Clery Act Compliance Coordinator/Administrative Assistant
Campus Safety
Summary
Reporting to the Chief of Campus Safety, the Clery Act Compliance works collaboratively with
various offices on the College Campus to ensure the institution’s compliance with the Jeanne
Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act and associated
regulations. Must be able to perform and coordinate administrative and office management
functions; responsible for day to day operations of administrative and business management
services functions aimed at assisting the Chief. This individual will demonstrate the ability to
work with confidential information and exhibit a high degree of trustworthiness. Must be
resourceful and can work autonomously, take both direction and initiative while demonstrating
excellent follow through. Must be a team player, exhibit strong interpersonal skills, and the
ability to manage complex assignments. Must be comfortable with multi-tasking and
prioritizing in a college environment. This person also exercises supervision over assigned
program areas.
Job Responsibilities







Serves as the College’s designated “Campus Safety Survey Administrator,” as that term
is explained in the Department of Education handbook.
Coordinates the institution’s Clery Act Compliance program
Develops, reviews, and updates the institution’s Clery Compliance policy
Prepares, publishes, and distributes the Annual Fire Safety and Security Report
Ensures notices announcing the availability of the Annual Fire Safety and Security Report
are properly developed and available to prospective students and employees according
to federally mandated dates
In conjunction with the applicable offices, develops and implements Clery Act required
policies, programs, and activities
Annually identifies, notifies and certifies College “campus security authorities”























Gathers crime and disciplinary referral data from various internal and external sources,
such as the Office of Student Conduct, local law enforcement agencies, and the state
police
Consolidates relevant data from these sources with information and policies from across
institutional departments
Coordinates with the Office of Environmental Health and Safety to ensure compliance
with HEA Fire Safety regulations
Works with local police agencies and the state police to monitor and record criminal
activities at off-campus locations of recognized student organizations
Works with the institutional campus safety department to ensure proper classification
of crime incident reports
Manages College’s Timely Warning and Emergency Notification policies and procedures
Collaborates with the Communications and Clery teams to ensure compliance with the
“Timely Warning” and “Emergency Notification” requirements of the Clery Act
Trains all institutional stakeholders on Clery Act requirements
Ensures the College maintains accurate records on security awareness and crime
prevention programs and presentations
Maintains an accurate list of buildings and properties owned and/or controlled by the
institution
Serves as the Records Custodian for all Clery Act-associated records
Establishes Clery Act compliance programs at any additional and/or satellite campuses
Works with counseling and psychological services and Project Safe to gather statistical
data related to crimes disclosed to those offices.
Serves as the Recording Secretary for the Clery Team
Works with the Dean of Students Office to ensure compliance with the Drug Free
Schools and Safe Campuses regulations
Stays abreast of pending and final changes to the Clery Act and other laws or regulations
affecting Clery Act provisions
Works with various institutional offices to ensure compliance with the provisions of the
Sexual Assault Victim’s Bill of Rights
Submits annual crime statistics to the Department of Education, as required
Perform other duties as assigned
Perform and/or supervise the centralized administrative and business management
operations including office management, procedures, analysis, activities, personnel
actions, budgeting and accounting
Develop and implement departmental, clerical, and fiscal procedures and policies;
maintain and organize purchasing, inventory, and budget records; analyze office
methods, procedures, and forms;
Recommend methods for improvement of procedures and coordination of
departmental functions; prepare operating and procedures manuals;
Conduct studies and prepare reports on departmental operations including procedures,
systems, space requirements, organizational structure, expenditure of funds, and types
and effectiveness of equipment






Assist the Chief by handling correspondence within assigned areas of responsibility;
compose various types of correspondence;
Provide liaison with other departments on all assigned administrative matters;
represent the department on various committees;
Research, develop, and maintain specialized statistical and operational reports; file
reports with various required agencies; plan and oversee departmental filing and
recordkeeping needs;
Monitor expenditures of funds to ensure compliance with legal restrictions and
conditions set by funding agency or control of expenditures within authorized budget
allotment;
Conduct special projects as assigned related to development of departmental
administrative services
Monitor and revise Administration Procedures as needed
Perform other related duties as required
Skills and Requirements
Required Qualifications:





Bachelor Degree in Communications, Criminal Justice, Emergency Management,
Business administration or related field.
Excellent oral and written communications.
Excellent organizational skills.
Excellent interpersonal skills.
Excellent computer skills; familiar with Microsoft office suite and databases.
Preferred Qualifications:






Previous experience complying with requirements of the Clery Act
Advanced Clery Act Training
Advanced Familiarization with Title IX
Advanced familiarization and knowledge of the Drug Free Schools and Communities Act
of 1989
Three years or more of work experience with an institution of higher education
Ability to operate a variety of office equipment including computers with business office
and special software applications, power point and excel.
