JUNIOR DEAN PEMBROKE COLLEGE Further Particulars relating to contract The Junior Deans are responsible to the Dean and Deputy Dean, but in practice have contact with all the Fellows and College staff at all levels. A successful Junior Dean acts as a tactful liaison officer between junior and senior members and the College staff. For the better performance of the duties, Junior Deans are required to reside in College. A Junior Dean should get to know the students. For this purpose, a Junior Dean is required, as directed by the Dean, to organise and/or be involved in a series of social functions for all students. These include Junior Deans’ lunches, organised by the Junior Deans for first year students, which are held on approximately eight occasions in the early part of the year Junior Deans are not expected to engage in any formal counselling activity. However, they have a major function in dealing with any emergency situations that may arise with respect to students, whenever they may arise. In such circumstances they should keep the Dean or the Deputy Dean informed. Junior Deans should also seek to become aware of cases where students may have actual or potential difficulties so that they can advise the student of sources of assistance and thereby try to defuse potential problems before they arise. Where appropriate, they should notify the relevant college authorities. In addition to the Academic Director and the Dean, the College has two Welfare Advisers who are available to assist students with any problems they may encounter, and Junior Deans may be asked to assist them in dealing with particular cases. Junior Deans are the secretaries for the College Welfare Committee, which is held each term, with the Dean, Deputy Dean, Academic Director, Home Bursar, Welfare Advisors, Academic Registrar, College Nurse, College Link Counsellor and welfare representatives of the JCR, MCR and College staff. In addition to the pastoral role, the Junior Deans have specific responsibility for ensuring that student functions such as parties and dinners operate within the College’s rules. As far as is practical they are required to be aware of problems involving the College bar. In this regard it is important for the Junior Deans to have a good working relationship with the Home Bursar and other staff such as the Hall Steward and Head Porter. Junior Deans are also required to invigilate College collections in the first two days at the start of each term and occasionally invigilate for students sitting University examinations in College for which they are paid at a rate determined by the College. The College requires Junior Deans either to undertake a full-day First Aid course at the College’s expense, or, in agreement with the College, take the full 4-day First Aid Certificate course, again at the College’s expense. In either case, Junior Deans will then be expected to undertake first aid duties for staff and students within the College. In addition, Junior Deans will be expected to attend the training session for Junior Deans organised by the counselling service. Hours of Duty There are two Junior Deans and as a team they will provide cover during weekends and evenings and be contactable during the day. The College provides each Junior Dean with a mobile telephone and they will be contacted by the Lodge duty porter if required. In practice this means that each Junior Dean provides cover for the other. Each Junior Dean should get two clear days of research during the week when the other provides cover and likewise they would usually be available no more than one weekend in two. The Porters Lodge should be notified in advance as to which Junior Dean is available. Any time off required should be agreed in advance with the Dean and notified to the Home Bursar, Porters and Academic Registrar. Activities within the Oxford ring road (ie within 30 minutes from the College) will not need to be pre-arranged. Junior Deans must complete a monthly return showing the number of hours they have worked. This sheet must be sent to the Bursar’s Secretary by the 10th of every month. Place of Work The place of work is Pembroke College, Oxford, which includes the Geoffrey Arthur Building, other College-owned properties and the Sports Ground. Accommodation For the better performance of their duties, Junior Deans are required to reside in the College for the period of the appointment; one Junior Dean (normally in the first year of appointment) lives and has primary responsibility for the Geoffrey Arthur Building and the other lives on the Main Site. No charge will be made for this accommodation. The Junior Dean resident at the Geoffrey Arthur Building is also required to sleep in his/her room on those nights when the Warden is not present. Should this not be possible, the Junior Dean based on the Main Site will provide cover. Remuneration Payment is monthly in arrears on 25th of each month by credit transfer into a Bank/Building Society. Salary is £1,830 per annum in the first year, rising to £2,257 per annum in the second year (2014-2015 rates). Salaries are reviewed in August of each year. Holiday The holiday year runs from 1 October - 30 September. The two May public holidays, which fall in term, are normally worked. Authorisation to take either of the May public holidays as annual leave must be obtained from the Dean and advised to the Home Bursar. A Junior Dean is entitled to a minimum of 30 working days’ holiday in each year, plus the remaining public holidays. During the period when students are in residence from late September to mid-June, a minimum of 20 working days leave will be allowed, on the understanding that one Junior Dean will always be in residence, except over the Christmas College closure period, when other arrangements will be made. With regard to the long vacation, every effort will be made to allow the Junior Deans to take time off above the minimum allowance, for both vacation and research purposes. However, should a prolonged period of absence be agreed the College reserves the right to ask the Junior Dean to vacate their room. The holiday dates should be agreed in advance with the Dean and Home Bursar and reasonable notice should be given in this regard. Sickness and Sick Pay Junior Deans are paid normal basic remuneration, less the amount of statutory sick pay (SSP) or Social Security Sickness Benefits (SSSB) to which they may be entitled, for the following period: (i) with six months’ service or less: one week full pay and one week half pay (ii) with more than six months’, but less than two years’ service: two weeks’ full pay and two weeks’ half pay. “Service” means the total period of employment by the College. The College may at any time request a doctor’s certificate. Meals Junior Deans are entitled to free meals when the College kitchens are open, unless restrictions are in place on specific occasions. Training Junior Deans are required to undertake relevant training as directed by the Dean or Home Bursar. Confidentiality Junior Deans are not, other than in the proper course of their employment with the College, to use or to disclose to anyone any information of a confidential nature relating to the College or to its business or trade secrets. Disciplinary and Grievance Procedures These are contained within the Employee Handbook and are available from the Home Bursar’s Office who will deal with all matters relating to discipline and grievance confidentially. Probationary Period There is a probationary period of six months during which time the College, when terminating employment, will give one week’s notice in writing and one month’s notice in writing will be required from the employee. Contract If not terminated earlier, this contract will terminate on 31st August 2016. The College may terminate employment, and will give three months’ notice in writing. Similarly, employees may terminate their agreement by giving three month’s notice in writing to the Home Bursar. College Property Upon termination of the employment with the College for whatever reason the Junior Dean shall forthwith return to the Dean all correspondence documents and other papers, data storage media, student information and all other property belonging to the College which may be in their possession or under their control.
