Necessary Information Associated with Hosting TFA State
Campus Accommodations

Please describe the common areas (cafeterias, etc.) you plan to provide for
students (students waiting for their rounds to begin, or students whose rounds
have ended). These common areas must be available for the entire tournament and
must accommodate over 2,000 students.

Please describe the areas (gyms, etc.) you plan to use for judges and coaches to
congregate. These areas must be available for the entire tournament and must
accommodate over 500 adults.

Please describe the area (library, computer lab, etc.) you plan to use for a
tabulation area. This area must be available for the entire tournament, must have
10-15 computers for use, and must contain at least two heavy duty copiers.

Please describe the large area (large theater, etc.) that you plan to use for extemp
draw.

Please describe the area (large theater, etc.) that you plan to use for the awards
ceremony.

Please describe the large areas that you plan to use for final rounds (theater, black
box, etc.).

Please describe any auxiliary campuses (middle schools, elementary schools, etc.)
that you are planning on using during the TFA State Tournament. These
campuses must be willing to adapt to the State Tournament schedule (early
release, etc.).

How many rooms are you able to provide for use at the TFA State Tournament?
You must provide at least 160 available rooms throughout the course of the
tournament (please include auxiliary campuses in your calculation and please note
how many rooms are not classrooms and what type of room they are).

Please describe the areas that you plan to use for student concessions and provide
a brief explanation for when you plan on providing food for the students.

Please describe the parking situation for all of the campuses that you plan to use.
You must provide enough room for at least 50 charter busses and 50 large vans.

Please describe the technology situation for the main campus that you plan to use.
Will students have wi-fi throughout the tournament? Does your campus have a
strict policy with regard to blocking certain websites? Will your campus provide
an employee who will be able to assist with any tech problems, and if so, what
will their availability be? How will Joy of Tournaments be installed (laptops,
desktop computers, etc.)? Do you have access to multiple printers?

Will your campus be able to provide a custodial staff for the duration of the
tournament, or will TFA have to hire an independent custodial staff? (If an
independent custodial staff must be hired, have you received approval from your
administration to hire outside of your district? Will TFA have to pay for the
custodial staff if you will be using district employees? If there is a district fee,
please provide the amount that TFA will be charged for the custodial staff.)

Are there any building fees that will be charged to TFA for you to host TFA
State? Please provide the amount that TFA will be charged for building use.

Please describe your plan regarding campus security for the TFA State
Tournament. Will TFA be expected to pay for campus security?

Please describe the level of support that your campus and district administration
will provide. In addition to this description, please provide two formal letters that
detail and document their level of support (one from the campus administration
and the other from the district administration). Is your campus administration
willing to refrain from announcing over the intercom during the tournament? Is
your campus providing walkie talkies? Will your campus allow TFA’s executive
council access the weekend before the state tournament?

Describe your approach to the TFA State Tournament schedule. Is your campus
(and your auxiliary campuses) going to be able to provide early release on the
Thursday and Friday of the tournament?
Local Accommodations

Describe your local area’s ability to provide lodging that would accommodate the
TFA State Tournament. You must have access to numerous hotels in close
proximity to your main campus that can provide over 1,000 rooms for students,
coaches, and judges.

Describe your local area’s ability to provide food and beverage for the TFA State
Tournament. How many restaurants are within a ten-mile radius from your main
campus? How many restaurants stay open late in the night?

Describe your ability to provide a local committee that will be responsible for
welcoming schools to the TFA State Tournament. Please list and describe your
relationship with at least five coaches from your area who have agreed to assist
you in hosting the TFA State Tournament. These must be coaches who will be on
your main campus or auxiliary campuses during the TFA State Tournament.
Please attach letters from each of these area coaches that details their support of
your efforts to host the TFA State Tournament.
