CPHS Girls Hockey Parent Night Planning List 2012-13 Parent Night is traditionally a night for the players to honor and thank their parents for their commitment to their daughters’ love of hockey. Date is set by CPHS Girls Hockey Booster Club. Special features of the event in the past: Parents (only) receive free admission to the game Letters from the girls thanking their parents are hung on the wall behind the home bleachers Photographer takes photos of each player with her parent/s/family before games TASKS Booster Club communicates to committee who is on committee and who is in charge, as well as a budget for the event. Committee chair communicates with and organizes committee to determine final plan and tasks. Chair (or designated committee member) also communicates with team parents the final details of the event. Committee members: Before the event: Designate ONE person to work with and communicate with photographer the date and time to start photos. • In the past, David Banks Studios, who has done the team photos, provides a photographer for roughly an hour and gives the booster club a disc with the photos taken, all at no additional charge. • In 2012-13 it worked to start JV photos promptly at 5 pm (photographer had a prior commitment just before this time), with Varsity photos starting approximately 5:15 pm. JV game started at 5:30 pm. Each photo takes 3060 seconds when everyone is in line and ready to go. Taking all photos before the JV game ensures the girls look fresh and not sweaty. • In the past, photos have been taken off the ice, to the left of the Zamboni door, in front of a net, with balloon bunches on the sides. Standing on the stairs, photographer is able to get family, net, balloons and ice in photo. Zamboni will be busy clearing ice between practice and game. Parents and players lined up along the wall behind the visitor bleachers. • JV girls wore gear minus skates, helmet and gloves; Varsity girls wore jerseys over clothes. One person coordinates the letter writing in advance of the event. The girls can write their thank you letters on standard printer paper or on stationery. In 2012-13 we printed the stationery (pdf ) on card stock. It might be helpful to have a roster to check off who’s turned in their letter as several girls forgot and wrote a second letter. This can be coordinated with a team captain to help facilitate. Allow enough time to write and collect letters before Parent Night. One person coordinates printing parent free admission tickets and distributing to players to give their parents. (MS Word .doc file of tickets) Allow enough time to distribute to players before Parent Night. Only parents of CPHS JV and Varsity girls hockey players are admitted free this night. In 2012-13 this was not done, and ticket takers checked parents off on a player roster. It was an oversight in communication to inexperienced committee chair and overall last minute event planning. Discuss how you want to handle this in the future. One person orders balloons to be used by the net in the photos. In 2012-13 we did two bunches of 5 balloons in blue, silver and white. One thing we also learned is that the world’s helium supply is dwindling and helium is not necessarily a guaranteed commodity. Might be good to have a backup plan if this statistic continues. Committee chair or other designated committee member sends an email to all team parents with details of the event. Suggested items to include: • Invite parents to come • Parents attend free of charge • Photographer will be there at xx time to photograph each player with her parent/s/family, at no charge to the families. Line up time and place What to wear, especially for the players The night of the event: Committee members hang Parent Night signs the night of the event. Laminated signs were created by parents during a previous year. They are located in …………………….. Designate someone to bring clear packing tape (or other sticky tape) to hang these. They don’t like to stick to concrete walls. In 2012-13, signs were hung on doors into Home bleachers, as well as on wall behind home team bleachers. Committee members hang letters from the girls on wall behind home team bleachers the night of the event. Layering a colorful sheet of construction or other paper behind the white paper letter adds color and provides a bit of sturdiness. Designate person to bring tape to hang these (scotch tape worked fine), as well as colorful paper if desired. Parents should take their daughter’s letter home at the end of the games or when they leave. Committee member directs parents to line up for photos After the Varsity game: Committee member(s) remove Parent Night signs and return to …………………. Committee member makes sure all thank you letters go home with the appropriate parent(s) or player. After the event: Committee member receives disc of photos from photographer and has 4x6” photo printed for each player, then distributes these to players. This cost is covered by event budget. Submit receipts to booster club treasurer for reimbursement.
