titles that do not have a record
c Holdings will have the 856 field remain in the bibliographic
record. (Figure 4.1, 4.2)
2.
A shared bibliographic record that has a title with a URL specific to
one location (paragraph 1 section A, above).
A. URL will be placed in the bib record and in the c Holdings (formerly
the Summary Holdings screen, MHLD, in USCAN) as an active link in
an 856 field. (Figure 5.1, 5.2)
B. For serials and titles that have c Holdings in record, place the URL in
the c check in record. Again, use index y for the 856 field, |u for the
URL and |z for the public note.

Use the following names for subscriptions exclusive to a specific library:
Columbia Business Library
Columbia Thomas Cooper Library
Columbia Math Library
Law Library
2)

When there is more then one link on a bibliographic record, then it will be necessary to
differentiate between the URL’s and the libraries/processing units. Example: A title with URL’s
through JSTOR (accessed by all the libraries) and EBSCO (accessed by Columbia Campus) will look like:
|zUSC All Libraries from JSTOR
|zColumbia Campus from EBSCO
3)
When a link is used by a select number of campuses, all appropriate campuses will be
the link. Example (Aiken is not a subscriber):
listed in
|zBeaufort (North & South), Lancaster, Salkehatchie (East & West), Sumter, Union &
Laurens, Upstate, Columbia Campus
4)
When a resource is available for more then one vendor, the wording will look like:
|zColumbia Campus from EBSCO
|zColumbia Campus, Union & Laurens, and Upstate from JSTOR
|zColumbia Math Library from ScienceDirect
5)
Add the URL to the summary holdings field as an 856 field with no note (except in the
access restrictions as noted in #6 below).

Libraries that have limited or restricted access to a URL will need to add a |z field
specifying which libraries and the type(s) of access.
