SHADEGR – The Graduation Form
College of Arts and Sciences
1. In the “Go To” box, type SHADEGR, and press ENTER.
2. In the ID field, type the student’s U Number or Social Security Number. The student’s name should pop into the
Name field. OR type in the student’s name (last name, then a comma, and then first name), and press ENTER.
3. The cursor should now be blinking in the “Degree Sequence” field. Click on the arrow beside the cursor, which
will take you to the form SHADGMQ .
4. If there is a term in the top or key block on the left side of the form, you will need to remove the term. To do
this, click the Rollback arrow
, tab to the term and press the “Backspace” key.
5. Click on the black X to exit out of the form and back to SHADEGR.
6. Tab over to the “Degree Sequence” field again. Click on the arrow.
7.
If no information is in the lower blocks of the form, the student has not filed for graduation.
8. If as in the form above, there is information in the lower blocks, the student has filed for graduation.
9. Click on the black X to return to SHADEGR to read the information.
10. To view this information on SHADEGR, click the red Select icon

and then “Next Block” by using the Next
or pull down menu.
11. In the “Learner Outcome Information” block, “Outcome Status” refers to where the student is in the
graduation process:
SO = Sought - Once the student files his or her intent, the status becomes and stays “SO” or “Sought” until the
graduation analyst checks the student’s schedule prior to or during his or her graduation term. Then it will be
“PN” or “Pending” until the degree is “AW” or “Awarded.”
“Student Record Term” is the student’s catalog year, and the “Bulletin Academic Year” is the academic year
span for that particular catalog (200780 = the Fall 2007 Catalog with the Bulletin Year of 0708).
“Degree Completion Term” is the semester when the student plans to graduate (201210 = Spring 2012,
201250 = Summer 2012, 201280 = Fall 2012).
“Graduation Application Date” is the date when the student’s intent was coded into Banner by Mary or Patsy,
NOT the date when the student filed.
12. The two blocks below this one give the student’s “Curricula Summary” (degree information) and “Field of Study
Summary” (major, minor, concentration information).
In the upper right box titled “Graduation Information,” you can find the following information:
“Graduation Term” is the term the student plans to graduate.
“Graduation Year” is the academic year in which the graduation for that term occurs.
“Graduation Status” is where the student is in the graduation process using the codes below:
FI – Filed Intent – The student has filed intent to graduate, and the codes have been entered on SHADEGR.
PC – Preliminary Checkout – Mary or Sylvia has completed a summary for this student.
SR – Summary Returned – Student has returned the summary to Scates 107.
IE – Ineligible – After Sylvia has checked schedules for the current semester, the “Graduation Status” is changed to IE if
the student is NOT enrolled in all remaining courses. Students should check the Notes Section at the bottom of
UMdegree to see why they are coded as “Ineligible.”
AP – Approved for Graduation – After Sylvia has checked schedules for the current semester, the “Graduation Status” is
changed to AP if the student is enrolled in all remaining courses.
DQ – Disqualified – The student filed for the expected graduation semester given but is not registered for all courses or
otherwise does not meet the requirements to graduate at this time and needs to either add the courses needed,
transfer them, or file for the new expected graduation date on the online intent form. Students should check the Notes
Section at the bottom of UMdegree to see why they are coded as “Disqualified.”
GR – Graduated – Mary, Sylvia or Patsy has entered the codes to show that the student has graduated.
“Graduation Date” is the date when the student graduated.
