JOB DESCRIPTION JOB TITLE: Alumnae Relations Officer DEPARTMENT: Advancement GENERAL DUTIES: This is a full-time, position reporting to the Advancement Director. This person is responsible for the planning and implementation of programs and projects that strategically engage alumnae and alumni in strengthening programs and provide tangible benefits to alumnae and current students. The Alumnae Relations Officer is charged with securing commitments from alumnae to provide professional expertise and volunteer service; collaborating with colleagues in the administrative offices (including but not limited to Admissions, Advancement, Marketing) and the schools to create and maintain pathways for alumnae participation that advance the goals of Ursuline Academy; and serving as a liaison between the Alumnae Association board and the academic and administrative leadership. This person will also be responsible for working with the Annual Fund Manager on Planned Giving and Class Giving. In addition, they will be responsible for Special Events, Volunteer Management and Alumnae Association management. Virtually all aspects of alumnae and alumni relations will be managed from this position. REPORTS TO: Advancement Director SPECIFIC DUTIES: Alumnae Relations: Earn the confidence of the alumnae and alumni body by demonstrating superior volunteer management skills Skill required will include, but are not limited to, managing volunteers, donors and stakeholders as complex individuals in a discreet, and sometimes politically charged, environment Plan, implement and promote the Alumnae Alliance that support Ursuline’s strategic plan as well as the goals of the Advancement Office. Work closely with the Alumnae Alliance, arranging its meetings, staffing its committees and ensuring strong and productive relationships between its members and the academic and administrative leadership Build an active class-based volunteer structure (Class Agent Program) to better involve and engage members of the alumnae body Continue building the Homecoming and Reunion Weekends, focused on bringing alumnae back for their respective 5 year reunions Establish and build relationships with a wide range of alumnae, locally, regionally, nationally and internationally; maintain regular communication with alumnae via direct contact, email blasts, web pages, e-newsletters, LinkedIn, Facebook, and print publications Regularly plan alumnae activities that provide networking opportunities Educate graduating students about alumnae benefits and engage them in programs Partner with the Counseling Office and Leadership Class Faculty to plan the growth and accessibility of career networking services and college for students and alumnae Assist the Annual Fund Manager to build alumnae and alumni Planned Giving programs and manage a portfolio of prospects Manage a portfolio of planned giving prospects Work with the Annual Fund Coordinator to involve the Alumnae Association as well as non-Association alumnae and alumni in the active solicitation of gifts including greater and more meaningful volunteer assignments Research, develop, manage and direct new ways to communicate Ursuline Academy’s present and future needs to the school's alumnae and alumni and involve more alumnae and alumni (a minimum of 10%) in the process – either as planners or participants Assist with the planning and execution of non-alumnae/alumni related school events or functions (Casino Night and Golf Outing) Coordinate the Hall of Fame and the Angela Boyle Award presentations. General: Act as consultant to the Advancement Director on all matters relating to Alumnae/Alumni Relations and alumnae/alumni communications Analyze situations and exercise good judgment Work Ethics: Maintain confidentiality at all times regarding the Ursuline community Attend all required meetings and willing to perform all other duties as assigned Contribute by personal example to an atmosphere of faith commitment in a manner consistent with Catholic values and our founder St. Angela Merici Respect, cooperate and maintain a positive attitude with colleagues (faculty and staff), students, parents and alumnae and exemplify the core values EDUCATION: BA or BS degree in related field EXPERIENCE: 2 years of volunteer management experience and / or community relations experience COMPETENCIES NEEDED: Superior volunteer management skills with specialization in Alumnae/Alumni relations, Planned Gifts Giving and Special Events ability. The ideal candidate will be an Ursuline Academy Alumna with intimate knowledge of the Ursuline and Wilmington community. The employee must have excellent written, verbal, and interpersonal skills with the ability to work on multiple projects simultaneously with significant attention to detail. The employee will need the ability to work under pressure of daily deadlines, while not losing sight of long term strategic goals and objectives. Proficiency in computers and development software, preferably knowledge of Raiser’s Edge is required. PHYSICAL DEMANDS: The position requires frequent walking, standing, bending, talking and lifting of up to 25 pounds as a regular part of the job. Specific vision ability required including close, distance, peripheral vision and ability to adjust focus.
