Undergraduate Advisory Board Standard Operating Procedures Article 1: Standard Operating Procedures These articles will collectively be the Standard Operating Procedures of Delta Kappa Alpha's Undergraduate Advisory Board. Article 2: Authority The Undergraduate Advisory Bylaws will retain absolute authority, with the Standard Operating Procedures holding additional, secondary authority. Article 3: Elected Officers The Undergraduate Advisory Board will elect a President and a Vice President in accordance with Article 5 of the Bylaws. Additionally, the President will oversee all reports given by Board members and create an agenda prior to monthly meetings. Additionally, the Vice President will be responsible for creating and organizing the monthly meetings, as well as taking the minutes of these meetings. Article 4: Committee Chairs o Risk Management Chair The Risk Management Chair will be responsible for all communications with Resident Council Members on any issues related to risk management including, but not limited to hazing prevention, housing issues, sexual harassment, production safety, and drug or alcohol issues. The Risk Management Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Finance Chair The Finance Chair will be responsible for all communications with Resident Council Members on any issues related to finance including, but not limited to, any budget issues chapters may have and any national issues that may arise that involve the Resident Council Members. The Finance Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Service Chair The Service Chair will be responsible for all communications with Resident Council Members on any issues related to service including, but not limited to community service and philanthropy initiatives. The Service Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Recruitment Chair The Recruitment Chair will be responsible for all communications with Resident Council Members on any issues related to recruitment including, but not limited to recruitment resources, “Call to Adventure” program requirements, and expansion resources. The Recruitment Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. In addition, the recruitment chair will be responsible for assisting in recruiting new members for the Undergraduate Advisory Board by gathering UAB testimonials and other marketing elements. o Chapter Improvement Chair The Chapter Improvement Chair will be responsible for all communications with Resident Council Members on any issues related to chapter improvement including, but not limited to leadership training, professionalism, bylaw reviewal, programming, and national awards. The Chapter Improvement Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Alumni Engagement Chair The Alumni Engagement Chair will be responsible for all communications with Resident Council Members on any issues related to alumni engagement and relations including, but not limited to alumni programming, alumni relationship and post graduate opportunities. The Alumni Engagement Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Education Chair The Education Chair will be responsible for all communications with Resident Council Members on any issues related to education including, but not limited to national events and programs, pledge education, scholarships, cinema literacy, industry education, and ritual (with the National Chaplain). The Education Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. o Branding Chair The Branding Chair will be responsible for all communications with Resident Council Members on any issues related to branding including, but not limited to social media, marketing, and public relations. The Branding Chair will do any DKA and/or external research related to these topics and voice the opinion of the Resident Council Members to the Undergraduate Advisory Board President and the National Council. Additionally, the Branding Chair will be responsible for handling social media and creating blog content on behalf of the Undergraduate Advisory Board. Article 5: Expectations of Members Each Undergraduate Advisory Board member will have access to National Council discussions, projects, and operations but is not required to participate in any National Council conversations or National event planning. Each Undergraduate Advisory Board member must not communicate new national information or updates to their chapter earlier than when it is communicated to all chapters. Each Undergraduate Advisory Board member must keep confidential all sensitive business information. Each member will be required to serve as a committee chair on the Undergraduate Advisory Board. Each Undergraduate Advisory Board member will make a report to the president and vice president before each monthly meeting and will be responsible for presenting that report during the monthly meetings. Each Undergraduate Advisory Board member will be responsible for serving on at least one other committee. Each Undergraduate Advisory Board Member will be the liaison between a group of chapters in a domain and the Undergraduate Advisory Board as assigned by the Vice President. Updated February 12, 2015
