Foster Care Client Records Specialist
Supervisor:
Foster Care Administrative Manager
Position Function:
Maintains orderly and complete client and foster family records and general office
duties.
Education Requirements:
High school graduation or equivalent. Bachelor’s degree desired.
Experience/Skill Requirements:
Minimum of one year experience in general office or medical records. Good basic
office computer skills, excellent verbal, customer service and organizational skills.
Working Conditions:
Sitting for long periods of time at computer, receive and return phone calls.
Exposure to Confidential Information:
Maintain confidentiality, and follow policies related to personnel and client records
Functional Requirements:
Maintaining the client and foster home records in an orderly and timely fashion.
General office duties as assigned by supervisor. Light bookkeeping and accounting.
Requires sensitivity to the service population’s cultural and socioeconomic
characteristics. Maintain supplies.
Key Expectations/Responsibilities:
 Responsible for managing all foster parent and child charts- creating, filing,
managing, closing and storing
 Responsible for auditing charts at regular intervals
 Responsible for pulling records when requested- Random licensing visits,
investigations and other requests
 Some daily operations- assisting with training needs, answering foster parent calls,
assisting with special events
 Responsible for sending therapy notes, report cards, psychiatric notes,
psychological to the Legal Guardian.
 Responsible for requesting required documents at regular intervals and setting up a
tickler system to manage that.
 Liaison for Wednesday’s child
 Daily book keeping and accounting
 Responsible for preparing records for YFT quarterly reviews
