JOB DESCRIPTION
Job Title:
Clinical Services Administrator/Receptionist
Accountable to:
The Clinical Services Manager, Practice Manager, Management
Team and The Partners of Whitstable Medical Practice.
Principle Liaisons: Clinical Services manager, Practice Manager and Partners of the
Whitstable Medical Practice.

Primarily this role involves dealing with patient enquiries over the telephone and face to
face. Booking appointments for in-house clinics and ensuring the smooth day to day
running of all clinics.

Collecting post each morning and afternoon.

Preparing clinic rooms for Clinicians

To organise and collate paperwork for various clinics.

To send reports to outside practices.

To assist patient with tubing and maintenance of hearing aids where possible.

Telephone patients the day before to remind them of their appointments and fill any
empty/cancellation slots wherever possible.

Making sure the theatre and clinic rooms are clean and tidy.

Entering data onto spreadsheets for reporting purposes.

Charging up equipment for Urology Clinic and setting this up.

Ordering and maintaining stock of hearing aids and accessories from NHS Logistics.

Retrieving information from Choose and Book and booking appointments for a number
of clinics and downloading referral letters.

Taking delivery of various items of stock, eg for cataract and endoscopy, and storing in
the appropriate secure environment.

Be familiar with Whitstable Medical Practice protocols and take part in their regular
updating.

Other duties as per doctors’ instructions as dictated by changes in the nature of the
Whitstable Medical Practice.
