El Dorado Union High School District PROCEDURE FOR STUDENT GRADE LEVEL CHANGES The instructions below are to be used when changing a student’s grade level during the school year (i.e., 11th grade to 12th grade). This procedure will adjust the “Switch” side of the attendance screen and allow for accurate monthly Attendance Summary reports. Remember to notify the attendance clerk anytime you make such a change. If you are making the change in a prior school month, the attendance clerk will need to rerun Attendance Summary reports for all affected months. 1. Change the grade level on the STU screen. 2. Click on UpdATT. 3. Verify or input a leave date for grade 11. The Reason Code should say 440 – Program or Grade Change. 4. Verify or input an enter date for grade 12 (the next school day after the leave date). 5. A pop-up screen appears ‘Student program changes added to ATT table successfully.’ Click OK. 6. Click on the Attendance button and verify the change in the “Switch” enrollment side of the screen. Note: Students who will graduate at the end of their 11th grade year must be reclassed in January to 12th graders. 5th YEAR SENIORS There are rare times when a student will be considered a 5 th year senior. The Aeries student screen will indicate their current grade level as 12 (as it should be) and would currently show their next grade level (NexGrd field) as 13 (as it should be). We need to ensure that the 5th year seniors can have classes and roll-over into the next year’s database. For a 5th year senior please indicate the next grade level (NextGrd) as 12. This should be changed on the student screen before the next year’s scheduling begins. These students will be indicated as grade 12 after the rollover. The 5th year senior can be tagged on the STU screen under U7 – ‘S’ Fifth year senior. Section 5.11 5/1/07, 3/7/08, 09/22/08
